CHI sets the price of the space through its sponsorship packages, each with one 8×10, and quotes them from a prospectus rather than a public rate card. Our side is an 8-foot demo kit (screen wall, counter, padded flooring, lighting) on one fixed proposal; screen count, flooring and Maxum electrical orders move the number most.

Through a sponsorship program: CHI states that exhibit booth spaces are sold as part of sponsorship packages only. In 2027 the Platinum, Gold (agenda presentation, breakfast or lunch, user group or hosted workshop) and Bronze packages each include one 8×10, plus conference and exhibit-only passes.

Renting suits an 8×10 well. Our Bio-IT World rental kit includes a fabric screen wall, a 43-inch display mount, a demo counter, LED lighting and padded flooring for the Hynes concrete floor. One fixed proposal covers freight, Maxum orders, install and dismantle; after Boston the kit returns to our storage.

Only in a limited way. The Hynes follows Boston union jurisdiction, so exhibitor staff may handle only small tasks under set size and height limits, and the structure goes up with union labor. Your team can still load software and test the demos while our project manager runs the crew.

It is billed by weight through the show's service contractor at the rate in CHI's exhibitor kit. For the Hynes we plan about $190 per hundredweight in 2026 and 2027, with a 200-pound minimum. Screen-heavy booths add up, so we list drayage on its own line.

Maxum Expo Services is CHI's authorized provider and preferred shipper for Bio-IT World; furniture and carpet come through Maxum, and electrical, AV and internet forms sit in CHI's Sponsor & Exhibitor Portal. If your own carrier misses its pickup window, the booth goes back to the general contractor's warehouse with a storage fee, so we schedule pickup before move-out.

CHI's exhibitor FAQ permits food and drinks at booths, offers Wi-Fi in the hall and bars children under 18 from the exhibit floor. It does not provide attendee lists; larger CHI events offer mailings through a third-party mail house instead, so we build lead capture into the booth.

We build the 8-foot Bio-IT World kit in modules so it joins a second panel set at SLAS or ASHG, or travels as is to PEGS Boston and Drug Discovery Chemistry. Between shows we store the kit, update the screen content you send us and refit counters to each floor plan.

Bio-IT World Conference & Expo runs May 18–20, 2027 at the Hynes Convention Center in Boston, with virtual attendance as well. The exhibit hall schedule for 2027 is not confirmed yet; CHI releases it with the exhibitor kit 8 to 10 weeks before the event.

Booths are compact 8×10s, so the return depends on a demo that reads fast and a sponsorship talk that sends people to it.

Cambridge Healthtech Institute (CHI), part of Cambridge Innovation Institute. CHI handles registration, sponsorship, the exhibitor portal and the host hotel blocks, and it warns that it uses no third-party hotel booking services.

CHI's host hotels are the Marriott Copley Place at $399 and the Colonnade Hotel at $375, both on Huntington Avenue and booked by phone as a Bio-IT World attendee, with an April 19, 2027 cut-off. The Marriott Copley Place connects to the Hynes indoors.
