Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space, inline: $3,700 per 10×10, ACEP26 (2026) rate
- Booth space, island: $16,000 per 20×20 and $24,000 per 20×30, ACEP26 (2026) rates
- Non-profit inline: $2,500 per booth, 30 booths available, ACEP26 (2026) rate
- Drayage (Purple venue guide figure): $323.95 per cwt crated to the advance warehouse, 200 lb minimum, from a 2026 rate sheet for another show at the BCEC
Key dates
- Design sign-off with Purple: Mid-July 2027
- Mid-July 2027: Design sign-off; island drawings prepared, since ACEP wants island plans 30 days before opening at the latest and set its 2026 island blueprint date about eight weeks out.
- Late July to August 2027: Production in Fishkill, NY: scanning tables, low front counters, literature racks and fabric graphics built and test-fitted.
- 30 days before opening: EAC form, $1 million certificate of insurance, giveaway or drawing requests and survey questions filed with ACEP; any laser or X-ray use already cleared in writing.
- About 3 weeks before move-in: Crates ship to the official contractor's advance warehouse; electrical, carpet and lead retrieval ordered.
- Days before October 25, 2027: Move-in at the Menino center; our project manager and vetted local labor finish by 5 p.m. the day before opening, when unoccupied booths count as no-shows.
- October 25–28, 2027: The Assembly runs; we dismantle only after the hall officially closes, because early teardown forfeits all priority points.

Checklist
- Apply early enough to hold space on a 50% deposit, at least 215 days before October 25, 2027
- Check every product shown against FDA standards and ACEP's barred list
- Plan the live scan: no minor models, sports attire for demo staff and ACEP's Ultrasound Leadership guidelines
- List the literature you will hand out; device companies give nothing else
- Send giveaway, drawing and survey requests to ACEP 30 days before opening
- Recruiters: complete ACEP's Employment Practices Survey
- Approve the booth design in mid-July 2027, ahead of ACEP's island drawing cutoff
- Book rooms through onPeak, the only hotel provider ACEP27 endorses
