Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Material handling: $1.46 per lb via advance warehouse, $1.48 direct, 2027 T3 kit
- Late freight: 30% added per lb after March 3, 2027
- Labor: $117 per hour straight time, $166 overtime, $218 double time, 2027
- Small packages: $72 each, 50 lb or less, 2027 T3 kit
Key dates
- Custom booth plans due to ViVE show management (10×20 and larger): February 5, 2027
- Design sign-off with Purple: Early January 2027
- Early January 2027: Design sign-off; floor plan, elevations, materials and any hanging sign drawn for ViVE's plan review.
- By February 5, 2027: Custom booth plans filed with ViVE show management; EAC form and insurance to T3 Expo by February 9.
- January to mid-February 2027: Production in Fishkill, NY: frames, meeting room walls, demo counters and graphics built and tested over 30 to 45 days.
- By March 3, 2027: Crates and the hanging sign land at the T3 Expo advance warehouse; service orders placed before the February 16 discount date.
- March 12–14, 2027: Move-in: islands from Friday morning, 10×20 custom booths from Saturday afternoon; every booth complete by 7:00 PM Sunday.
- March 15–17, 2027: Show floor open; dismantle starts at noon March 17, and carriers check in by 10:00 AM March 18.

Checklist
- Choose a T3 turnkey package by February 2, 2027, or a custom booth with plans filed by February 5
- Decide on Provider & Payer Connect meetings, sold in packs of five as an add-on to a booth or meeting space
- Buy a full-access ticket for every booth staffer, since ViVE sells no exhibitor-only passes
- Book rooms through Connections Housing, ViVE's official hotel block, before the Nashville rooms near the venue fill
- List every demo device, screen and network need for the venue's power and internet orders
- Tell us by early December 2026 if any demo involves medical testing, since Music City Center wants a plan 90 days ahead
- Send logo, product screens and the AI, security or interoperability proof points for your zone
- Staff move-out from noon March 17; outbound carriers check in by 10:00 AM March 18
