Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Booth space, paid to RX and The Vision Council
- Drayage, or material handling, when it is not in the Vision Expo space rate
- Electrical service, internet and rigging at the Venetian Expo
- Booth cleaning and any union labor the venue requires
Published rates:
- Early-order savings: Up to 30% on contractor orders placed by February 8 (Freeman) or February 10 (Venetian Expo), 2027
- Booth space: Quoted by RX sales; discounted rates for members of The Vision Council, 2027
- Small shipments: No material handling charge for shipments of 10 lb and under, Freeman 2027
Key dates
- Freeman advance-order discount deadline: February 8, 2027
- Design sign-off with Purple: Late December 2026
- Late December 2026: Design sign-off, about ten weeks before move-in: frame wall counts, demo counters, flooring and any hanging sign approved.
- January 2027: Production over 30 to 45 days; frame lighting tested with your actual acetate and metal samples before crating.
- February 8–10, 2027: Freeman discount deadline (February 8) and Venetian Expo electrical, rigging and multi-level deadline (February 10); the advance warehouse opens February 8.
- March 2, 2027: Last day the Freeman warehouse accepts freight; after that, crates go direct to the Venetian Expo from March 8.
- March 8–10, 2027: Targeted move-in by booth size; your project manager oversees the install, levels the walls and tests every light before 5 p.m. on March 10.
- March 11–15, 2027: Exhibit hall open March 11–13, dismantle from 3 p.m. on March 13, all freight out by noon on March 15; the booth goes to storage or your next optical show.

Checklist
- Send your booth number, size and neighborhood (Eyewear, Eyecare, Independent Design or Innovation Center)
- Count frames per collection and how many you show face-out at once
- List demo devices with dimensions, weight and power needs
- Choose flooring, since the Eyewear and Eyecare neighborhoods are not carpeted
- Book Freeman and Venetian Expo orders before February 8 and 10, 2027
- Request approval by February 8 for any pre-show meetings in the booth
- Book rooms through Connections Housing or The Venetian Resort block
- Enter the NOW Awards by February 5 if you launch a frame or wearable
