Exhibiting in Baltimore / DC / VA: what to know

What we check for every Baltimore / DC / VA show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Labor rules

  • SfN 2023 at Walter E. Washington: union labor is required for certain parts of exhibit handling source
  • Exhibitor-appointed contractors must wear a credential issued by the convention center source
  • Baltimore Convention Center: passenger elevators may not be used to move exhibit materials source

Drayage (moving your freight to the booth)

  • AFCEA TechNet Cyber 2026 at Baltimore Convention Center (Vista Convention Services): $194.25 per 100 lb to warehouse or show site, a higher tier at $276.00 per 100 lb; 200 lb minimum per shipment - consolidate to avoid multiple minimums source

Shipping deadlines

  • ATD25 (2025) at Walter E. Washington: Freeman began receiving direct-to-show shipments at the center on the published move-in day (May 15) source
  • Walter E. Washington Convention Center does not accept event freight; consign materials to the show's general services contractor source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
