What makes AAE different, and how we build for it
AAE27 is the American Association of Endodontists' annual meeting, the one week a year when the specialty gathers in one hall. The AAE serves 8,000-plus members, and the meeting moves city to city: Salt Lake City hosted AAE26, San Antonio takes AAE27, then Toronto in 2028, Seattle in 2029 and Louisville in 2030. That rotation means the exhibitors who come back every year build for reuse, and Henry B. González Convention Center gives them 35-foot ceilings and 514,000 square feet of contiguous space to do it in. Visitors are specialists who buy their own microscopes, files and imaging, so a booth wins when a clinician can put an eye to the eyepiece and see the difference in under a minute.

Four things we get right for AAE exhibitors

Set the viewing height first
We model the microscope, monitor or demo counter at actual size, with clearance for the stool and the standing observer, so the visitor and your specialist see the same detail. A shared screen carries the eyepiece view to the second and third person in the group.

Keep every instrument labeled in hand
Files, tips and handpieces sit in numbered holders with matching comparison cards, so an item stays identified when it is lifted. We give each variant enough spacing to read without a narrator and build restock and secure-return storage into the counter.
Rehearse the close-up camera
We test the close-up feed with your exact model and lighting before the booth ships. A stable mount, readable orientation and a repeatable starting view beat a large screen that shows nothing useful, and we keep screens away from reflective glass and aisle glare.
Protect the discussion surface
Your specialist needs a clear area for a tablet, sample and notes. We separate brochure stock and packing materials from that surface, add a small consultation point for configuration and follow-up scheduling, and capture interest at the product-family level so the post-show call starts from the demo.

Logistics for AAE 2027, handled
Henry B. González Convention Center is a right-to-work building, so our own crew builds any size booth with its own tools. Material handling runs through the show's designated contractor at about $95 per hundredweight, and electrical, rigging, internet and cleaning are exclusive to the center. Covered or multilevel exhibits go to the San Antonio Fire Department for plan approval, with flame-certified fabrics throughout. Freight routes to the loading docks on the HemisFair side, never the River Walk. We read the AAE exhibitor kit and Exhibitor Rules and Regulations, place every service order, ship to the advance warehouse, and our San Antonio crew installs under the 35-foot ceilings while your team settles into the connected 1,003-room Grand Hyatt.

How much does a 10×20 booth at AAE cost?
A complete 10×20 rental runs $7,500 to $15,000 and a custom 10×20 runs $15,000 to $45,000, covering design, structure, graphics and installation. A 20×20 custom island lands between $50,000 and $120,000. Microscope mounts and demo screens move the number, so send us your equipment list and we return a fixed quote.
Can you install at Henry B. González Convention Center?
Yes. Texas is right-to-work, so our San Antonio crew builds and dismantles with its own tools. We route freight to the HemisFair-side docks, order electrical and rigging through the center, and level every microscope station before you arrive.
Can we rent a booth for AAE27?
Yes. Rental structures with your graphics, custom demo counters, or a mix of the two. Most first-time AAE exhibitors start with a 10×10 or 10×20 rental and add a custom instrument display, then move to a full custom build once the show proves itself.
When do we need to decide?
Design sign-off in early February 2027 gives a comfortable 30 to 45 day build and a late-March ship to the advance warehouse. Later is possible; the trade-off is choice of fixtures and freight cost. Booth space itself is booked through the AAE corporate relations team, and we build to whatever number they assign you.
Do you handle the exhibitor kit orders and drayage?
Yes. We read the AAE exhibitor kit, file the forms that concern the booth, order material handling, electrical and internet, and keep you copied on every deadline. Drayage at Henry B. runs about $95 per hundredweight, so we pack to keep weight down.
