Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space, inline: $106 per sq ft, 2027 rate (up from $94 in 2026)
- Booth space, island: $121 per sq ft plus $600 per open corner, 2027 rates
- East Building meeting room: $48,400 for 400 sq ft unfurnished, 2027 rate
- Drayage: About $210 per cwt, 200 lb minimum, 2026–27 planning figure
Key dates
- Balance of ASCO 2027 exhibit space due; cancellations from this date earn no refund: January 27, 2027
- Design sign-off with Purple: Late March 2027
- By January 27, 2027: ASCO exhibit space paid in full; we settle the footprint, open sides and meeting-room plan with you.
- Late March 2027: Design sign-off; scaled floor plan and elevation drawings prepared for islands of 400 square feet or more, with hanging sign and truss specs.
- April 2027: Booth Rendering, Booth Activity, giveaway and EAC forms filed through ASCO's Exhibitor Resource Center (the 2026 cycle closed them on April 22).
- April to mid-May 2027: Production in Fishkill, NY over 30 to 45 days; graphics printed after your medical and regulatory sign-off.
- About 3 weeks before move-in: Crates ship to the Freeman advance warehouse; hanging sign materials go early, since in 2026 they were due there by May 15.
- June 4–8, 2027: ASCO 2027; the exhibit hall runs June 5–7, 9 a.m. to 5 p.m., and we dismantle after the Monday close.

Checklist
- Share your ASCO 2027 booth number, open sides and square footage with us
- Confirm the space balance is paid by January 27, 2027, or badges and setup are held
- List every product and indication you will show, with its approval status
- Name one owner for medical, legal and regulatory sign-off of booth content
- Choose giveaways under $10 that pass PhRMA Code standards, or select no giveaways on the form
- Decide early on an Industry Expert Theater (applications due January 15, 2027) or an East Building meeting room
- Plan any coffee or food offer with OVG Hospitality and include it on the Booth Activity Request
- Book exhibitor hotel rooms through SPARGO and plan staff to cover 9 a.m. to 5 p.m. all three days
