Exhibiting in San Diego: what to know

What we check for every San Diego show, with sources. We handle all of it as part of the all-in price.

How drayage is billed

Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.

Labor rules

  • SfN 2022 at SDCC: one full-time exhibitor employee may work 1 hour at move-in and 1 hour at move-out without carpenters, on any booth size; no tools (drills, saws, etc.) allowed on any booth source
  • Beyond that, display installation is carpenters'-union work; your staff may work alongside a union installer one-to-one source
  • Teamsters run all material handling equipment, unloading/reloading and empty crates; hand-carry only what one person carries in one trip, no dollies or hand trucks; hand-carry access is on the J Street side source

Drayage (moving your freight to the booth)

  • WEST 2026 at SDCC (Vista Convention Services): rates based on incoming weight only, rounded up to the next 100 lb source
  • GCSAA 2025 at SDCC (Freeman): warehouse freight billed at the prevailing material handling rate source

Shipping deadlines

  • HFA Show 2026 at SDCC (Freeman): the warehouse will not accept uncrated freight or single pieces over 5,000 lb; certified weight tickets required source

Electrical and utilities

  • SFN 2022: electrical ordered through the official service contractor's (The Expo Group) online manual; no venue-exclusive electrician named in what was found source
  • Smart City Networks is SDCC's exclusive internet/technology provider; SDCC is exclusive for cleaning source

Rules and rates change by show. Your show's exhibitor kit is the final word; we check it for you before we quote.
