Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Exhibit space (paid to National Community Pharmacists Association)
- Material handling / drayage, where the space rate does not include it
- Electrical service, internet and rigging at San Antonio
- Booth cleaning, and union labor where San Antonio requires it
Published rates:
- Booth space, Corporate Member: $4,700 per 10×10; $9,400 per 10×20, 2026 rate
- Booth space, non-member: $6,500 per 10×10; $13,000 per 10×20, 2026 rate
- Islands: 20×20 from $19,200 (member) to $26,400, premium included, 2026 rate
- Extra booth staff: $495 per added registration, 2026 rate
Key dates
- Design sign-off with Purple: Mid-July 2027
- Late 2026 to spring 2027: Booth application to NCPA with full payment; booth numbers are assigned after payment, and we send a footprint plan with your location choices.
- Mid-July 2027: Design sign-off, graphics and product list locked; sidewall openness and 8-foot back wall checked against NCPA's rules.
- Late July to August 2027: Production in Fishkill, NY over 30 to 45 days; counters, demo stations and lighting built and tested.
- About 60 days before the show: General contractor kit arrives; we order electrical, carpet, internet and material handling at the discount rate.
- About 3 weeks before move-in: Crates ship to the contractor's advance warehouse in San Antonio, labelled with your booth number.
- September 25–28, 2027: NCPA 2027 Annual Convention; Expo Hall days not confirmed yet. We dismantle after the official close and ship to storage or your next show.

Checklist
- Decide on NCPA corporate membership before applying: it changes the booth rate and your location priority
- Send the application with full payment early, since NCPA assigns booth numbers only once paid
- List competitors you do not want nearby on the NCPA application
- Request any customer meeting or reception space from NCPA in writing well before summer
- List every demo device with its power needs and crate weight for the contractor kit
- Sign off the design by mid-July 2027
- Plan staffing for short Expo hours: in 2026 the hall opened only Sunday afternoon and Monday morning
- Send logos, product shots and pricing sheets for owner-facing graphics
