Medtrade 2027 in Fort Worth: booths HME dealers can test-drive before they stock

We build Medtrade booths so a DMEPOS provider can sit in the chair, hear the concentrator run and read your dealer terms at one counter, all inside your space. At the Fort Worth Convention Center, freight enters through the Commerce Street docks and Edlen Electrical is the exclusive power provider; we book both.

  • Expo hall March 24–25
  • 280+ exhibitors in 2026
  • Right-to-work Fort Worth

What makes Medtrade different, and how we build for it

Medtrade is the home medical equipment trade's own show, held since 1979, run by Emerald and partnered with AAHomecare, whose policy update and Stand Up for Homecare reception share the March 24 schedule. The expo floor is open just 13 hours over two days, so DMEPOS providers walk it with a buying list: mobility, respiratory, sleep, rehab and aids to daily living. Attendees vote the New Product Pavilion's Providers' Choice awards on the floor, and in 2026 CRT Live and the Tech Talks ran scheduled sessions from their own booths on the floor. A dealer judges a product on how it works in a client's home and what it earns after reimbursement, so the booth has to show both.

HME and DMEPOS provider owners and purchasing managers

The product in their hands, the billing codes and documentation it fits, dealer pricing, minimum orders, warranty and freight terms, and a sales rep who can quote without leaving the counter.

Complex rehab and mobility specialists

A chair they can sit in, adjust and drive, seating and positioning options laid out by configuration, and a technical person who can talk frame weights, batteries and service parts.

Retail, pharmacy-front and distribution buyers

Retail packaging, a shelf or endcap set they can picture in their own store, case packs and lead times, and a sell sheet with the margin math written out.

Your team in Fort Worth

Two shops, one project manager, every hall

We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to the Fort Worth Convention Center, and install with our own project manager on the floor and vetted local labor. Predictable 30–45-day turnarounds, secure storage and pre-show QA.

Your team walks into a lit, stocked booth. You just show up.

Rules that shape your booth

Signs and sound start at 400 square feet

Hanging signs belong only to islands, split islands and peninsulas of 400 square feet or more, and booths under 400 square feet may run no amplified sound (2026 rules). We size the footprint to the features you need before you sign for space.

Organizer rule

Twenty feet combined, five feet clear

On a qualifying island or peninsula, ground structure plus hanging sign stays within a 20-foot combined height, the sign tops out at 25 feet, and a continuous 5-foot gap separates them. We engineer the tower and sign as one drawing for Show Management.

Organizer rule

No Concrete, Cubic Content

Medtrade is a No Concrete show, so every booth covers its full floor, and a Cubic Content show, where structure breaking the booth-type guidelines can cost a fine or Priority Points. We spec flooring and heights to the rule from the first sketch.

Organizer rule

Demos stay inside the booth

No display, product or demonstration, and no audience watching one, may reach the aisle, and scooters, robots or sign carriers may not roam outside an exhibitor's space. We give every Medtrade drive trial and product talk its own marked floor area.

Organizer rule

Show days only for booth photos

Only the official photographer or an approved EAC photographer may shoot in the hall, and exhibitors may photograph their own booth on show days only (2026 rules). We file the Photography Approval Form when you want your Medtrade booth shot professionally.

Case study · Pixee Medical

Pixee Medical at a medical technology congress

A focused, demo-first booth for augmented-reality surgical guidance, built so every visitor could try the technology while traffic kept moving.

Pixee Medical sold surgical guidance, not wheelchairs, but its booth put a hands-on trial in every visitor’s reach while the crowd kept flowing, the same job a Medtrade drive loop has.

04 Designing for home medical equipment, DMEPOS and complex rehab manufacturers and suppliers at Medtrade

Four things we get right for Medtrade exhibitors

Two caregivers pushing seniors in wheelchairs down a long care home corridor1

Keep the test drive off the aisle

Medtrade's 2026 rules bar any part of a display, product or demonstration from reaching the aisle, audience included, and ban scooters or robots roaming outside your space. We mark a driving loop inside the booth with contrasting flooring, a ramp and a doorway-width gate, so a dealer can try the turning radius without leaving your footprint.

2

Floor every inch, then make it drivable

Medtrade is a No Concrete show: every booth covers its whole floor or the contractor carpets it at your cost. Deep carpet drags a power chair and hides a rollator's glide, so we specify firm, low-pile or hard-surface flooring with beveled edges where test drives run, and plush only in the meeting corner.

3

Show quiet without a speaker

Booths under 400 square feet may run no amplified sound at Medtrade, and larger ones stop at 80 decibels measured at the aisle (2026 rules). We build respiratory and sleep counters where a provider can stand next to a running concentrator or CPAP and hear it for themselves, with captioned screens carrying the rest.

4

Quote at the counter, ship after

Selling merchandise from a Medtrade booth is prohibited, and a display unit sold on the floor stays put until the final day closes at 3 p.m. on March 25. We build a dealer counter for quotes, order forms and reimbursement references, and tag every display unit so your team knows which pieces ship to a buyer.

Logistics for Medtrade 2027, handled

Texas is right-to-work, and Medtrade lets full-time company staff set up and dismantle their own booth, so your team can work beside our project manager and vetted Fort Worth labor. All exhibit freight moves through the Commerce Street loading docks, one dock per exhibit hall bay, and the center keeps electrical, water and air with Edlen, internet with Cox Business, rigging with Inspire Solutions and catering with Trinity Food & Beverage Services. We plan drayage at about $90 per hundredweight, file sealed drawings 60 days before move-in for a multilevel exhibit or 300 square feet of covered space (2026 rules), and route crates around the building's expansion work. DFW International sits about 30 minutes away.

Hall rules, drayage estimates and freight deadlines for this building are in our Fort Worth Convention Center exhibitor guide.

Hall guide

These are the spaces the Fort Worth Convention Center offers exhibitors. We draw for Medtrade's hall layout once the 2027 floor plan assigns your booth, and plan freight around the building's expansion work.

Contiguous exhibit hall

The City of Fort Worth lists 156,228 square feet of contiguous exhibit hall space, and the building's facility rules say Exhibit Hall bays B through F cannot be booked alone: a show using them takes at least two bays.

Our advice: One open floor puts your island in sight of most aisles, so a hanging sign at the 400-square-foot threshold earns its rigging cost here.

Commerce Street loading docks

All exhibit move-in and move-out runs through the Commerce Street dock area, with one dock per exhibit hall bay; the docks and the Annex are shared space.

Our advice: We skid power chairs, beds and lift chairs on pallets that clear the freight doors and book a dock target, so heavy product reaches the booth first.

Ballroom and meeting rooms

A 28,160-square-foot ballroom and 58,849 square feet of meeting space with 21 breakout rooms sit alongside the halls, and the 2027 schedule runs sessions while the expo is open.

Our advice: Expect traffic in waves as sessions let out on March 24; we put the quickest demo at the aisle edge so a provider can try it between sessions.

Arena and expansion zone

The City of Fort Worth lists a $701 million expansion and modernization underway, which in Purple's venue guide replaces the original 1968 arena; Visit Fort Worth gives completion as early 2030.

Our advice: We confirm the freight route and marshaling plan with Medtrade's general service contractor before shipping, so crates never wait at a closed entrance.

What Purple handles

  • Test-drive flooring, ramps and charging storage for mobility products
  • Show contractor, Edlen electrical and Cox Business internet orders

Timeline, counted back from move-in

We need design sign-off by mid-January 2027.

  1. Mid-January 2027Design sign-off; floor plan marked with the test-drive loop, flooring, power drops and any hanging sign for the show's drawing review.
  2. Late January 2027Sealed structural drawings filed for any covered or multilevel exhibit, at least 60 days before move-in.
  3. Late January to February 2027Production in Fishkill, NY: counters, flooring modules, ramps, graphics and lighting built and tested.
  4. About 3 weeks before move-inCrates and skidded product ship to the show contractor's advance warehouse; electrical goes to Edlen and internet to Cox Business.
  5. Days before March 24Move-in through the Commerce Street docks; our project manager installs, charges every demo battery and walks the drive loop.
  6. March 24–25, 2027Expo hall open 9 a.m. to 5 p.m. and 10 a.m. to 3 p.m.; after 3 p.m. on March 25 we dismantle and ship to your next show or back to you.

Purple planning timeline. Official move-in, freight target and order deadlines come from your exhibitor kit and assigned schedule; we confirm them against your booth when you book.

Medtrade exhibitor questions

Questions exhibitors ask us before Medtrade

How much does a booth at Medtrade 2027 cost?

For a power mobility line the fitting tier is a 20×20 island: $16,000 to $40,000 as a rental, $50,000 to $120,000 custom. A respiratory or software exhibitor in a 10×20 rental spends $7,500 to $15,000. Drivable flooring, ramps, lift-chair weight and a hanging sign move the figure. Emerald bills the space itself through your account executive, and we list drayage and electrical separately.

What is the deadline to book and build for Medtrade 2027?

Space goes in Priority Points order: one point per dollar of booth fees, 1.5 per dollar of sponsorship, and companies exhibiting at the current show book next year's space at appointments during it. New companies start with the New to Medtrade form. In 2026 the contractor's discount deadline fell three weeks before opening, so we need design sign-off by mid-January 2027.

Can we rent a booth for Medtrade, and what does a rental include?

A Medtrade rental from us covers the frame, printed fabric graphics, LED lighting, a dealer counter with lockable storage, and the flooring the No Concrete rule requires, laid firm enough for a chair to roll on. One fixed price covers freight both ways plus labor to build and strike it, and after the 3 p.m. close on March 25 the whole kit comes back to us.

Can we set up our own booth at the Fort Worth Convention Center?

Medtrade allows full-time company staff to build and dismantle their own booth, and Texas is right-to-work, so your team can join ours on the floor. Hand-carried material is limited to what one person carries in one trip. Any outside installer files the EAC Notification Form and a certificate of insurance before move-in; we handle both for our crew.

Can we demo power wheelchairs and scooters at Medtrade?

Yes, inside your own space. The 2026 rules keep every demonstration and its audience out of the aisle and ban scooters or moving promotions outside the booth, so the drive loop lives within your footprint. We plan a 20×20 or larger for driving trials, with charging storage, and keep sold display units on the floor until close.

Can we hang a sign over our Medtrade booth?

Only on an island, split island or peninsula of 400 square feet or more. In 2026 the sign could reach 25 feet to its top, ground structure plus sign was capped at a 20-foot combined height, and a 5-foot gap had to separate them. Freeman held rigging in Phoenix; at Fort Worth, Inspire Solutions is the center's exclusive rigger.

What does drayage cost in Fort Worth, and who pays it?

Plan about $90 per hundredweight for material handling at the Fort Worth Convention Center, our 2026 planning figure; the general service contractor bills it to you by weight at its kit rate. Power chairs, lift chairs and beds are heavy, so we skid product with the booth crates in one shipment, and your proposal prices that weight before anything leaves Fishkill.

Can we reuse our Medtrade booth at other shows?

We design the counters and drive-loop flooring to travel, so the same kit can follow you to AOTA INSPIRE for occupational therapists, ATS for respiratory and sleep clinicians, and AANP for nurse practitioners, with new graphics printed for each crowd. Between shows we ship it to the next advance warehouse on its target date.

Do you handle the contractor and electrical orders for Medtrade?

We file the general service contractor's orders for carpet, material handling and labor (Freeman held that role in 2026), plus the center's exclusive services: Edlen Electrical for power, Cox Business for internet and Inspire Solutions for rigging. Your proposal lists each one, and you are copied on every order and its discount date.

When is Medtrade 2027?

The Medtrade 2027 conference runs Tuesday, March 23 to Thursday, March 25, 2027, with workshops on the first morning. The expo hall opens Wednesday, March 24 from 9 a.m. to 5 p.m. and Thursday, March 25 from 10 a.m. to 3 p.m., so exhibitors get 13 selling hours in all.

Where is Medtrade 2027 held?

At the Fort Worth Convention Center, 1201 Houston Street in downtown Fort Worth, Texas, about 30 minutes from DFW International Airport by the city's count. It is the show's first year in Fort Worth after three years at Dallas's Kay Bailey Hutchison Convention Center and the 2026 edition in Phoenix.

How many people attend Medtrade?

Medtrade counted more than 2,300 qualified attendees at its 2024 Dallas show, from every state but Rhode Island and 35 countries, almost 25% more than in 2023. For the 2026 Phoenix edition the organizer promoted a floor of 280+ exhibitors and over 3,000 DMEPOS providers.

Is Medtrade open to the public?

No. Medtrade sells expo and conference passes to the home medical equipment trade, and Emerald may accept, reject or prohibit any registration. First-time non-exhibiting manufacturers paid $1,800 for an expo pass in 2026, and that year's rules kept anyone under 16 out of the hall and sessions, and anyone under 18 out during move-in and move-out.

How do I get a booth at Medtrade?

Emerald sells the space. First-time exhibitors complete the New to Medtrade form and an account executive follows up with the prospectus; returning exhibitors book through their own account executive, with placement ranked by Priority Points and ties going to the company that has exhibited longest. Each booth includes four exhibitor badges per 100 square feet.

Before you sign with anyone

Five questions to ask any exhibit builder for Medtrade:

  1. Is every fee on the proposal, including what the show contractor bills?
  2. Who builds the booth: your own shop or a subcontractor?
  3. Will your project manager be on the floor for install and dismantle?
  4. What exactly is in the rental, and what is billed by the show?
  5. Where does the booth go after the show, and what does storage cost?

Common situations

Already own a booth? We refresh the graphics, repair what is worn, ship it, install it and store it between shows. You keep the structure you paid for.

Exhibiting from outside the US? We are your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, with one project manager answering your emails in your time zone.

Short on time? A rental with your graphics can be ready in two to three weeks. We tell you on the first call what is realistic for your date.
