Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space, paid to Society of Petroleum Engineers
- Drayage and material handling, unless the space rate already covers it
- Electrical, internet and rigging orders for HFTC
- Booth cleaning, and union labor where the Woodlands Waterway Marriott Hotel & Convention Center requires it
Published rates:
- Extra exhibitor registration: $400 by Jan 6, $475 Jan 7–31, $550 Feb 1–4, 2027
- Extra guest invitation: $85 each, bought in advance, 2027 show
- Official hotel rate: $273 per night, Woodlands Waterway Marriott, 2027
- Early teardown penalty: $1,000 fine plus 10 priority points, 2027 rules
Key dates
- EAC agreement, co-exhibitor, late set-up and Freeman heavy-equipment forms due: January 4, 2027
- Design sign-off with Purple: Mid-December 2026
- December 2, 2026: Update your company profile for the HFTC digital program.
- Mid-December 2026: Design sign-off, including any hanging sign or multi-level drawings.
- January 4, 2027: EAC agreement, co-exhibitor, late set-up and Freeman heavy-equipment forms due to SPE.
- January 2027: Production in our Fishkill, NY shop; freight to Freeman's advance warehouse from January 25.
- January 31–February 1, 2027: Move-in, 8 a.m. to 5 p.m.; booth complete by 5 p.m. Monday.
- February 2–4, 2027: Exhibition February 2–3, move-out from 5 p.m. Wednesday, all freight out by noon Thursday.

Checklist
- Send us your booth number, level (1 or 3) and booth type from your SPE contract
- Update the company profile for the digital program by December 2, 2026
- List every component with dimensions, weight and any fuel or battery
- File the EAC, co-exhibitor, late set-up and heavy-equipment forms by January 4, 2027
- Register booth staff by January 6, 2027 for the $400 rate
- Book rooms at The Woodlands Waterway Marriott under group code SPE
- Order power and internet from Pinnacle Live before February 1
- Brief staff on SPE's photography rules and the no-early-teardown penalty
