We build ToxExpo booths where a study director can walk a toxicologist through a GLP package or an in vitro model in five minutes between sessions. At the Henry B. González Convention Center, Shepard runs the docks, and we send island drawings to SOT by February 12.

What makes SOT Annual Meeting & ToxExpo different, and how we build for it
SOT's 66th Annual Meeting returns to San Antonio with four days of Continuing Education courses, sessions and posters, and the three-day ToxExpo running Monday through Wednesday.The exhibitors are the toxicologist's own suppliers: research organizations, laboratory suppliers, drug developers, consulting firms and government agencies, listed year-round in the ToxExpo Directory. Exhibitor-Hosted Sessions let exhibitors teach for 60 minutes beside the scientific program, nearly 2,000 posters keep people moving through the hall, and Shepard Exposition Services is the general service contractor. Booth priority rests on one point per exhibiting year, which resets after two missed years.

Side walls, pop-up banners and equipment over 4 feet must sit within five feet of the back wall, and nothing may span into an aisle; island and altered booths need approved drawings by February 12, 2027. We draw to both before production.
Each booth needs one solid piece of approved carpet or interlocking flooring over the entire space, in place by 4 p.m. on March 14, 2027, or Shepard installs carpet at your cost. We ship a fitted floor with every booth.
Corporate identification may hang only directly above contracted island space, and exhibitors may not rig banners or signs themselves; all rigging goes through the center's official provider. We order it with the island drawings.
Samples and giveaways must cost $10 or less, food must be bite-sized and individually wrapped, and booth prizes may not exceed $1,000. We plan booth activity around a reference card or data booklet rather than merchandise.
ToxExpo prohibits operating X-ray equipment and displaying live animals or animals in distress in video or photos; lasers and UV lighting need written approval. We design research-model booths around data and facility imagery.
Programs worth planning for
60-minute educational sessions for about 100 attendees, open to ToxExpo exhibitors, supporters and SOT Global Partners; $1,550 fee, applications until January 8, 2027, one slot per day.
Toxicology-themed meetings held the Saturday before or Thursday after the Annual Meeting; proposals in session format are due January 11, 2027.
Four-hour convention center room holds for $1,250, all-day rooms at the Grand Hyatt San Antonio headquarters hotel for $1,800, and free ancillary space assigned from December 2026 outside blackout periods.

Logistics for SOT Annual Meeting & ToxExpo 2027, handled
Texas right-to-work rules let your own employees put up the ToxExpo exhibit, whatever its footprint, but Shepard alone loads and unloads at the ToxExpo load-in area and private vehicles are kept out. Freight goes to Shepard's advance warehouse from February 12, without fees through March 5; direct shipments arrive from March 13. Electrical and rigging are center-exclusive, and SOT bars exhibitors from hanging their own signs. We plan around about $95 per hundredweight for material handling, route trucks to the HemisFair-side docks, and book crew rooms by February 12.

SOT charges $2,700 per commercial 10×10 inline and $2,900 for a corner or island unit, so a 10×20 inline is $5,400 in space. A Purple 10×20 rental runs $7,500 to $15,000 and a custom 20×20 island $50,000 to $120,000. Flooring, Shepard handling and center-exclusive electrical add to that.
What are the SOT ToxExpo 2027 exhibitor deadlines?
February 12, 2027 carries the most: island, endcap and altered-booth drawings, insurance certificates and EAC registration are due, and it is also the housing deadline. Shepard's advance rates end February 19. Sign off on design in early December 2026 and we hit all of them.
Can we rent a booth for SOT ToxExpo?
Our rentals for ToxExpo include fabric graphic walls, a counter, lighting, a storage closet and the full-coverage flooring SOT requires, plus freight, installation and removal on a fixed quote. A 10×20 runs $7,500 to $15,000, and the SOT space fee stays separate.
Can our own staff set up our booth at the Henry B. González Convention Center?
Your own employees may do the assembly, because Texas is right-to-work and the venue sets no booth-size cutoff for staff labor. What stays exclusive is Shepard's unloading at the ToxExpo load-in area and the center's electrical and rigging, so hand-carry through the main entrance with dollies is not allowed.
Can we hang a sign over our ToxExpo booth?
Only over an island, and only through the center's official rigging provider: SOT allows corporate identification on banners directly above contracted island space and prohibits exhibitors from rigging signs themselves. Island drawings go to SOT by February 12, 2027, and we order the rigging with them.
How much is drayage at SOT ToxExpo 2027?
Shepard handles material handling and posts its rates in ExhibitorPro. For planning at the Henry B. González Convention Center we use about $95 per hundredweight, and we land crates at the advance warehouse between February 12 and March 5, 2027 to stay inside the no-fee window.
Can a ToxExpo booth be reused at other shows?
A modular CRO booth built for San Antonio carries over to ACS Spring in New Orleans the same month, SLAS in January or DIA in San Diego in June. We store it, refresh the study-capability graphics and ship to the next advance warehouse.
Can exhibitors host a session or meeting at SOT?
Exhibitors may apply for a 60-minute Exhibitor-Hosted Session for about 100 people at a $1,550 fee, with applications through January 8, 2027. Four-hour convention center room holds cost $1,250, and complimentary ancillary space is assigned after SOT's own functions.

Who exhibits at ToxExpo?
Research organizations, government agencies, drug developers, regulatory authorities, academic institutions, laboratory and medical suppliers and consultants, per SOT's 2027 prospectus. Exhibits must be educational, emphasizing instruments, products or services for teaching or research, and applications need SOT Council approval.
How is ToxExpo booth space assigned?
By priority points: one point per year exhibited, regardless of booth size, reset to zero after two missed years. Final assignments are made by the ToxExpo Senior Exhibits Manager, usually in January. Cancellations after September 30, 2026 cost 100% of the space fee.
