Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space: $48 per sq ft standard; islands and corners at no extra charge, 2026 rate
- Public service rate: $30 per sq ft in the nonprofit area, 2026 rate
- Health Innovation Pavilion: $6,500 turnkey pod to $16,250 turnkey 10×20, 2026 rates
- Drayage: $323.95 per cwt crated to the advance warehouse, 200 lb minimum: Purple's venue-guide figure for this building from a 2026 kit
Key dates
- Design sign-off with Purple: Late August 2027
- Late August 2027: Design sign-off; island diagrams and structural engineer stamps for anything over 10 feet prepared for AHA's booth design approval.
- September 2027: Production in our Fishkill, NY shop; graphics proofed against your approved claims and FDA status lines.
- Five weeks before move-in: Written hanging-sign notice to AHA and its official contractor; EAC Notification of Use and insurance certificate filed.
- About 3 weeks before move-in: Booth crates ship to the official contractor's advance warehouse; the hanging sign travels separately to arrive a week before the first move-in day.
- Days before November 5, 2027: Move-in in Boston with our own project manager and vetted local labor; demo stations, monitor feeds and labels checked before opening.
- November 5–8, 2027: Scientific Sessions in Boston; after the hall closes we dismantle and send the booth to storage or your next cardiology meeting.

Checklist
- List every product you plan to show on the AHA space application, with its FDA status
- Pull booth number and footprint from your Scientific Sessions 2027 space contract
- Decide which demos need a phantom station or a monitor feed instead of a live model
- Collect approved claims, trial data panels and the display-only line for any device without FDA approval
- Submit each giveaway and any drawing to AHA through the exhibitor service kit
- Request AHA's written permission on the Booth Activities Form if you want photos of your own booth
- Approve the island diagram and hanging sign by late August 2027 so the five-week notice goes out on time
- Book staff rooms only through onPeak, the housing vendor AHA names in its rules
