Let a busy oncology audience choose its next conversation

An ASCO exhibit may serve clinicians seeking evidence, partners evaluating a technology and visitors who need a quick company introduction. Give those conversations a clear hierarchy. The aisle-facing message should identify the subject and make the next step easy to understand; supporting screens and graphics can then introduce more detail. Decide where a visitor can browse independently and where a staff member should guide the interaction.

A useful layout separates a short exchange from a longer discussion without making the booth feel closed. Put the welcome position where staff can see approaching visitors. Place seating and presentation screens so that standing conversations do not spill across their access. The goal is a professional environment in which attendees can understand the offering, ask informed questions and find the person best placed to answer.

What this means for the build

Plan device delivery, structure installation and content checks as separate tasks at McCormick Place. Use the assigned hall and the current exhibitor schedule for freight and labor arrangements, rather than treating the June 4 meeting opening as the exhibit opening.

Coordinate scientific content and physical production early

Booth production and content approval need a shared schedule. Begin with the current approved message set and identify which panels or media might change before the meeting. Design those items so they can be updated without rebuilding the entire exhibit. Ask the brand and medical review teams to confirm the words, imagery and screen sequences intended for the public floor before committing them to fabrication.

Build the technical brief around real use: how many screens run at once, who controls presentations, where literature is stored and how staff reset between conversations. Plan quiet equipment placement, tidy cable routes and an offline media copy. Confirm the ASCO exhibit dates separately from the meeting dates: the published 2027 exhibit window is June 5–7, while the Annual Meeting continues through June 8.

Where the budget changes

Content surfaces, AV, device fixtures, storage and meeting capacity influence the estimate. Resolve which materials change frequently and which elements should travel to future medical meetings before committing to a fabrication approach.

What are the ASCO 2027 meeting and exhibit dates?

The ASCO Annual Meeting is June 4–8, 2027, at McCormick Place in Chicago. ASCO separately lists June 5–7 as the exhibit dates. Use those two schedules distinctly when briefing the team: the final scientific meeting day is not an additional published exhibit day. Installation and dismantling windows must come from the current exhibitor instructions.

How can we present detailed oncology information clearly?

Build the content in layers: an aisle-readable topic, a concise explanation at the presentation point and supporting detail for a staff-led conversation. Choose the hierarchy with the team responsible for approving the material. Screen placement, reading distance and standing room should be reviewed together so visitors can examine information without obstructing another activity.

Can one booth support both open presentations and meetings?

Yes, if the floor plan gives each activity enough space. Position a small presentation area away from seated conversations, with a clear path between them. Test the layout against the number of people expected at each activity. The assigned footprint, open sides and organizer requirements will determine whether separate zones are practical.

What should we do if approved content changes close to ASCO?

Identify changeable graphics and media at the start of the project. Use a clear approval owner, a version log and agreed production dates. Screens or replaceable panels can make some updates easier, but feasibility depends on the design and timing. Send revised material promptly so the production team can assess the actual effect on delivery.

What belongs in an ASCO booth production brief?

Include the booth allocation, the intended audience, approved messaging, the number and type of conversations, presentation equipment and storage requirements. Add furniture preferences, staffing, reusable assets and the content approval process. Include the current exhibitor manual and service-order information so the design, transport and installation plan can be developed from the same set of facts.

Who coordinates installation of our ASCO exhibit in Chicago?

Purple can coordinate the exhibit installation and dismantling within the agreed project scope. Identify who supplies and sets up equipment, loads scientific content and signs off the presentation before opening. The current McCormick Place assignment and ASCO exhibitor schedule establish access, while your internal reviewers remain responsible for approving the scientific material.
