Exhibiting in New York: what to know
What we check for every New York show, with sources. We handle all of it as part of the all-in price.
How drayage is billed
Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.
Labor rules
- Exhibitor's full-time employees may install and dismantle their own exhibit and lay their own carpet if the booth is 250 sq ft or less and assembly needs no tools (source 1, 2)
- NAB Show NY 2025: exhibitor workers must show ID such as a medical card or payroll stub source
- Ladders, saws, hammers, wrenches and Allen keys are restricted; shelf and furniture assembly needing tools goes to union carpenters source
- Teamsters do all material handling and rigging; carpenters erect and dismantle displays source
- Exhibitors may hand-carry what one person can carry, using nothing bigger than a two-wheel baggage cart source
- If a set-up is judged unsafe, Javits can suspend these exceptions and finish the work with its own labor at exhibitor cost source
Drayage (moving your freight to the booth)
- Functional Fabric Fair 2023 at Javits: advance-warehouse crated $206.00/cwt, direct-to-show crated $182.00/cwt, 200 lb minimum; 25% late-arrival surcharge plus NYC sales tax source
- Functional Fabric Fair 2022 at Javits: 25% overtime surcharge; special handling applies to stacked/unstacked loads needing extra labor source
- NY NOW 2022 (Freeman): warehouse handling quoted per pound at $0.73/lb source
Shipping deadlines
- Travel & Adventure Show NY 2025: handling billed on incoming weight; separate rates for advance warehouse vs direct to show source
Electrical and utilities
- Javits Center is the exclusive provider of electrical, internet/telecom, plumbing and rigging (Freeman did drayage, AV and cleaning at NAB Show NY 2025) source
- Javits electricians install all lighting; only a 100 sq ft booth with one 500-watt outlet may hang up to four of its own lights without tools or a ladder; electrical is ordered via Javits' JAKE system source
