Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space, inline: $5,000 per 10×10, corner $5,200, 2027 rates
- Booth space, island: $52 per sq ft for 20×20 and larger, 2027 rate
- Clinical Trial Awareness or non-profit: $1,500 per 10×10, 2027 rate
- Drayage: About $155 per cwt, 200 lb minimum, Purple venue-guide figure for 2026–2027
Key dates
- Island drawings submitted for ATS approval; independent contractor name, booths and insurance due: March 31, 2027
- Design sign-off with Purple: Early March 2027
- Early March 2027: Design sign-off; final payment already due and refunds closed after February 5.
- By March 31, 2027: Island drawings submitted for ATS approval; independent contractor name, booths and insurance filed.
- March to mid-April 2027: Production in Fishkill, NY over 30 to 45 days; graphics proofed with your medical-legal approved copy.
- Late April 2027: Booth, counters and demo furniture ship to Freeman, the ATS general contractor, for delivery in New Orleans.
- May 14–15, 2027: Set-up 8 a.m. to 5 p.m. both days; power, AV and device demos tested.
- May 16–19, 2027: Exhibit hall May 16–18; dismantle from 3:30 p.m. May 18 to 5:30 p.m. May 19, then storage or your next meeting.

Checklist
- Send Purple your booth number, size and type from the ATS space agreement
- Pay the balance before February 5, 2027, when refunds end
- List every device to demo with its dimensions, weight and power needs
- Separate promotional, medical information and clinical trial content
- Decide on an in-booth meeting room or an Expo Hall Meeting Room
- Approve island drawings in early March for the March 31 ATS deadline
- Submit Industry Theater content by March 16, 2027 if you hold a slot
- Register staff: four badges per 10×10, $75 for each extra
