Exhibiting in Houston: what to know

What we check for every Houston show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Drayage (moving your freight to the booth)

  • Turbomachinery & Pump Symposia 2025 at GRB (Freeman): items brought into the hall may be subject to material handling charges; weekend move-in is billed at overtime rates source

Shipping deadlines

  • TPS 2025 (Freeman): the advance warehouse will not take uncrated freight, COD, hazmat, refrigerated freight, or single pieces over 5,000 lb or larger than 108in H x 93in W; certified weight tickets are required source
  • SITC 2024 at GRB: advance warehouse took freight from early October; freight after the late-October cutoff was accepted with an extra after-deadline charge source
  • Freeman quick facts for a 2026 GRB (Hall B3) show: warehouse accepts crated, boxed or skidded freight from a set date (Feb 9, 2026); no uncrated/pad-wrapped freight; single pieces over 4,500 lb refused source

Electrical and utilities

  • Smart City (Smart City Networks) holds the GRB utility contract: electricity, plumbing and telecom for exhibitors source
  • TPS 2025: Smart City electrical is marked exclusive, so an outside contractor cannot be used for it; orders paid 14 days before move-in get an incentive rate source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
