Instruments in hand, no tissue: AAOS 2027 booths in Las Vegas

We build AAOS booths where a surgeon can pick up the instrument set, watch the technique on screen and talk outcomes inside one dedicated exhibit break. At the Venetian Convention and Expo Center, Freeman handles freight and hanging signs, and we file the EAC request by January 21.

  • Exhibits March 3–5, 2027
  • 584 exhibitors in 2026
  • Island plans due Jan 21

What makes AAOS Annual Meeting different, and how we build for it

AAOS runs its floor on Priority Points: two permanent points for every year a company exhibits, more for paying early and booking through onPeak, and a 25 percent loss for breaking the rules, so booth placement is earned over years. New companies must pass the AAOS Company Review Process before they can apply. The program pulls surgeons onto the floor on purpose: 11.5 hours of dedicated exhibit time with no competing sessions, OrthoLive with the OrthoDome surgical video experience, the Innovation Theater and the OrthoPitch startup competition. Tissue and live imaging stay out of booths, so instruments, models and video carry the demo.

Orthopaedic surgeons by subspecialty

The instrument set and implant in hand, the technique on a screen they can follow from the counter, and a peer conversation about outcomes, revision rates and workflow in the OR.

Residents and fellows

Time with a demo station during a break between sessions, a clear look at the system they will train on, and a reason to remember the brand when they choose a practice.

Physician assistants, practice administrators and ASC leaders

Pricing models, ambulatory surgery center fit, software and billing detail, and a seated table where a purchasing conversation can run away from the demo crowd.

Your team in Las Vegas

Two shops, one project manager, every hall

We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to the Venetian Convention and Expo Center, and install with our own project manager on the floor and vetted local labor. Predictable 30–45-day turnarounds, secure storage and pre-show QA.

Your team walks into a lit, stocked booth. You just show up.

Rules that shape your booth

No tissue, no live imaging

AAOS bans live or human tissue in any booth, lets imaging equipment be shown but never run with ionizing or non-ionizing radiation, and prohibits activated therapeutic lasers. We build the demo around synthetic bone models, instrument trays and recorded technique video instead.

Organizer rule

FDA status signs at 1/8 inch

Any product not FDA approved for the use shown, or not sold in the United States, carries a clearance-status sign near the product and on any graphic showing it, with text at least 1/8 inch high and readable from four feet. We print these into the counter graphics.

Organizer rule

Giveaways under $100, educational only

Giveaways must be educational, usable in the attendee's practice and worth under $100; t-shirts, hats, lanyards, stickers and tote bags are banned, and raffles are drawn after the meeting. We file your Booth Activities form by January 21, 2027.

Organizer rule

Linear 8 feet, islands 25 feet

Linear booths stop at 8 feet, keep anything over 4 feet five feet back from the aisle and fly no hanging signs; island signs reach 25 feet to the top, installed only by Freeman. We draw to these limits before the January 21 island plan filing.

Organizer rule

Booth photos only after hours

Photography and video are banned during exhibit hours; you may shoot your own booth after hours with the AAOS official photographer or a full-time employee, with approval filed by January 21, 2027, and no outside crews. We schedule the shoot right after install.

Popular booth sizes at AAOS Annual Meeting

AAOS sells linear booths in 10×10 increments ($40 per square foot inline, $42 on a corner) and islands from 20×20 at $40, with no peninsulas or end-caps. Robotics and implant leaders take large islands; we recommend a 10×20 linear for a focused instrument line and a 20×30 island for a robotic system with seating.

Pixee Medical at a medical technology congress

A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.

Pixee Medical needed every visitor to try its augmented-reality surgical guidance without stalling traffic, the same test an AAOS station faces in a 90-minute exhibit break.

Four things we get right for AAOS Annual Meeting exhibitors

Doctor in glasses pointing a pen at a cervical spine X-ray held up to a window1

Plan for the 90-minute surge

AAOS schedules 11.5 hours of dedicated exhibit time, and each day opens with a 90-minute block from 9 to 10:30 a.m. Surgeons arrive in waves, not a trickle. We size each demo counter so two people can work it side by side, and add a close-view screen so the second ring of visitors still sees the instrument.

2

Synthetic bone, not tissue

AAOS bans live or human tissue in booths, and FDA-cleared tissue products stay sealed in an incubator display. We build counters around synthetic bone models, open instrument trays and a mounted screen for recorded technique video, so a surgeon can handle the reamer or plate without breaking the rule.

3

Power drops from overhead

Event Service Electrical is the Venetian's exclusive electrician; power arrives overhead, and linear booths get it behind the drape line. New for 2027, hard back walls must leave 18 inches of clearance for utility access. We draw that gap into the back wall and route cable to every monitor and robotic cart.

4

Island presentations sit five feet back

At AAOS, formal presentation areas in islands sit at least five feet in from the aisles, counters a foot in, and sound stays under 85 decibels at the aisle. For a robotic system demo we set the seating and screen deep in the island and aim speakers inward, so the crowd never spills into the aisle.

Logistics for AAOS Annual Meeting 2027, handled

Freeman is the AAOS 2027 general service contractor and the only material handler, at $1.82 per pound round trip on the 2027 prospectus, so we crate tight and ship to the Freeman advance warehouse at 6675 West Sunset Road between January 25 and February 18, 2027. Teamsters Local 631 covers exhibit labor; Event Services at the Venetian holds electrical, rigging, internet, cleaning and catering. Freeman alone assembles and hangs signs, which must reach the warehouse by February 16. We file the EAC request and insurance with AAOS by January 21, build to your hall's target move-in date, and our Las Vegas crew has every booth standing before the 5 p.m. March 2 deadline.

Hall rules, drayage estimates and freight deadlines for this building are in our Venetian Expo exhibitor guide.

Hall guide

AAOS 2027 uses Halls A to D of the Venetian Convention and Expo Center, and installation opens hall by hall. Your hall sets your first build day and how much of the build falls on weekend overtime.

Halls A and B

Installation starts Thursday, February 25, 2027 at 1 p.m., the earliest window of the show, with direct freight accepted at the Venetian from 8 a.m. that day.

Our advice: An island here can start on two straight-time weekdays, so we front-load the heavy structure and rigging before Freeman's all-weekend overtime rates apply.

Hall C

Installation starts Friday, February 26, 2027 at 8 a.m., one full weekday before Saturday and Sunday labor bills at overtime.

Our advice: We schedule crates for the first Friday target and stage graphics and AV so the weekend shift is finish work, not structure.

Hall D

Installation starts Saturday, February 27, 2027, so the first two build days fall on a weekend when Freeman labor bills at overtime all day.

Our advice: For Hall D we preassemble more at our Las Vegas shop and design for fewer, larger crates, which cuts weekend labor hours on the floor.

First-Time Exhibitor and Publishers & Educators areas

Designated specialty areas on the AAOS floor plan; first-time exhibitors are placed there after companies with priority points unless they ask otherwise on the application.

Our advice: A linear booth in this area keeps anything over 4 feet at least 5 feet back from the aisle, so we put the brand on the 8-foot back wall and keep the front low and open.

What Purple handles

  • Island floor plan, EAC request and EAC insurance filed by January 21
  • Booth Activities form for giveaways, photography and lighting effects
  • FDA clearance status signs printed at 1/8-inch text or larger
  • Freeman, Event Services electrical and internet orders at advance rates
  • Hanging sign shipped to Freeman by February 16
  • Install and dismantle with our project manager and Las Vegas crew

Timeline, counted back from move-in

Island floor plans, EAC request and Booth Activities form due to AAOS: January 21, 2027. Miss it and AAOS can refuse to let an island be assembled and requires Freeman labor in place of your EAC, so we need your design signed off by mid-December 2026.

We need design sign-off by mid-December 2026.

  1. Mid-December 2026Design sign-off; island plan, elevations and hanging sign drawn to the 25-foot limit and the 2027 rules.
  2. By January 21, 2027Island floor plan, EAC request and EAC insurance certificate filed with AAOS, plus the Booth Activities form for giveaways, photography and lighting effects.
  3. January 2027Production in Fishkill, NY: counters, demo platforms and fabric graphics built; final checks and reprints at our Las Vegas shop.
  4. January 25 to February 16, 2027Crates and the hanging sign ship to the Freeman advance warehouse in Las Vegas; electrical and internet ordered at advance rates.
  5. February 25 to March 2, 2027Move-in by hall and target time; our project manager and Las Vegas crew finish before the 5 p.m. March 2 deadline.
  6. March 3–7, 2027Exhibit hall open March 3–5; dismantle after the 3 p.m. Friday close, with outbound paperwork in by 2 p.m. March 7.

Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

AAOS Annual Meeting exhibitor questions

Questions exhibitors ask us before AAOS Annual Meeting

How much does a booth at AAOS 2027 cost?

Start with space: AAOS charges $40 per square foot, so a 10×20 linear is $8,000 and a 20×20 island $16,000. The booth itself runs $7,500 to $15,000 for a 10×20 rental, or $50,000 to $120,000 for a custom 20×20 island. Robotic platforms, monitors and Freeman material handling at $1.82 per pound move the number most.

What is the deadline for island booth plans at AAOS 2027?

January 21, 2027. Every island of 400 square feet or more sends AAOS a scaled floor plan and elevation that day, along with any EAC request, the EAC's insurance certificate and the Booth Activities form. Without an approved plan AAOS can stop the booth from being assembled, so we need your design signed off by mid-December 2026.

Can we rent a booth for AAOS 2027, and what does a rental include?

Yes. An AAOS rental comes with the frame, fabric graphics, LED lighting, instrument counters at seated-surgeon height, lockable storage and the slip-resistant flooring AAOS requires in every booth, plus freight, install and dismantle on one fixed proposal. Our Las Vegas shop stocks the parts, so a rental here ships across town rather than across the country.

Can our own staff set up our booth at the Venetian?

Full-time employees carrying company ID can erect and dismantle their own display inside the booth. Anything beyond that falls to Teamsters Local 631 through Freeman, at $169 an hour straight time and $276 overtime on the 2027 prospectus, or to an approved EAC. AAOS needs the EAC request by January 21, 2027, or Freeman labor becomes mandatory.

Can we demonstrate implants, robotics or imaging equipment at AAOS?

Implants, instruments and robotic systems can be demonstrated inside your space. Imaging equipment may be displayed but not operated with ionizing or non-ionizing radiation, activated therapeutic lasers are prohibited, and no live or human tissue is allowed. Any product without FDA clearance for the use shown needs a status sign we print at the product and on its graphics.

What does material handling cost at AAOS 2027?

Freeman bills $1.82 per pound for both advance-warehouse and direct shipments on the 2027 prospectus, round trip and including overtime, and $2.28 per pound for freight that reaches the warehouse late. Loose, uncrated freight is refused at the warehouse. We weigh every crate before it ships and put the handling estimate on its own proposal line.

Can we hang a sign over our AAOS booth?

Only on an island. Linear booths at AAOS allow no hanging signs and stop at 8 feet. Island signs can reach 25 feet from the floor to the top and must stay inside the booth's footprint. Freeman alone assembles and hangs them, so we build the sign, ship it on Freeman's hanging-sign label by February 16, 2027, and supervise the lift.

Which hall will our AAOS booth be in?

AAOS 2027 fills Halls A to D of the Venetian Convention and Expo Center. Install opens by hall: Halls A and B from Thursday, February 25, Hall C from Friday, February 26 and Hall D from Saturday, February 27. Freeman then sets a target time by booth size and location, and we plan crew and freight to your hall.

Can we reuse our AAOS booth at other orthopaedic shows?

We design the counters and walls to reconfigure, so an AAOS island can shrink to a 10×20 for the NASS Annual Meeting, travel to OMTEC with supplier graphics, or follow you to AORN. Between shows it stays at our Las Vegas shop, which saves a cross-country trip whenever the next show is in Las Vegas too.

When is AAOS 2027?

The AAOS 2027 Annual Meeting runs Wednesday, March 3 to Saturday, March 6, 2027, and the exhibit hall is open Wednesday through Friday, March 3–5. Hours are 9 a.m. to 5 p.m. on Wednesday and Thursday and 9 a.m. to 3 p.m. on Friday, with a Happy Hour in the Exhibit Hall from 3 to 5 p.m. on Thursday.

Where is AAOS 2027 held?

At the Venetian Convention and Expo Center, 201 Sands Avenue, Las Vegas, in Halls A to D. AAOS has contracted more than 10,000 hotel rooms in Las Vegas through onPeak, its housing bureau, and exhibitor badges are picked up on Level 2, Lobby C of the Venetian. The 2028 and 2029 meetings move to the San Diego Convention Center.

How many people attend the AAOS Annual Meeting?

AAOS counted 6,964 professional medical attendees in New Orleans in 2026, including 3,291 U.S. physicians and 1,316 international physicians, plus 6,456 industry attendees. That floor held 584 exhibiting companies on 186,200 square feet. San Diego in 2025 drew 7,733 professional attendees and 623 exhibiting companies.

Is the AAOS Annual Meeting open to the public?

No. AAOS is a professional meeting: everyone needs a badge for the exhibit hall, first-time attendees must request approval before registering, and no one under 16 may enter the hall. Exhibitor badges, five per 100 square feet of space, are for booth staff only and cannot be used to register attendees.

How do I get a booth at AAOS 2027?

A company new to AAOS completes the Company Review Process first, then applies online with a 50% deposit; products must relate to orthopaedic practice. Assignments after the July 30, 2026 round go first-come, first-served, and applications sent after November 5, 2026 must include full payment. A limited First-Time Exhibitor area is set aside.

Before you sign with anyone

Five questions to ask any exhibit builder for AAOS Annual Meeting:

  1. Is every fee on the proposal, including what the show contractor bills?
  2. Who builds the booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor for install and dismantle?
  4. What exactly is in the rental, and what is billed by the show?
  5. Where does the booth go after the show, and what does storage cost?

Common situations

Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.

Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready in two to three weeks. We tell you on the first call what is realistic for your date.
