What makes SAGES different, and how we build for it
SAGES 2027 runs on the theme Scaling Impact, and the exhibit hall is where surgeons put their hands on the robots, scopes and simulators the sessions talk about. The Digital Surgery programming on artificial intelligence, telesurgery and robotics sends attendees to the floor with specific questions, and joint programming with ASMBS, ASCRS and AHPBA widens the specialties walking the aisles. The hall opens with the Tuesday evening reception and runs two full days, while Industry Education symposia let a company present in a reserved session room. A booth that stages one repeatable demonstration, with a clear place to watch and a clear place to talk, does the most work here.

Four things we get right for SAGES exhibitors

Build the demo around one encounter
We start with the single task a surgeon can complete in three minutes and design the station around repeating it: participant position, presenter access to the controls, and the elements a visitor may handle. Simulation content and display models keep it running without any clinical dependency.

Give the queue something to watch
A second screen carries the interface or close-up view to the people waiting, placed so they stay inside your footprint and never lean across the operator. We test the full signal path and load a labeled recorded fallback for every live feed.
Engineer the platform for the system
Robotic carts, towers and imaging stacks bring weight, power, network and clearance needs that shape the structure. We take exact dimensions and service requirements first, size the floor and cable routing to match, and integrate screens and mounts into the build.
Plan the reset and the handoff
Every accessory needed to return the station to its starting state gets labeled storage within the presenter's reach. Deeper questions move to an adjacent technical surface with configuration drawings, so the demo resets while the specialist keeps talking.

Logistics for SAGES 2027, handled
Las Vegas is a union city, and the Rio's convention space runs on the same rules as the big halls: your own full-time staff may set up with hand tools, while contract labor, forklifts and anything on wheels goes through the show contractor and Teamsters Local 631. We file as your Exhibitor Appointed Contractor with the certificate of insurance 30 days before move-in, ship your crates to the advance warehouse so the booth is on the floor on day one of install, and consolidate everything onto one bill of lading so you pay one drayage minimum. Our Las Vegas shop handles overnight graphic reprints and repairs, and the Rio's hotel rooms put your team upstairs from the hall.

Questions exhibitors ask us before SAGES
How much does a 20×20 at SAGES cost?
A complete 20×20 custom island lands between $50,000 and $120,000, all in for design, structure, graphics and installation, and a 20×20 rental island between $16,000 and $40,000. A 10×20 inline runs $15,000 to $45,000 custom or $7,500 to $15,000 rental. Robotic platforms and AV move the number; send us your equipment list and we return a fixed quote.
Can you install at the Rio Las Vegas?
Yes. Our Las Vegas crew installs at every hall in the city, including the Rio's convention center. We file as your Exhibitor Appointed Contractor, work the union rules for forklifts and rolling equipment, and have your booth built, screens connected and demo rehearsed before the Tuesday Opening Reception.
Can we rent a booth for SAGES?
Yes. Rental structures with your graphics, a custom demo station inside a rental shell, or a fully custom build are all available. Many first-time SAGES exhibitors take a 10×20 rental with one owned element, the equipment platform, that travels to the next meeting.
When do we need to decide?
Design sign-off by late January gives a comfortable 30–45 day build and a mid-March ship to the advance warehouse. Later is possible; the trade-off is finish choices and freight cost. Equipment dimensions and power needs are the one thing we need early, because they shape the structure.
Do you handle the show contractor orders and drayage?
Yes. We read the SAGES exhibitor kit, order electrical, internet and material handling from the show contractor, consolidate your crates onto one bill of lading so you pay one drayage minimum, and keep you copied on every deadline so nothing depends on a form you did not know about.
