Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Exhibit space (paid to Cambridge Healthtech Institute)
- Drayage, or material handling, when it is not in the Bio-IT World space rate
- Electrical service, internet and rigging at the Hynes Convention Center
- Booth cleaning, and union labor where the Hynes Convention Center requires it

- Drayage: About $190 per cwt, 200 lb minimum, 2026–27 planning figure
- Host hotels: Marriott Copley Place $399, Colonnade $375, 2027
Key dates
- Bio-IT World 2027 Best of Show Awards submissions due: April 23, 2027
- Design sign-off with Purple: Early March 2027
- Late 2026 to early 2027: Choose a CHI sponsorship package (each includes an 8×10); send us the products and screens you plan to demo.
- Early March 2027: Design sign-off: backwall, demo stations, screen sizes, flooring and any meeting area.
- March to mid-April 2027: Production in Fishkill, NY within 30 to 45 days; screens and media players loaded and tested.
- 8 to 10 weeks before the show: CHI opens the exhibitor kit in its portal; we place Maxum orders for carpet, electrical and internet.
- About 3 weeks before move-in: Crates ship to the Maxum warehouse; hotel rooms booked by the April 19, 2027 cut-off.
- May 18–20, 2027: Bio-IT World 2027; after the expo closes we pack the booth for storage or your next show.

Checklist
- Pick a CHI sponsorship package; each includes one 8×10 exhibit space
- List every demo with its screen, power and internet needs
- Enter your product for the Best of Show Awards by April 23, 2027, or a project for the Innovative Practices Awards by March 1, 2027
- Book host hotel rooms by phone before the April 19, 2027 cut-off
- Order carpet or flooring, since the Hynes hall floor is concrete
- Decide whether to join the Venture, Innovation and Partnering Conference on May 18
- Plan lead capture at the booth, as CHI does not share attendee lists
- Watch the exhibitor portal 8 to 10 weeks out for the kit and deadlines
