Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space (paid to the organizer)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging
- Booth cleaning and any union labor the venue requires

- Booth space, 10×20 linear: $9,270, 2027 card price (3% less by ACH or check)
- Booth space, 20×20 island: $20,600; 20×30 $29,046, 2027 card prices
- Technology Suite: $7,725 for 10×10 to $30,900 for 20×20, 2027
- Industry symposium: $20,000 lunch, $15,000 breakfast, 2027
Key dates
- Space balance due; EAC form and certificates of insurance due to SAGES: February 5, 2027
- Design sign-off with Purple: Late January 2027
- December 31, 2026: Pay the full booth fee by this date to earn five 2027 incentive priority points; we confirm your footprint before you pay.
- Late January 2027: Design sign-off with console, cart and tower dimensions, weights and power locked into the drawings.
- February 5, 2027: Space balance due; EAC form and certificates of insurance filed with SAGES.
- February to mid-March 2027: Production in Fishkill, NY over 30 to 45 days; island drawings to SAGES by March 5; crates to Freeman's warehouse.
- April 5–6, 2027: Setup Monday 1 to 6 p.m. and Tuesday 8 a.m. to 1:30 p.m.; our Las Vegas crew installs and rehearses the demo before the 5:30 p.m. Opening Reception.
- April 8–9, 2027: Breakdown from 4 p.m. Thursday to noon Friday; equipment packed to your return plan, booth to storage or the next meeting.

Checklist
- Pay the full booth fee by December 31, 2026 to earn five incentive priority points
- List every robot, tower, scope and simulator with dimensions, weight, power and network needs
- Mark which products are investigational or shown for off-label use so the statements go on the graphics
- Choose the one demonstration task the station will repeat during the 10 a.m. to 4 p.m. hall days
- Decide on a Technology Suite, an industry symposium or a Product Theater slot before February 26
- Send giveaway requests to SAGES by March 5, 2027 on the Giveaway Notification Form
- Register booth staff by March 12, 2027: five per 10×10, 45 at most
- Book Rio rooms for the team before the March 12 exhibitor housing deadline
