Scopes on screen, surgeons seated: AAO-HNSF 2027 booths in New Orleans

We build OTO EXPO booths where an otolaryngologist can watch an endoscope image on a large monitor, hold the instrument and sit down to talk cases. Louisiana labor law lets your own employees lend a hand at install, and our project manager files the carpet, freight and contractor paperwork AAO-HNSF requires.

What makes AAO-HNSF Annual Meeting & OTO EXPO different, and how we build for it

The AAO-HNSF Annual Meeting is the Academy's own congress for ear, nose and throat surgery, so the OTO EXPO floor is narrow in specialty and deep in detail: endoscopy towers, sinus and airway tools, hearing implants, sleep devices and practice software. The exhibit hall runs three days inside a four-day meeting, and in 2025 every attendee could collect a free box lunch in the hall from noon to 1 p.m., an hour with no sessions scheduled against it. Companies teach on the floor through OTO Pavilion Presentations, startups take turnkey Innovation Park kiosks, the Otolaryngology Private Practice Section hosts Coffee Talks inside the hall, and the Presidents' Reception drew over 1,800 participants in 2024.

Otolaryngologists and head and neck surgeons

The scope, shaver, navigation probe or implant in hand, a monitor showing the view through the instrument, and a peer-level conversation about technique and outcomes.

Private practice owners and administrators

Office-based procedure economics, in-office CT, allergy, hearing and sleep service lines, plus EMR and revenue tools, discussed at a table rather than over a counter.

Residents, fellows and academic faculty

Hands-on time with instruments they will train on, simulation, and contacts for education grants and courses, often between poster sessions.

Your team in New Orleans

Two shops, one project manager, every hall

We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to New Orleans, and install with our own project manager on the floor and vetted local labor. Predictable 30–45-day turnarounds, secure storage and pre-show QA.

Rules that shape your booth

IAEE display rules govern every booth

AAO-HNSF builds the OTO EXPO on the IAEE Guidelines for Display Rules and Regulations and sells footprints from 10×10 up to 50×80 (2026 terms). We draw back-wall heights, line of sight and island structures to those guidelines before you approve the design.

Organizer rule

No cameras in the OTO EXPO

AAO-HNSF's 2026 meeting policy bans photography and videography in the OTO EXPO and of presenters' slides. We load approved procedure loops on your monitors and print the steps a surgeon would otherwise photograph on a rail graphic at each station.

Organizer rule

Carpet and insurance before move-in

AAO-HNSF requires carpet in every OTO EXPO booth, ordered from the general service contractor or brought in, and a certificate of insurance before move-in (2026 rules). We build flooring into the proposal and file the certificate with your contractor orders.

Organizer rule

Finished by Friday at 5 p.m.

In 2025 and 2026 exhibitor set-up ended at 5 p.m. on the Friday before the Saturday opening, when every booth had to be complete and its empty crates moved to storage, with extra charges after. Our project manager schedules install so crates leave the aisle well before that cutoff.

Organizer rule

Badges come with square feet

Each 100 square feet of OTO EXPO space includes two exhibitor badges and one full conference badge, badges cannot be shared, and extra staff pay an added fee (2026 terms). We size counters and stations to the team your footprint actually badges.

Organizer rule

Case study · Pixee Medical

Pixee Medical at a medical technology congress

A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.

Different specialty, same job: the Pixee Medical booth let every visitor try augmented-reality guidance hands-on, which is what an ENT scope or navigation demo needs at the OTO EXPO.

04 Designing for ENT surgical instrument, endoscopy, sinus, hearing, sleep and head and neck device companies at AAO-HNSF Annual Meeting & OTO EXPO

Four things we get right for AAO-HNSF Annual Meeting & OTO EXPO exhibitors

Ultrasound monitor showing a fetal scan in a medical clinic1

Put the endoscope view on a big screen

OTO EXPO visitors judge an ENT device by the image through it: the sinus ostium, the larynx, the eardrum. We mount a 55- to 75-inch monitor above each scope or navigation station so the second row sees what the demonstrator sees, and we run every cable inside the counter so the station resets in seconds.

2

Plan staffing around the noon lunch

In 2025 AAO-HNSF served a free box lunch on the exhibit floor from noon to 1 p.m. each day, with no sessions scheduled against it. We design an open booth front with standing-height ledges, so a surgeon holding lunch can stop, watch a two-minute demo and leave a badge scan.

3

Show the procedure without filming it

AAO-HNSF's 2026 meeting policy bans photography and videography in the OTO EXPO, so no visitor leaves with a phone clip of your demo. We load your own approved procedure loops onto the monitors and print the key steps on a rail graphic beside each scope station.

4

Seats for the practice-owner conversation

The Otolaryngology Private Practice Section holds its Coffee Talks inside the OTO EXPO, so practice owners are on the floor comparing office-based services. We add a two- to four-seat table with a tablet for ROI models, away from the scope station, so a practice decision gets twenty quiet minutes.

05 New Orleans, LA

Logistics for AAO-HNSF Annual Meeting & OTO EXPO 2027, handled

AAO-HNSF names New Orleans as the 2027 host city, and we plan the build around that market's rules: Louisiana has no union-shop requirement, which lets your own employees help assemble the exhibit, though the official contractor keeps drayage, power and rigging. In 2026 The Expo Group served as general service contractor, carpet was required in every booth and a certificate of insurance was due before move-in. We crate scopes, monitors and counters to the advance warehouse, put drayage on its own proposal line, and our project manager leads the install with vetted local labor, so the booth is finished before the Friday afternoon cutoff the meeting has used in 2025 and 2026.

Hall guide

AAO-HNSF lists New Orleans for 2027 without a building, but the OTO EXPO carries the same named areas from year to year. These are the floor features exhibitors planned around in 2025 and 2026.

OTO Pavilion

A presentation area on the OTO EXPO floor seating up to 75 attendees for 30- or 60-minute company sessions, $15,000 or $30,000 in 2025, with standard AV supplied.

Our advice: If you buy a Pavilion slot, we print a booth graphic pointing to the session time so attendees walk from the talk straight to your demo.

Innovation Park

Turnkey 8×6.5-foot kiosks with a waist-high counter, storage, a screen, a laptop and power for startups and emerging ENT companies, $2,000 each in 2026.

Our advice: We size a kiosk graphic set and a tabletop demo kit to the counter, so a small team sets up in under an hour.

Private Meeting Suites

Hard-walled 10×10, 10×20 and 20×20 rooms on the show floor, with 8-foot walls, a locking door, no ceiling, carpet and one branded exterior side.

Our advice: We furnish the suite with seating, a screen and wall graphics that match your booth so both spaces read as one brand.

Lunch and break areas

In 2025 the free daily box lunch ran on the exhibit floor from noon to 1 p.m., with coffee and popcorn breaks at stations around the hall.

Our advice: We ask about your booth's distance from these areas when the floor plan comes out and staff up for the noon hour.

AAO-HNSF Annual Meeting & OTO EXPO exhibitor questions

Questions exhibitors ask us before AAO-HNSF Annual Meeting & OTO EXPO

How much does a booth at AAO-HNSF 2027 cost?

Most OTO EXPO exhibitors fit a 10×20 inline: a Purple rental runs $7,500 to $15,000 and a custom build $15,000 to $45,000. AAO-HNSF adds the space, $8,000 for a 10×20 linear booth at its 2026 rate of $40 per square foot. Here the big monitors over each scope station, lockable instrument storage and carpet move our number the most.

What is the deadline to book space at AAO-HNSF 2027?

AAO-HNSF sells 2027 space through its Exhibitor/Sponsor Portal. In 2026 a 50% deposit was due at purchase, the balance came due in July, and cancellations after that date forfeited the full amount. For a September 18, 2027 opening we need design sign-off in early July 2027, which leaves a full production window in Fishkill.

Can we rent a booth for the OTO EXPO, and what does a rental include?

A rental for AAO-HNSF covers the frame, fabric graphics with your approved claims, LED lighting, a demo counter with cable channels, a monitor mount sized to your scope image, lockable storage, freight, installation and dismantle on one fixed proposal. Carpet is mandatory at this show, so we include it. Afterward the structure returns to our inventory.

Can our own staff set up the booth in New Orleans?

Yes, within limits. Under Louisiana's right-to-work law, people on your own payroll can put the exhibit together; forklift work, power and anything hung overhead stay with the show's official contractor. Our project manager and hired local hands finish the build before your clinical specialists fly in.

Can we film or photograph demos in our OTO EXPO booth?

No. AAO-HNSF's 2026 meeting policy bans photography and videography in the OTO EXPO, along with photos of presenters' slides. We plan the booth around procedure loops your team has already approved, shown on large monitors, and print the key steps beside each station so surgeons take the message with them instead of a recording.

Is there a lower-cost option for an ENT startup?

AAO-HNSF runs Innovation Park for startups and emerging ENT companies: in 2026 a $2,000 turnkey 8×6.5-foot kiosk with a waist-high counter, storage, a display screen, a laptop and power, with final decisions made by the CEO and the Board's Executive Committee. You supply graphics and extra AV. We print kiosk graphics and pack a demo kit that fits the counter.

Can we hold private meetings on the OTO EXPO floor?

AAO-HNSF sells Private Meeting Suites on the show floor: $12,000 for a 10×10, $16,500 for a 10×20 and $22,000 for a 20×20 in 2026, each with 8-foot walls, a locking door, carpet and branding on one exterior side. We furnish the inside with a table, seating, a screen and wall graphics.

Do you handle The Expo Group orders for AAO-HNSF?

The Expo Group was the 2026 general service contractor, with ordering opening at the end of June. For 2027 we file whichever official contractor AAO-HNSF names: carpet, electrical, internet, material handling and lead retrieval, plus the certificate of insurance, and we track every confirmation so nothing is ordered twice or missed.

Can we reuse our AAO-HNSF booth at other shows?

We build scope stations and monitor walls to reconfigure, so the booth can follow you to the AAA + HearTECH Expo for hearing lines, the ATS International Conference for sleep and airway, or the ACS Clinical Congress for surgical tools. Between shows it stays in our storage and gets fresh graphics for each audience.

When is the AAO-HNSF 2027 Annual Meeting?

The AAO-HNSF 2027 Annual Meeting & OTO EXPO runs Saturday, September 18 to Tuesday, September 21, 2027, in New Orleans. OTO EXPO hall days for 2027 are not confirmed yet; in Los Angeles in 2026 the hall opened Saturday, October 17 to Monday, October 19. We plan freight to land the week before the meeting.

Where is AAO-HNSF 2027 held?

In New Orleans, Louisiana, per the Academy's future-meetings list, which also places the 2028 meeting in Orlando (September 9–12) and 2029 in Los Angeles. The 2026 meeting runs October 17–20 at the Los Angeles Convention Center. Louis Armstrong New Orleans International Airport (MSY) serves the city.

How many people attend the AAO-HNSF Annual Meeting?

The 129th Annual Meeting in Indianapolis opened October 11, 2025 with more than 5,400 attendees from the U.S. and over 75 countries, and the program carried more than 500 oral presentations and 580 posters. AAO-HNSF lists 230+ OTO EXPO exhibitors for its 2026 Los Angeles meeting.

Who organizes the AAO-HNSF Annual Meeting & OTO EXPO?

The American Academy of Otolaryngology–Head and Neck Surgery Foundation, headquartered at 1650 Diagonal Road in Alexandria, Virginia, runs the meeting and sells OTO EXPO space through its Exhibitor/Sponsor Portal. Its exhibitor page lists device makers, surgical instrument firms, drug companies, telemedicine and EMR vendors, OTC brands and financial management firms among the hall's categories.
