Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Your IIBEC Convention booth space, paid to the organizer
- Drayage and material handling, unless the space rate already covers it
- Electrical service, internet and rigging at the Henry B. González Convention Center
- Booth cleaning and whatever union labor the IIBEC Convention venue requires

- Booth space, 100 sq ft: $36 per sq ft member, $44 non-member, 2027
- Booth space, over 100 sq ft: $34 per sq ft member, $42 non-member, 2027
- Drayage: About $95 per cwt, Purple planning figure for 2026
- Insurance: $1,000,000 general liability required, 2027
Key dates
- Last day to cancel IIBEC space for a partial refund: December 18, 2026
- Design sign-off with Purple: Early January 2027
- November 2026: IIBEC releases the Exhibitor Service Manual; we file our insurance certificate as your Exhibitor-Appointed Contractor.
- By December 18, 2026: Final decisions on space: cancellations after this date receive no refund, so we lock the booth size and layout with you first.
- Early January 2027: Design sign-off on mock-ups, graphics and any hanging sign.
- January–February 2027: Production in Fishkill, NY over 30 to 45 days; Shepard and center electrical orders placed.
- Late February 2027: Crates ship to Shepard's warehouse or direct to the Henry B. González docks per the service manual.
- March 18–20, 2027: Move-in before the Friday, March 19 opening, two trade show sessions, then dismantle from 12:30 p.m. Saturday.

Checklist
- Have an IIBEC member at your company sign the contract to get the member rate
- Lock booth size before December 18, 2026, after which cancellations get no refund
- Send us IIBEC's Exhibitor Service Manual when it is released in November
- Choose the roof, wall or waterproofing details to build as cut-section mock-ups
- Sign off the design by early January 2027
- Plan staff coverage for Friday 3:15–7:15 p.m. and Saturday 8 a.m.–noon only
- Ask IIBEC in writing before planning any hospitality suite
- Book rooms in the River Walk host hotel block when registration opens
