AFPM replaced the trade-show floor with turnkey HUB lounges, meeting rooms and hotel suites, so the work is making a room or suite say who you are. At the Gaylord Texan everything sits on one level, and AFPM supplies the lounge furniture and back wall itself.

What makes AFPM Summit different, and how we build for it
The AFPM Summit stepped away from the traditional trade show in 2022 and built The HUB, a central gathering place where a limited number of companies host attendees in turnkey lounges between technical sessions.In 2026 there were 30 HUB Lounges across the Texas, Center and City pre-function areas, 15 HUB Meeting Rooms for mini-education sessions and eight hospitality suites on the guest floors. AFPM says the Gaylord Texan keeps sessions, meetings and exhibitors on one level, and it booked the resort for four years from 2026. The audience is plant people: coker, FCC and hydroprocessing engineers, turnaround planners and reliability leads, half from operating companies in 2025.
Short, specific case studies on coker, FCC, hydroprocessing and process-control problems, told in a meeting room with a screen rather than shouted across an aisle.

Inside AFPM Summit 2027
Rules that shape your AFPM Summit booth
In 2026 each HUB Lounge came furnished by AFPM, and no other display materials were needed or permitted. We put the effort into back-wall artwork, the cabinet cling and the monitor loop instead of hardware.
AFPM's 2026 brochure bars outside food and beverage; lounge catering is ordered from the Gaylord Texan as a $500 add-on plus food costs. We design the branded serving point, and the resort supplies what goes on it.
In 2026 AFPM asked HUB Meeting Room sessions to run Tuesday 1:30 to 4:45 p.m. or Wednesday 8 a.m. to 4 p.m. and to start with AFPM's own sessions. We build the room schedule sign and screen deck around those slots.
The Gaylord Texan does not remove furniture from hospitality suites and allows only slight rearranging, with check-in at 4 p.m. and check-out at 11 a.m. (2026 brochure). Our suite branding is freestanding and sets up within those hours.
AFPM notes that the HUB layout depends on Fire Marshal approval, so lounge positions can shift (2026 brochure). We keep artwork files ready to resize until AFPM confirms the final position.

AFPM sells no booth space at the Summit. Its 2026 formats were HUB Lounges with a back wall and furniture supplied by AFPM (no other display materials permitted), HUB Meeting Rooms of about 550 to 840 square feet and hotel hospitality suites. We work inside those formats; our 10×20 and larger builds serve your other refining shows.
At AFPM the closest equivalent is a HUB Meeting Room of 550 to 840 square feet, where we supply graphics, a presentation setup and seating plans within hotel and AFPM rules.

Four things we get right for AFPM Summit exhibitors
1Work with the AFPM back wall
In 2026 each HUB Lounge came with a custom logo back wall, lockable cabinet, cocktail table, two stools, two lounge chairs, a side table and a 55-inch monitor, and no other display materials were permitted. We prepare the artwork, the cabinet-cling file and a monitor loop that does the selling.
2Turn the meeting room into a classroom
AFPM asks HUB Meeting Room holders to run mini-education sessions on Tuesday afternoon and Wednesday, starting with AFPM's own session times. We plan seating, a presenter position, screen graphics and a door sign so the room fills like part of the program.
3Dress the suite, keep the furniture
In hospitality suites the Gaylord Texan does not remove furniture and allows only slight rearranging, while AV and catering are extra. We bring freestanding graphics, lighting and a welcome counter that work around the room as it stands.

Logistics for AFPM Summit 2027, handled
AFPM runs the HUB lounges turnkey, so there is no booth shipment, setup or dismantle for lounge holders. Our role at the Gaylord Texan is lighter and exact: artwork for the AFPM back wall and the $350 cabinet cling, presentation graphics and seating for a HUB Meeting Room, and portable branding for a hospitality suite. Food and beverage must come from the Gaylord Texan, and AV and catering for rooms and suites are extra. We submit every item to AFPM's exhibits team for approval before printing, ship to the resort on the agreed date and bring our own project manager to set and strike.

When is the AFPM Summit 2027?
The 2027 AFPM Summit runs August 30 to September 2, 2027, per AFPM's events calendar. AFPM has not posted the 2027 HUB schedule, so lounge hours are not confirmed yet; the 2026 lounges ran Tuesday through Thursday and shut at noon on the last day.
Where is the AFPM Summit 2027 held?
The Summit returns to Grapevine's Gaylord Texan, the resort and convention hotel between Dallas and Fort Worth. AFPM announced in its 2026 brochure that it will hold the Summit there for four years, with sessions, meetings and exhibitors on the same level.
Can we have a booth at the AFPM Summit?
AFPM has not sold traditional booths since 2022. Companies exhibit through turnkey HUB Lounges, HUB Meeting Rooms or hospitality suites, plus sponsorships. In the 2026 lounges AFPM supplied the back wall and furniture and permitted no other display materials.
How much does a HUB Lounge cost at the AFPM Summit?

Can we bring our own food or drinks to the lounge or suite?
AFPM's 2026 brochure states that no outside food and beverage is allowed; lounge holders order through the Gaylord Texan, and suite hosts arrange catering at extra cost. We plan branded counters and signage around the resort's catering, not our own.
When should we book for the 2027 AFPM Summit?
Early. In 2026 AFPM offered only 30 lounges, 15 meeting rooms and 8 suites, with early-bird pricing ending in late February and member priority in late March. The 2027 deadlines are not confirmed yet; we request the 2027 brochure for you the day AFPM releases it.
Can the AFPM Summit graphics work at other refining shows?
The same case-study graphics and monitor loops carry over to full booths we build for Gastech and Turbomachinery in Houston, or to the AMPP corrosion conference. We design the suite and meeting-room pieces as modules that fit into a later 10×20 or island.
