08 EVERY ESTABLISHED DEVICE HAD A FIRST SHOW
The big medical meetings aren’t first-come, first-served. Many review new companies first and assign space by priority points, and several have a cheaper, curated route for startups. Here’s how to get in, with the source for every rule.
Prices and rules are the latest the organizers published; some rate cards still show earlier years. Startup kiosks and pavilions are small and often sell out, so apply as soon as a program opens.
MAKE IT A CASE, NOT JUST A DISPLAY
The device gets them to stop. A clear demonstration, honest evidence and a calm conversation give them a reason to bring it back to their team.
Plan a demo that works

09 LET’S GET YOU SHOW-READY
Medtech exhibiting has more rules than most industries. Let’s break it into manageable pieces: the demo, the code, the label, the freight, the team, the experts, the leads and the follow-up.
Under the AdvaMed Code of Ethics, branded promotional items for health care professionals are out, even of minimal value, along with gifts such as cookies, wine, flowers and gift cards. Meals and refreshments must be modest and secondary to the business or educational purpose, and entertainment for clinicians is not allowed. Educational items that benefit patients are allowed.
Open Payments adds a reporting layer: buffet snacks and coffee open to all conference participants are exempt, but meals for select attendees, such as a plated booth dinner or an invitation-only reception, are not.
Federal rules require an investigational device to carry a caution label stating that it is limited by federal law to investigational use, and bar sponsors from promoting or test marketing it before FDA approval. Shows enforce their own versions: RSNA requires devices awaiting clearance (IDE, PMA or 510(k) pending), or marketed only outside the U.S., to be clearly labeled, or they are removed from the hall.
Label the device itself, its graphics and any screen it appears on, and brief every staff member on what can and cannot be said about it.
Pair clinical specialists who can run the device with account managers who can discuss contracts, and have someone who can answer regulatory and reimbursement questions accurately. Brief everyone on cleared indications and the AdvaMed Code.
Read the badge rules early: RSNA does not allow companies to register clinicians as exhibitor staff, and many meetings cap badges per 100 sq ft.
Collect business details: name, role, facility, department, buying role, timing and the agreed next step. Booth forms are for business contacts, so train staff not to record patient information a clinician mentions in conversation, and ask permission before adding anyone to marketing lists.
Tag each lead as clinician, supply chain, administrator or engineer so follow-up reaches the right person with the right material.
A clinician’s interest starts a hospital purchase. Most new products go through a value analysis committee that weighs clinical evidence, total cost and contract status, and capital equipment follows the hospital’s budget cycle.
Send each clinician a short evidence summary they can take to the committee, ask who in supply chain should see it, and send the buyer kit below the same week. Track opportunities over the real buying cycle, which can run many months.
THE BUYER KIT
Hospital buyers and committees decide on documents. Have this ready as a one-page summary and a short digital kit, so the next step is easy to approve.

11 SPEAK FLUENT MEDTECH
510(k), GPO, value analysis, drayage. The words regulators, hospital buyers and show managers use every day, in plain English, so nothing gets lost between the booth, the committee and the service order.
12 ROUNDS ARE OPEN. ASK AWAY.

Start with the specialty that uses your device, because most U.S. medtech selling happens at medical society meetings. Imaging companies look at RSNA; orthopaedic and spine companies at AAOS, NASS and AAHKS; cardiovascular companies at ACC, AHA, TCT, Heart Rhythm and SCAI; surgical companies at the ACS Clinical Congress, SAGES and AORN; diagnostics companies at ADLM and AMP. Specialties such as urology (AUA), dermatology (AAD), gastroenterology (DDW), ophthalmology (AAO) and emergency medicine (ACEP) each have their own meeting.
If you sell components, materials or contract services to device makers, the supplier shows are MD&M West, East and Midwest, MEDevice Boston and Silicon Valley, OMTEC for orthopaedics and the DMD Conference. Health IT and connected devices fit HIMSS, HLTH and ViVE.
By the organizers’ published figures: ASCO lists more than 35,000 health care professionals and 450+ exhibiting organizations; ADLM expects more than 20,000 decision makers and 700+ exhibitors; AAD reported 20,111 registrants in 2026; ACC.27 lists 15,000+ attendees; MD&M West lists 1,700+ exhibitors and 13,800+ attendees; and AAOS lists 180,000+ net square feet and 600+ exhibiting companies. RSNA in Chicago is the main event for imaging.
Size matters less than fit. A specialty meeting where your exact physicians attend can outperform a larger general one.
Most clinical events in this guide are society meetings: the science comes first and the exhibit hall runs alongside it, often with limited hours. RSNA’s Technical Exhibits, for example, open Sunday to Wednesday, 10 a.m. to 5 p.m., and the AdvaMed MedTech Conference hall closes at 12:30 p.m. on its final day. Trade shows such as MD&M West or Medtrade are built around the floor itself and sell mostly to companies, not clinicians.
Plan staffing, meetings and demos around the hall hours, not the full meeting dates. Each show card lists exhibit dates separately where they differ.
Clinical meetings register health care professionals, researchers and industry, and each sets its own rules for who may enter the hall. Exhibitor badges have their own limits too: RSNA does not allow companies to register clinicians as exhibitor staff, and MD&M West bars anyone under 18 from the expo halls. Supplier shows like MD&M and MEDevice are trade-only events for industry professionals.
Read the exhibitor rules for badge categories before you plan who staffs the booth, especially if you want physicians on your team.
Most medical societies price space by the square foot. Published examples: RSNA 2026 charges $41.25/sq ft for standard space; AAOS 2027 is $40/sq ft; AUA 2027 is $45.50/sq ft in-line; AAD 2027 is $46/sq ft; ASCO 2027 is $106/sq ft inline. Packaged shows differ: OMTEC 2027 sells a 10×20 package for $11,000 and a 20×20 for $22,000, including meals, education and attendee lists.
Space is only part of the budget. CEIR’s study of exhibitor spending found floor space averaged 36% of the total. Medtech exhibitors also budget for demo equipment freight and insurance, electrical work, clinical staff time and hotel rooms, which some shows require through their housing block.
Size the booth around the demonstration. A 10×20 inline gives room for a device station at the aisle and a quiet spot to talk. A 10×30 adds a second station or a seated consult area. A 20×20 island supports a full procedure-room setup or capital equipment that people walk around. Larger spaces add private meeting rooms, training areas and storage for clinical staff.
Check each show’s minimums first: AUA islands start at 400 sq ft, and AAOS islands are 20×20 or larger. See the booth protocol in this guide for what fits in each footprint.
Earlier than most industries. At RSNA, ACC and AAD, next year’s booth is selected onsite during the current meeting. AAOS opened 2027 applications on May 7, 2026, for a March 2027 meeting, with island appointments in August. New companies also need time for reviews: AAOS and AAD screen first-time exhibitors before they can apply.
A workable rhythm is to commit to space 9 to 12 months out for the large society meetings, finalize the design and any demo approvals three to four months out, and lock freight and labor orders by the contractor’s discount deadlines.
Priority points decide who picks booth space first at most large medical meetings, including RSNA, AAOS, ACC, ASCO, AAD, AAO, ASTRO, NASS, DDW, AAMI, ATS, HRS, SVS, CNS, APIC and ADA. Points usually come from years exhibited, square footage bought, on-time payment, sponsorship and booking hotel rooms through the official housing block. RSNA, for example, awards 4 points for staff rooms booked through RSNA housing by October 26, 2026.
Points can also be lost. ASTRO can deduct 250 points for rule violations, and CNS removes points for function space violations. A first-year exhibitor starts at the back of the line, so the earlier you start, the sooner your location improves.
If your company follows the AdvaMed Code of Ethics, branded promotional items for health care professionals are out, even of minimal value: logo pens, notepads and mugs, plus gifts such as cookies, wine, flowers or gift cards. Modest items that serve an educational function or benefit patients are allowed, and a company may not raffle anything it could not otherwise give a health care professional.
Shows add their own rules. RSNA requires prior approval for handouts beyond small pocket items. Plan engagement around demonstrations, education and conversation instead of swag. AdvaMed Code ↗
Under the AdvaMed Code, meals and refreshments must be modest, secondary to the business or educational purpose, and offered only to health care professionals with a real reason to be there. Entertainment and recreation for clinicians are not allowed. Many venues also require food to come through their exclusive caterer.
Federal Open Payments rules add a reporting angle: see the next question.
Manufacturers report payments and transfers of value, including food, to covered recipients. The federal rule exempts buffet meals, snacks, soft drinks or coffee generally available to all participants of a large-scale conference. CMS says the exemption does not cover meals for select attendees whose identities the company can establish, such as a plated booth dinner or an invitation-only reception. Some states, Vermont for example, are stricter than the federal rule.
Often yes, with strict labeling and no promotion. Federal rules require investigational devices to carry a caution label stating that the device is limited by federal law to investigational use, and bar sponsors from promoting or test marketing an investigational device before FDA approval. RSNA’s 2026 rules require devices awaiting clearance (IDE, PMA or 510(k) pending), or marketed only outside the U.S., to be clearly labeled as such, or they are removed from the hall. AAD reviews FDA filing status for first-time exhibitors.
It depends on the show and the device. RSNA allows live scanning only with an FDA-cleared device (or an IDE or non-significant-risk determination for research use), performed by a qualified health care professional, following ALARA, with a signed Live Scanning Form and an indemnity for RSNA and McCormick Place. AAD 2027 bars live demonstrations on live subjects for devices that need a medical license to operate; simulations keep the equipment off with “Simulation Only” signs. ACEP bars TENS units, red light therapy and massage guns from its floor.
Build demo approvals into the schedule before you design around them.
Large imaging systems are usually shown as non-operating units, or in mobile units. RSNA allows mobile units in 15-ft (van) or 20-ft (trailer) spaces near the freight doors, and live scanning on its floor is ultrasound. Expect heavy rigging, floor-load questions and long move-in windows for full systems.
Many imaging exhibitors show the real hardware, such as an overhead tube or detector, with the system powered for its interface and software rather than for exposures.
Order electrical from the show’s official contractor by the discount deadline, and list every device’s voltage, amperage and plug type. Standard booth power may be switched off overnight, so order 24-hour power for anything that must stay on, such as chargers, servers or temperature-controlled samples. Ask for a hard-wired internet line for software demos rather than relying on shared Wi-Fi.
Bring spare batteries and a demo mode that works offline.
Convention centers require fire marshal approval. Anaheim, for example, requires two weeks’ notice with safety data sheets, cylinders secured upright, no overnight storage inside the halls and a 45 cu ft container limit. Other venues publish similar rules in the exhibitor manual.
If the demo works without live gas, plan it that way.
Decide early between the advance warehouse and direct-to-show delivery on your assigned target date, and plan for drayage, which is priced by weight. Crate capital equipment for reuse, include tilt and shock indicators, and keep a packing list with serial numbers on every crate.
Many shows require exhibitors to carry their own insurance and provide a certificate naming the organizer and venue. Insure equipment in transit and on the floor, and schedule your own staff to receive and repack it, because the show floor is busiest at move-in and move-out.
Usually not as a wet lab. Cadaver labs and hands-on courses at meetings such as AANS and ASPS are run by the society, not inside exhibitor booths. STS’s published exhibitor rules allowed animal tissue only with a written request 30 days before the show, with disposal through the official contractor at the exhibitor’s cost, and banned human tissue of any kind.
In the booth, use simulators, synthetic models and dry demonstrations, and ask about sponsoring the society’s own hands-on program.
Yes. RSNA has a First-Time Exhibitor Pavilion ($46.25/sq ft in 2026) plus AI and Startup Showcases. AAMI eXchange 2027 sells Start-Up Row kiosks for $1,750. AUA2027 offers a turnkey Emerging Corner for young companies. HIMSS27 adds Startup Park, the AdvaMed MedTech Conference runs an Innovation Pavilion for selected startups, and the DMD Conference hosts the Great Medtech Pitch Competition (applications close December 29, 2026).
See “Your first show” in this guide for eligibility and sources.
At several meetings, yes. AAOS requires its Company Review Process before a new company can apply. AAD reviews a company profile, incorporation documents, product literature and FDA filing status. AACR’s Exhibits Committee, AAO’s new exhibiting companies review, DDW show management and OMTEC also review applications.
Gather your regulatory status, product literature and company documents before the application opens.
Read the meeting’s function space rules first. ASA bars exhibitors from holding their own educational events in the host city during the meeting; AANS requires approval for any company meeting at the hotel or offsite; and CNS removes priority points for function space violations. Many societies sell sanctioned options, such as in-hall business suites at AUA and ADA.
Any meal you serve still falls under the AdvaMed Code and Open Payments rules.
Pair clinical specialists who can run the device with account managers who can talk contracts, and have someone who can answer regulatory and reimbursement questions accurately. Brief everyone on the cleared indications, what may and may not be said about investigational products, and the AdvaMed Code.
Plan for shift changes around hall hours and keep demonstrations short enough that clinicians can get back to sessions.
Collect business contact details, role, facility, the department that buys, timing and the agreed next step. Booth lead forms are for business contacts, so train staff not to record patient information a clinician mentions in conversation, and ask permission before adding anyone to marketing lists.
Tag each lead by role (clinician, supply chain, administrator or engineer) so follow-up goes to the right person.
A clinician’s interest is the start of a hospital purchase, not the end. Most new products go through a value analysis committee that looks at clinical evidence, total cost and contract status, and capital equipment follows the hospital’s budget cycle. Send the clinician a short evidence summary they can bring to the committee, and ask who in supply chain or value analysis should see it.
Have your clearance status, UDI and IFU, pricing model and GPO contract status ready to send the same week, and track opportunities over the real buying cycle, which can run many months.
