Under 48 inches up front: ACEP 2027 booths in Boston for emergency medicine
We build ACEP booths so an emergency physician can pick up the probe, watch the image and leave with literature in the few minutes between courses. At the Menino center in Boston we file the EAC form and certificate of insurance 30 days out and plan freight around Carpenters Local 327 labor.

What makes ACEP Scientific Assembly different, and how we build for it
ACEP calls its Scientific Assembly the world's largest emergency medicine conference, and the exhibit hall has to fit around 273 CME courses (2025 count). In 2026 ACEP set dedicated exhibit hours with no competing sessions, opened the hall with a party, and ran the AI Innovation Zone, Expert Theaters held over meals and ACEP Alley for member services on the floor. The rules screen products hard: products must relate to emergency medicine and drugs and devices must meet FDA guidelines, TENS units, red light therapy and massage guns are barred, and staffing groups file ACEP's Employment Practices Survey before they can recruit. Device makers hand out product literature only, so the demo, not the giveaway, has to carry the visit.
A device they can hold and run the way they would at 3 a.m. in a resuscitation bay, a clear answer on what it costs the department, and literature to carry back to their group.
Hands-on time with ultrasound, airway and procedure tools they will meet on shift, plus a straight conversation with recruiters about where they might work after training.
Throughput, staffing and documentation numbers, integration details for the department's systems, and a seat for a scheduled conversation away from the hands-on station.

Inside ACEP Scientific Assembly 2027
Rules that shape your booth
ACEP's 2026 giveaway list applies PhRMA, AdvaMed and AMA guidance: device and drug companies distribute product literature only, and prize drawings never run in the booth during exhibit hours. We build literature racks and a QR follow-up panel into your counter.
Inline displays stay under 48 inches in the front five feet and 8 feet at the rear, and demo tables sit at least a foot behind the aisle line. We draw your ultrasound cart, monitor and back wall to those lines before you approve the design.
Island structures stop at 20 feet, hanging signs top out at 24 feet with no variances, solid walls stay a foot off the aisle, and plans reach ACEP at least 30 days before opening. Career Hub islands fly no signs. We file drawings with every height marked.
Live-model scanning follows ACEP's Ultrasound Leadership guidelines, minors may not model, contracted demo staff wear sports attire, live microphones are banned, and lasers or X-ray equipment need prior written authorization. We build a screened scanning bed and a mirrored display that needs no amplified sound.
Booths stay staffed all exhibit hours, and dismantling early forfeits all accumulated priority points with no exceptions; height or aisle violations cost points and 10% of booth fees. We schedule our labor to start only after the hall closes.
Programs worth planning for
A floor area new at ACEP26 for live demonstrations of AI and emergency medicine technology, listed on the 2026 exhibit hall page as the AI Innovation Area. It suits software exhibitors whose product is easiest to judge on a screen.
Educational sessions led by industry experts and served with a meal, listed among the exhibit hall features at ACEP26. They give a company a seated audience in addition to its booth traffic.
ACEP sets aside 30 standard inline booths at a non-profit rate, $2,500 at ACEP26 against $3,700 for commercial inlines; once those 30 are gone, non-profits pay the full rate.
ACEP is the largest U.S. emergency medicine meeting, with 272 exhibitors in 2025; choose it over AACN's NTI when your buyer is the emergency physician or ED director rather than the critical care nurse. Compare every medical devices show we build for →

Popular booth sizes at ACEP Scientific Assembly
ACEP sells inline 10×10 units, premium inlines shaded purple on the floor plan, and islands from 20×20 to 20×50 (2026 rate card), with no peninsulas listed. For one product line we suggest a 10×20 inline around a single scanning or airway station; a 20×20 island pays off once you want two hands-on faces and a flown sign.

A point-of-care ultrasound cart and scanning table set back a foot from the aisle, a literature counter under 48 inches in the front five feet, and an 8-foot lit back wall.

Case study · Pixee Medical
Pixee Medical at a medical technology congress
A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.
Different specialty, same task: Pixee Medical needed every visitor to try its AR guidance without stalling traffic, and an ACEP scanning station must do that between courses.

04 Designing for emergency department device, ultrasound, airway, staffing and software companies at ACEP Scientific Assembly
Four things we get right for ACEP Scientific Assembly exhibitors
1Keep the front five feet low
ACEP caps inline displays at 48 inches in the front five feet and 8 feet at the rear, and puts demo tables at least a foot behind the aisle line. We push the ultrasound cart and monitor to the back half, keep the front counter low and angle the screen so the aisle still sees the image.
Plan the live scan by the book
Live-model scanning at ACEP follows guidelines written by the College's Ultrasound Leadership, minors may never model, contracted demo staff wear sports attire, and booths may not use live microphones. We build a screened scanning bed with a mirrored overhead display, so a ring of residents can follow the probe without anyone raising their voice.
Let literature do the giving
Under ACEP's 2026 giveaway list, device and pharmaceutical companies may hand out product literature only, and prize drawings never happen in the booth during exhibit hours. We design literature racks into the counter and a QR panel tied to your lead scanner, so the follow-up replaces the tote bag.
Build for the dedicated hours
In 2026 ACEP opened the hall with no competing sessions for set blocks each day, and early teardown costs an exhibitor every priority point. We size the booth for peak crowds in those blocks, add a second scanning station where the footprint allows, and staff the floor until the final bell.

Concept rendering
Every proposal comes with a rendering like this

Logistics for ACEP Scientific Assembly 2027, handled
Freeman was ACEP's official general services contractor in 2026, and ACEP requires the official contractor for all material handling, with forklifts and pallet jacks run only by its crews. Massachusetts is not a right-to-work state, so anything beyond light hand work at the Menino center is Carpenters Local 327 labor booked via the contractor. Freight sent straight to the Seaport docks pays Boston's steeper direct-to-site tariff, so we crate everything to the advance warehouse first. We file the EAC form and a $1 million certificate of insurance 30 days before opening, have the booth standing by 5 p.m. the day before the Assembly starts, with our project manager leading vetted Boston labor on the floor.
Hall rules, drayage estimates and freight deadlines for this building are in our Boston Convention & Exhibition Center exhibitor guide.
Hall guide
The Signature Boston calendar lists ACEP27 at the Menino center in the Seaport District, a single-level exhibit building. ACEP has not placed the 2027 floor yet, so here is how the building and ACEP's own floor areas shape a booth.
One ground-level floor of 516,000 square feet in three bays; smaller events take part of it, larger ones join the bays together.
Our advice: Aisle traffic follows your booth number, so we finalize the scanning station's orientation after ACEP assigns space and turn the screen toward the busier aisle.
In 2026 ACEP ran live technology demonstrations in its AI Innovation Zone and held sponsored Expert Theater sessions over meals inside the exhibit hall.
Our advice: Software and AI exhibitors gain from space near the zone; we design a standing demo bar with large screens so a crowd leaving a theater can stop without blocking the aisle.
A recruiting area named in ACEP's exhibit rules; island exhibitors placed inside it may not fly hanging signs.
Our advice: For a staffing island in the Career Hub we move the brand onto tall lit towers within the 20-foot limit and add seated tables for recruiting conversations.
What Purple handles
- EAC form and $1 million certificate of insurance filed 30 days out
- Island drawings marked with the 20-foot structure and 24-foot sign limits
- Low front counters and set-back scanning stations drawn to the 48-inch rule
- Freeman or official contractor orders, electrical and lead retrieval
- Crated freight to the advance warehouse and Boston drayage on the proposal
- Install by the day-before deadline and dismantle after the hall closes

Timeline, counted back from move-in
We need design sign-off by mid-July 2027.
- Mid-July 2027Design sign-off; island drawings prepared, since ACEP wants island plans 30 days before opening at the latest and set its 2026 island blueprint date about eight weeks out.
- Late July to August 2027Production in Fishkill, NY: scanning tables, low front counters, literature racks and fabric graphics built and test-fitted.
- 30 days before openingEAC form, $1 million certificate of insurance, giveaway or drawing requests and survey questions filed with ACEP; any laser or X-ray use already cleared in writing.
- About 3 weeks before move-inCrates ship to the official contractor's advance warehouse; electrical, carpet and lead retrieval ordered.
- Days before October 25, 2027Move-in at the Menino center; our project manager and vetted local labor finish by 5 p.m. the day before opening, when unoccupied booths count as no-shows.
- October 25–28, 2027The Assembly runs; we dismantle only after the hall officially closes, because early teardown forfeits all priority points.
Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

ACEP Scientific Assembly exhibitor questions
Questions exhibitors ask us before ACEP Scientific Assembly
How much does a booth at ACEP 2027 cost?
Ultrasound, airway and software companies at ACEP mostly start with a 10×20 inline: rental runs $7,500 to $15,000, a custom build $15,000 to $45,000. A 20×20 custom island runs $50,000 to $120,000. Scanning beds, mirrored displays and Boston drayage move the number. ACEP bills space separately: $3,700 per 10×10 inline and $16,000 for a 20×20 island in 2026.
When do we need to commit to an ACEP 2027 booth?
ACEP's payment rule is set in days before opening: applications sent more than 215 days out carry a 50% deposit, the balance is due 190 days out, and cancelling less than 215 days before opening leaves you liable for the full space fee. Island drawings follow at least 30 days before opening. We want design sign-off by mid-July 2027.
Can we rent a booth for ACEP, and what does a rental include?
Yes. A rental covers the frame, fabric graphics, lighting, a low front counter with literature racks and a scanning or demo table, and we price the freight, the install and the teardown together on a fixed quote. ACEP's inline package adds only pipe and drape, a 7×44-inch ID sign and badges, so carpet, furniture and power go on our order list.
Can we set up our own booth at the BCEC?
Only small, hand-built displays. Massachusetts has no right-to-work law, so booth building at the Menino center is union carpentry (Local 327) ordered via the official contractor, and ACEP admits no outside crew without an EAC form and insurance on file. We file both and supervise the install ourselves.
What can a device company give away at ACEP?
Product literature, and nothing else. ACEP's 2026 giveaway list applies PhRMA, AdvaMed and AMA guidance, so device and drug companies skip the mugs and gift cards other exhibitors may offer. Any drawing happens outside exhibit hours with prizes approved in writing. We put literature racks and a QR follow-up in the counter instead.
Can we run live ultrasound scans at our ACEP booth?
Yes, within ACEP's rules: live-model scanning follows the College's Ultrasound Leadership guidelines, minors may not serve as models, contracted demo staff wear sports attire, and the demo table sits at least a foot behind the aisle line. Lasers and X-ray equipment need ACEP's prior written authorization. We design the scanning bed, screening and display around those limits.
What does drayage cost in Boston, and who pays it?
You pay it, at the official contractor's tariff, which ACEP publishes only in its exhibitor kit. Purple's Boston venue guide records one 2026 rate sheet from another show in this building: $323.95 per hundredweight crated via the advance warehouse, $404.94 for freight arriving at the docks, 200 pounds minimum. Scanning beds and carts add weight fast, so our proposal estimates drayage per crate.
Can we reuse our ACEP booth at other shows?
Boston hosts three big clinical meetings in a row in 2027: ANESTHESIOLOGY on October 15–19 and AHA Scientific Sessions on November 5–8 share the Menino center with ACEP. We build the scanning station and counters to travel between them with new graphics, and store the booth between shows.
Do you handle Freeman orders and the EAC paperwork for ACEP?
We do. Freeman was ACEP's general services contractor in 2026, with carpet, furniture, electrical and internet ordered through its online kit once space is paid in full. We place those orders, send ACEP the outside-contractor form with our insurance certificate, and submit giveaway and survey requests 30 days ahead.
When is ACEP 2027?
ACEP27, the 2027 Scientific Assembly, runs Monday, October 25 to Thursday, October 28, 2027, in Boston. Exhibit hall days for 2027 are not confirmed yet; at ACEP26 in Chicago the hall opened Monday, October 5 to Wednesday, October 7. Next come Las Vegas on September 17–20, 2028 and Philadelphia on October 1–4, 2029.
Where is ACEP 2027 held?
In Boston's Seaport District. ACEP's own pages name only the city, and the Signature Boston event calendar books the American College of Emergency Physicians into the Menino Convention & Exhibition Center on Summer Street, still called the BCEC by most exhibitors. onPeak is ACEP's only endorsed hotel provider.
How many people attend ACEP?
ACEP25 in Salt Lake City drew 8,051 total attendees, including 2,001 residents and 303 international attendees from 59 countries, with 272 exhibitors, according to ACEP Now. ACEP said more than 250 companies would exhibit at ACEP26 in Chicago in October 2026.
Who organizes the ACEP Scientific Assembly?
The American College of Emergency Physicians, the national specialty society for emergency medicine, runs the Assembly and its exhibit hall. ACEP Show Management approves giveaways, surveys, island plans and outside contractors, and its interpretation of the exhibit rules is final.
How do I get a booth at ACEP?
Start with ACEP's Exhibits & Sponsors pages, which carry the space rates, application and rules. Products must relate to emergency medicine or the physician's practice and meet FDA guidelines, and recruiting or staffing firms complete the Employment Practices Survey. Booths left unstaffed, built too tall or torn down early lose ACEP priority points.
Before you sign with anyone
Five questions to ask any exhibit builder for ACEP Scientific Assembly:
- Is every fee on the proposal, including what the show contractor bills?
- Who builds the booth: your own shop or a subcontractor?
- Will your project manager be on the floor for install and dismantle?
- What exactly is in the rental, and what is billed by the show?
- Where does the booth go after the show, and what does storage cost?
Common situations
Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.
Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.
