Exhibiting in Nashville: what to know
What we check for every Nashville show, with sources. We handle all of it as part of the all-in price.
How drayage is billed
Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.
Labor rules
- NBAA 2023 FAQ: the local union (hired through Freeman) erects and dismantles exhibits unless a full-time employee of the exhibiting company does it source
- Exhibitors may hand-carry without dollies; hotel bell carts not allowed on the floor source
- Outside contractors must file paperwork and a certificate of insurance ($1M per occurrence / $2M aggregate) before badges are issued source
Drayage (moving your freight to the booth)
- NATM 2024 show in Nashville: material handling about $1.72 per lb source
Electrical and utilities
- Music City Center is its own exclusive utility provider; only MCC electricians may make electrical connections source
- Electrical is not included with the booth; early orders get discount pricing; overhead power needs 10 working days' notice; without a diagram power goes to the back of the booth source
