Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.

- Exhibit space (paid to American Fuel & Petrochemical Manufacturers)
- Material handling at the Gaylord Texan Resort & Convention Center, when the space rate does not include it
- Electrical service, internet and rigging at the Gaylord Texan Resort & Convention Center
- Booth cleaning and any union labor the Gaylord Texan Resort & Convention Center requires
Published rates:
- HUB Lounge: $15,000–$17,500 member, $17,500–$20,000 non-member, 2026
- HUB Meeting Room: $12,500–$15,000 member, $15,000–$17,500 non-member, 2026
- Hospitality suite: $2,500 member, $5,000 non-member plus room night, 2026
- Sponsorship packages: Silver $22,500 to Diamond $60,000 member rates, 2026; Diamond members only
Key dates
- Design sign-off with Purple: June 2027
- Early 2027: Watch for AFPM's 2027 exhibit and sponsorship brochure; in 2026 the early-bird rate ended in late February and member priority in late March.
- Spring 2027: Reserve a HUB Lounge, Meeting Room or suite with AFPM and send us the format and location.
- June 2027: Sign-off on lounge artwork, meeting-room graphics and suite branding.
- July 2027: Printing and production in our Fishkill, NY shop; files sent to AFPM for any items it produces.
- Late August 2027: Ship to the Gaylord Texan and set meeting-room and suite branding with our project manager.
- August 30 – September 2, 2027: Summit days, then strike and return shipping.

Checklist
- Request the 2027 Summit exhibit and sponsorship brochure from AFPM
- Choose a HUB Lounge, HUB Meeting Room or hospitality suite
- Pick the one plant problem your company solves for refiners
- Plan mini-education sessions if you take a meeting room
- Send logo files for the AFPM back wall and cabinet cling
- Order any lounge food and beverage through the Gaylord Texan
- Book rooms at the Gaylord Texan once AFPM opens its block
- Brief staff on the Tuesday-to-Thursday lounge hours
