Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space, standard: $3,020 per 10×10, 2027 rate
- Corner and premium: $3,170 corner, $3,320 premium per 10×10, 2027 rates
- Small Business booth: $1,830 per 10×10 with proof of status, 2027 rate
Key dates
- Booth cancellations carry 100% liability: December 1, 2026
- Design sign-off with Purple: Late January 2027
- Late January 2027: Design sign-off; hanging sign request and specs filed ahead of AOTA's February 8 deadline.
- February 2027: Production in our Fishkill, NY shop; demo fixtures tested at working height with your real products.
- Mid-March 2027: Booth ships to the advance warehouse named in the Exhibitor Services Kit.
- April 6–7, 2027: Move-in; islands from 1 p.m. on April 6, general move-in from 10 a.m. April 7; our project manager installs and runs the pre-show walkthrough.
- April 8–10, 2027: Expo Hall days; booths occupied by noon on April 8 and a Purple project manager is on call for all three days.
- April 10, 2027: Move-out 2 to 6 p.m., hall clear by 7 p.m.; products packed to your return plan, booth to storage or the next show.

Checklist
- Pull booth number and footprint from the AOTA INSPIRE contract
- Choose the one everyday task your demo station will show
- List products, accessories, demo weights and working heights
- Decide whether to book an Exhibitor-Sponsored Seminar slot
- Share photos of the product in use with clients, plus your logo files
- Sign off the rendering and the wheelchair-height reach plan
- Tell us if your island needs a hanging sign; we file the February 8 request
- Book Seaport rooms through ConferenceDirect and plan staff arrival for the April 7 move-in
