Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.

- Your Biophysical Society Annual Meeting booth space, paid to the organizer
- Drayage, or material handling, when it is not in the Biophysical Society Annual Meeting space rate
- Electrical, internet and rigging orders for Biophysical Society Annual Meeting
- Booth cleaning and any union labor the venue requires
Published rates:
- Booth space: $3,250 per 10×10 inline, 2027 rate
- Corner fee: $350 per corner, 2027 rate
Key dates
- EAC registration form and certificates of insurance due to BPS: February 3, 2027
- Design sign-off with Purple: Early December 2026
- Early December 2026: Design sign-off; company description and product categories to BPS by December 4 for the Daily Schedule.
- December 2026 to January 2027: Production in our Fishkill, NY shop over 30 to 45 days; Freeman orders placed before the January 22 advance discount ends.
- February 3, 2027: EAC registration form, certificates of insurance and exhibitor registration due to BPS.
- Late January 2027: Crates ship to Freeman's advance warehouse, labeled with your BPS booth number.
- February 19–20, 2027: Move-in, 8 a.m.–5 p.m. Friday and 8 a.m.–3 p.m. Saturday; our project manager builds and tests every instrument station.
- February 21–23, 2027: Exhibit days; dismantle from 4 p.m. to 9 p.m. on February 23, then freight home or to storage.

Checklist
- Confirm your 10×10 units and corner fee with BPS Exhibit Management
- Send company description and product categories by December 4, 2026
- List each instrument with footprint, weight, power and any laser class
- Check the layout against the 4-foot front and 8-foot rear limits
- Plan Freeman orders before the January 22, 2027 discount ends
- File EAC, insurance and staff registration by February 3, 2027
- Staff all three exhibit days, including the 4 p.m. Tuesday close
- Book rooms in the BPS hotel block through Passkey
