Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Your NHIA Annual Conference booth space, paid to the organizer
- Drayage, or material handling, when it is not in the NHIA Annual Conference space rate
- Electrical, internet and rigging orders for NHIA Annual Conference
- Booth cleaning and whatever union labor the NHIA Annual Conference venue requires
Published rates:
- Booth space: $4,400 per 10×10 for NHIA members, 2027 rate
- Corner fee: $200 per corner, 2027 rate
- Extra staff registration: $825 members, $1,110 non-members through Jan 6, 2027
- Learning Lab: $3,500 per 30-minute session, 2027 rate
Key dates
- Rigging diagrams approved by the rigging company and NHIA show management: January 8, 2027
- Design sign-off with Purple: Mid-December 2026
- Mid-December 2026: Design sign-off for islands, so rigging drawings are ready for approval.
- By January 8, 2027: Rigging diagrams approved by the rigging company and NHIA show management.
- January to mid-February 2027: Production in Fishkill, NY over 30 to 45 days; pump plinths and graphics built and test-assembled.
- By February 19, 2027: Booth payment complete for reservations made after October 1, 2026; freight booked to the receiving address in the 2027 kit.
- March 19–20, 2027: Install: islands Friday 8 a.m.–noon, all booths Friday noon–5 p.m. and Saturday 8 a.m.–1 p.m.
- March 22, 2027: Expo closes at 1 p.m. Monday; we dismantle and send the booth to storage or your next infusion meeting.

Checklist
- Pick your booth on NHIA's floor plan and pay in full within 30 days
- Decide on an island hanging sign by mid-December 2026
- List every pump, device or sample the booth must hold
- Submit a new product for the Exhibitor Innovation Award by February 5, 2027
- Register extra staff by January 6, 2027 for the lowest rate
- Book Gaylord Pacific rooms before February 23, 2027
- Order lead retrieval through the Exhibitor Portal
