Exhibiting in Dallas: what to know

What we check for every Dallas show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Labor rules

  • Texas GES shows: exhibitors may do all work in their booth with their own full-time employees; any hired labor must come through the official contractor source
  • Dallas show rules: own full-time employees may set up/tear down using small power tools like drills and power screwdrivers source
  • Teamsters Local 745 handle unloading, delivery to booths, empty crates and all material handling equipment source
  • Hand-carry allowed for what one person can carry in one trip, no forklifts, flatbeds or dollies source

Drayage (moving your freight to the booth)

  • ASI Dallas labor summary (2018): dock cartload service $65 per trip one way, 100 lb minimum source
  • Fan Expo Dallas 2023 material handling FAQ (SES): crated $74.52/cwt to warehouse, $84.87/cwt at show site, 200 lb minimum, rounded up to next 100 lb source
  • GES Dallas show, 2019: crated/skidded $120.25/cwt source

Shipping deadlines

  • Fan Expo Dallas 2023: direct shipments must arrive during the exhibitor's assigned move-in day and time, labeled on every crate source

Electrical and utilities

  • Venue site: Dallas lets customers choose from an approved list of electrical providers (not a single exclusive) source
  • Smart City Networks is the exclusive internet/telecom provider; Freeman AV is exclusive production rigging source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
