Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Inline booth space: $4,650 per 10×10, 2027 rate
- Island booth space: $48.50 per sq ft, 2027 rate
- Premium location and corners: Premium 10×10 $4,850; $200 per corner, 2027 rates
- Non-profit booth: $1,200 for the first booth in the non-profit section, 2027
Key dates
- Last day before AACR charges the full booth fee for cancellations or reductions: November 13, 2026
- Design sign-off with Purple: January 2027
- By November 13, 2026: Decide your footprint: from this date AACR charges the full booth fee for any cancellation or reduction.
- January 2027: Design sign-off, with every graphic cleared by your scientific and regulatory teams before print.
- February 2027: Island renderings, the Exhibitor Appointed Contractor registration and its insurance certificate, plus booth activity and giveaway forms, filed with AACR.
- February to mid-March 2027: Production in Fishkill, NY over 30 to 45 days; instrument benches, flooring and lighting built and tested, then crates ship to the Freeman advance warehouse.
- March 31–April 3, 2027: Targeted island move-in from March 31, all exhibitors April 2–3; booths show-ready by Saturday.
- April 4–7, 2027: Exhibit hall April 4–6; dismantle from 4 p.m. Tuesday, inlines out by midnight, islands by noon Wednesday.

Checklist
- Confirm your footprint before November 13, 2026, when AACR's full cancellation fee starts
- List every instrument with size, weight and power, and decide which demos run live
- Collect the research documentation AACR requires at the booth for each exhibited item
- Have regulatory clear every graphic and handout, with no unapproved products named
- Submit giveaways, raffles and booth activities on AACR's forms in February 2027
- Book exhibitor rooms through AACR's housing before the February 19, 2027 hotel deadline
- Apply for an Exhibitor Spotlight Theater or Meeting Room if you want a talk or private room
- Schedule specialists for Sunday noon to 5, Monday 9 to 5 and Tuesday 9 to 4
