Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Drayage (Purple venue guide): About $90 per cwt, Purple's 2026 Fort Worth planning figure
- EAC administrative fee: $300 per booth served, paid by the EAC, 2026 manual
- Extra exhibitor badges: $40 each beyond four per 100 sq ft, 2026 rate
- Exhibitor liability insurance: $65 plus tax through Marsh/Total Event Insurance, 2026 manual
Key dates
- Design sign-off with Purple: Mid-January 2027
- Mid-January 2027: Design sign-off; floor plan marked with the test-drive loop, flooring, power drops and any hanging sign for the show's drawing review.
- Late January 2027: Sealed structural drawings filed for any covered or multilevel exhibit, at least 60 days before move-in.
- Late January to February 2027: Production in Fishkill, NY: counters, flooring modules, ramps, graphics and lighting built and tested.
- About 3 weeks before move-in: Crates and skidded product ship to the show contractor's advance warehouse; electrical goes to Edlen and internet to Cox Business.
- Days before March 24: Move-in through the Commerce Street docks; our project manager installs, charges every demo battery and walks the drive loop.
- March 24–25, 2027: Expo hall open 9 a.m. to 5 p.m. and 10 a.m. to 3 p.m.; after 3 p.m. on March 25 we dismantle and ship to your next show or back to you.

Checklist
- Send your booth number and footprint from the Medtrade 2027 contract, and your Priority Points standing
- List every product you will show, with weight, battery type and charging needs
- Decide whether power chairs or scooters need a drive loop, and how big
- Enter the New Product Pavilion if you are launching, and send product name and booth number for signage
- Collect dealer price sheets, billing references and order forms for the quote counter
- Sign off the design by mid-January 2027
- Book hotels through EvolveCon via HotelMap, Medtrade's official housing vendor
- Register booth staff: four badges per 100 square feet, extras at $40 each in 2026
