Exhibiting in Orlando: what to know

What we check for every Orlando show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Labor rules

  • ASI Orlando Labor-at-a-Glance (2018-2020): full-time employees of the exhibiting company may set up their own exhibit without IATSE help source
  • Small power tools such as drills and power screwdrivers are allowed source
  • Exhibitors may hand-carry or use a 2-wheel airline-style cart at move-in; no unloading at the front of the building source

Drayage (moving your freight to the booth)

  • ASI Orlando 2019: union cartload service at the dock $65 per trip one way, 100 lb limit source
  • Freeman directs OCCC exhibitors to Freeman Exhibitor Services (407) 816-7900 for current material handling charges (SAP event kit, 2020) source
  • Nearby Orlando-area 2025 show (Hilton Signia Bonnet Creek, not OCCC): $187.50/cwt, $375 minimum, 200 lb minimum, billed in 100 lb increments source
  • IAAPA Expo (OCCC, GES, page undated, 2026 contractor): flat $0.74/lb, $0.90/lb for advance-warehouse freight after the deadline; no crated/special-handling tiers, no cwt billing source
  • IAAPA Expo 2025 at OCCC (GES): flat $0.79/lb source

Electrical and utilities

  • OCCC itself is the exclusive provider of electricity (24-hour power included), plus rigging, water, gas, compressed air; labor is included in its utility prices source
  • All initial utility and aerial rigging orders must be submitted online to OCCC source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
