Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Drayage: About $135 per cwt, 200 lb minimum, 2026–2027 planning rate
- Cancellation: 50 percent of booth fees before Feb 5, 2027; 100 percent from Feb 6
- Exhibitor insurance: $1,000,000 per occurrence, $2,000,000 aggregate, 2027 terms
Key dates
- Full NTI 2027 booth payment due to AACN: February 5, 2027
- Design sign-off with Purple: Mid-February 2027
- February 5, 2027: Full booth payment due to AACN; cancellations from February 6 forfeit the whole fee. We confirm footprint and island rendering with you before then.
- Mid-February 2027: Design sign-off, demo equipment list and power plan approved; island rendering sent to AACN for approval.
- Late February to early April 2027: Production in Fishkill, NY over 30 to 45 days; demo furniture built and test-fitted to your devices, FDA status labels printed.
- April 2027: Crates ship to Freeman under the NTI 2027 Service Kit; certificates of insurance reach AACN 30 days before move-in.
- May 1–3, 2027: Installation, May 1 from 8 a.m. and May 2–3 from 7 a.m.; booth set by 5 p.m. Monday, May 3, and every station tested.
- May 4–6, 2027: Exposition May 4–5, then dismantle May 5, 3 to 8 p.m., and May 6, 8 a.m. to 5 p.m.; devices packed to your return plan.

Checklist
- Pay the full NTI 2027 booth fee by February 5, 2027
- List every device to demo with its FDA status, power, data and weight
- Decide whether an ExpoEd or in-booth education session is part of the plan
- Choose the clinical scenario the booth will show, such as sepsis, cardiac or transport
- Approve the island rendering in time for AACN's review
- Send insurance certificates naming AACN, the Indiana Convention Center and Freeman
- Book rooms through Convention Housing Management when it opens in November
- Keep staff at the booth until the 3 p.m. Wednesday close
