Exhibiting in Indianapolis: what to know
What we check for every Indianapolis show, with sources. We handle all of it as part of the all-in price.
How drayage is billed
Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.
Labor rules
- Venue page: exhibitors may set up their own booth using their own full-time employees source
- Help moving materials or with set-up/teardown must come from the event's pre-qualified decorator, or from ICCLOS if there is none source
- Forklifts and lifts are hired through the decorator or ICCLOS; exhibitors may install their own lighting with their own staff source
Drayage (moving your freight to the booth)
- Work Truck Week 2026 (ICC): all material handling and rigging must use the official contractor; crate removal, storage and return is at exhibitor cost at the rates in the service manual source
Electrical and utilities
- ICCLOS personnel place all utilities (electric, phone, IT, water) in booths; exhibitors may connect/disconnect their own equipment to them (2008 guideline) source
