What makes AACR different, and how we build for it
AACR is the largest gathering of cancer researchers, and the 2027 program is built around the theme Delivering Discovery Science: The Bridge to Breakthrough Therapeutics. Attendees move between Satellite Educational Symposia, Affiliate Meetings and Continuing Medical Education sessions, sit in on Spotlight on Clinical Trials and New Drugs on the Horizon 2027, then walk the exhibit floor in West Halls A4–B4. They arrive with a specific assay, instrument or dataset problem, not a shopping list. The booths that stay full are where the application reads from the aisle, the instrument is running and a specialist is ready at a table. Freeman runs the floor, and AACR is limiting aisle carpet in 2027 so crates come back faster at move-out.

Four things we get right for AACR exhibitors
1Lead with the application, not the brand
A concise application label at the aisle pulls the right researcher faster than a claim about innovation. We put the workflow name or assay type at eye height facing the aisle, place the instrument or interface directly beneath it, and keep the brand story secondary so a visitor knows in two seconds whether this booth is for them.
2Give the data a reading distance
Scientific posters do not work as exhibit graphics. We layer approved content: a one-line introduction at the edge, a readable explanation beside the product, and full methods and references at the discussion table or on a close-view screen, so a researcher can inspect detail without squinting at a distant wall.
Plan the instrument like freight, not decor
We collect dimensions, weights, power draw and sample requirements for every instrument before drawing the booth, then design bench heights, cable routes and viewing angles around a comfortable demonstration. Sensitive equipment gets a coordinated arrival and handling plan with named responsibility for setup and teardown.
Put scientific sign-off in the schedule
Graphics should not be approved before the science is. We place dataset, terminology and claim sign-off as dated milestones in the production plan, so your scientific and regulatory teams clear every panel before print and no last-minute correction ships as a sticker over the wall.

Logistics for AACR 2027, handled
The Orange County Convention Center is a non-union building with two halves joined by the Oversight Pedestrian Bridge. AACR exhibits sit in the West Building, with docks off Convention Way and the Hyatt Regency Orlando and Rosen Centre a covered walk from Hall A. Freeman handles general freight and empty crates through the marshalling yard; OCCC crews do all rigging and electrical, with early-order pricing closing about three weeks out. Inline backwalls are capped at 8 ft, islands at 20 ft with hanging signs to 22 ft, and island drawings are due February 1, 2027. We read the exhibitor kit, file the drawings, book your Freeman targets, order power and rigging and put our on-site team on the floor.

Questions exhibitors ask us before AACR
How much does a 20×20 at AACR cost?
A 20×20 custom island runs $50,000 to $120,000 all in for design, structure, graphics and installation; a 20×20 rental island lands between $16,000 and $40,000. Instrument benches, screens and a closed meeting corner move the number. Send us your equipment list and we return a fixed quote.
Can you install at the Orange County Convention Center?
Yes. The OCCC is non-union, so our on-site team installs and dismantles your booth directly, and we file as your Exhibitor Appointed Contractor. Rigging and electrical are done by OCCC crews, and we place those orders before the early pricing window closes about three weeks out.
Can we rent a booth for AACR?
Yes. A 10×20 rental with your graphics runs $7,500 to $15,000 and a 10×10 starts at $3,500. Many reagent, software and service companies rent the structure and put the budget into a working demo station. Rental and custom elements combine in one booth, such as a custom instrument bench on a rental frame.
When do we need to decide?
Island exhibitors need drawings filed with AACR by February 1, 2027, so design sign-off in mid-January is the comfortable date. Inlines can sign off in early February and still ship to the Freeman advance warehouse by mid-March. Later is possible; the trade-off is material choice and freight cost.
Do you handle Freeman orders and drayage?
Yes. We book your Freeman target date, ship to the advance warehouse, file the material handling paperwork and manage empty crate return at move-out. AACR is limiting aisle carpet in 2027 so crates come back faster, and we plan the Tuesday night teardown around that.
