Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space: $40 per sq ft inline and island, $42 corner, 2027 prospectus
- Material handling: $1.82 per lb round trip, $2.28 late to warehouse, 2027 prospectus
- Labor: $169 per hour straight time, $276 overtime, 2027 prospectus
- Electrical: $468 for 20 amps (2,000 watts) at the advance rate, 2027 prospectus
Key dates
- Island floor plans, EAC request and Booth Activities form due to AAOS: January 21, 2027
- Design sign-off with Purple: Mid-December 2026
- Mid-December 2026: Design sign-off; island plan, elevations and hanging sign drawn to the 25-foot limit and the 2027 rules.
- By January 21, 2027: Island floor plan, EAC request and EAC insurance certificate filed with AAOS, plus the Booth Activities form for giveaways, photography and lighting effects.
- January 2027: Production in Fishkill, NY: counters, demo platforms and fabric graphics built; final checks and reprints at our Las Vegas shop.
- January 25 to February 16, 2027: Crates and the hanging sign ship to the Freeman advance warehouse in Las Vegas; electrical and internet ordered at advance rates.
- February 25 to March 2, 2027: Move-in by hall and target time; our project manager and Las Vegas crew finish before the 5 p.m. March 2 deadline.
- March 3–7, 2027: Exhibit hall open March 3–5; dismantle after the 3 p.m. Friday close, with outbound paperwork in by 2 p.m. March 7.

Checklist
- Pay the balance of your AAOS space fee by November 5, 2026 to keep the space and earn two priority points
- Book staff rooms only through onPeak and enter every name in your block by January 8, 2027
- List each implant, instrument set, robot and navigation cart, with weights and power needs
- Mark the FDA clearance status of every product and graphic that will be shown
- Send giveaway, raffle, photography and lighting-effect requests for the January 21, 2027 Booth Activities form
- Sign off the island plan and hanging sign by mid-December 2026 for the January 21 filing
- Register booth staff within the five-badges-per-100-square-feet allotment
- Send logo, product photography and approved technique video to Purple
