Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space, linear: $40 per sq ft ($8,000 for a 10×20), plus $250 per corner, 2026 rate
- Booth space, island: $44 per sq ft ($17,600 for a 20×20), 2026 rate
- Innovation Park kiosk: $2,000 per turnkey 8×6.5 ft kiosk, 2026 rate
- Private Meeting Suite: $12,000 (10×10) to $22,000 (20×20), 2026 rate
Key dates
- Design sign-off with Purple: Early July 2027
- Early July 2027: Design sign-off, with scope stations, monitor sizes, power and a seated meeting area drawn for your assigned space.
- July to mid-August 2027: Production in Fishkill, NY: counters with cable channels, monitor mounts, fabric graphics and lockable scope storage built and tested.
- Late August 2027: Crates ship to the official contractor's advance warehouse; carpet, electrical, lead retrieval and certificate of insurance filed.
- Days before September 18: Move-in; our project manager and vetted local labor install, then power every monitor and scope station before the hall opens.
- September 18–21, 2027: Annual Meeting in New Orleans; we stay on call through every OTO EXPO hour for monitor, lighting or power issues.
- After the OTO EXPO closes: Dismantle; demo instruments packed to your return plan, and the booth goes to storage or your next show.

Checklist
- Reserve 2027 space in the AAO-HNSF Exhibitor/Sponsor Portal as soon as sales open
- List every scope, tower, navigation cart and hearing device you will demo, with weight and power
- Choose monitor sizes for each station and collect approved procedure loops
- Decide between a booth, an Innovation Park kiosk or a Private Meeting Suite
- Book any OTO Pavilion Presentation slot early; 2025 slots sold out
- Count badges: two exhibitor and one full conference badge per 100 square feet
- Send Purple your logo, claims language and product photography by early July 2027
