Exhibiting in Philadelphia: what to know

What we check for every Philadelphia show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Labor rules

  • PCC rules (Jan 2026): full-time exhibitor employees may set up and tear down their booth of any size, as long as no outside contractor (EAC) is hired for that work source
  • Exhibitors may use their own power tools (including battery) and ladders up to 6 ft, install signage and flooring, and handle their own non-rented AV (source 1, 2)
  • Lights must be installed by a full-time booth employee; rented lighting must be installed by electricians source
  • The Customer Satisfaction Agreement behind these rights was extended in 2019 and runs to 2029 source

Drayage (moving your freight to the booth)

  • NACAC 2024 at PCC: material handling charged per cwt, per shipment, per day; rate depends on shipment type and when received source
  • PACK EXPO East at PCC: drayage is included in the $33.25/sq ft space rate if the truck checks in by noon on its target move-in date source

Electrical and utilities

  • PCC sells utilities directly on its own order form with cheaper Advanced Rates if paid in full by the deadline; booth space does not include electrical source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
