New York State Fairgrounds Exposition Center Exhibitor Guide

The Expo Center is a 440 ft by 250 ft clear-span hall under 250 ft roof trusses, built on the State Fairgrounds in 2018 for shows that roll in on tracks and tires. Excavators, tractors and boats come through eight overhead doors onto a bare concrete floor, so planning here is about door sizes, planking and power drops more than carpet and rigging.

  • 3,000+ exhibitors served
  • 10,000+ booths built

Quick answers

What exhibitors ask about the NYS Fairgrounds Expo Center

How big is the Expo Center?110,000 sq ft, no columns.

The venue's spec sheet lists 110,000 sq ft of open floor, 440′ × 250′, with room for more than 500 10×10 booths. The whole building is about 136,000 sq ft with lobbies, meeting rooms and 4,000 retractable seats.

Can I drive equipment inside?Yes, with planks.

The hall was built for heavy-equipment shows and has eight overhead doors. At the Hard Hat Expo, tracked machines must be planked from the trailer to the booth, inside and outside, or the exhibitor pays for floor damage.

Is it union?Run by your show.

The fairgrounds publish no union labor rule for exhibitors. Labor comes from each show's decorator, for example Great Lakes Expo Services at the Hard Hat Expo, and most exhibitors set up themselves. Your show kit is the final word.

Is the floor carpeted? No, bare concrete.

Hard Hat Expo exhibitor papers state that the hall is not carpeted. Order carpet from the decorator or bring your own flooring if your booth needs it.

Floor plan & exhibit buildings

NYS Fairgrounds Expo Center floor plan and the other exhibit buildings

The Expo Center is one big rectangle, so most trade shows here fill a single open floor. The biggest winter shows spill into the fairgrounds' other halls: the Central New York Boat Show uses the Expo Center plus the Center of Progress, nearly 200,000 sq ft in all. Tap a building for its size.

Schematic. Widths are proportional to the floor areas the fairgrounds publish, not a site plan; the buildings are spread across the grounds. Official spec sheets and the grounds map are on nysfairgrounds.ny.gov.

The NYS Fairgrounds Expo Center as an equipment hall: doors, planks and a bare floor

State officials said in 2017 that the hall was designed for "things that require large equipment": heavy-equipment shows, horse shows and the winter farm show. That shapes how you exhibit. The numbers below come from the venue spec sheet and the 2026–2027 Hard Hat Expo exhibitor papers; other shows can set different rules.

FactWhat it means for your exhibit
250 ft clear-span trussesNo columns across the 440′ × 250′ floor, so long machines and wide island booths fit anywhere the show's floor plan allows
30′ W × 17′ H biggest doorThe other doors on the show map are 10′ or 12′ wide by 14′ high. Measure your tallest machine on its trailer and ask show management which door it gets
Planking requiredTracked vehicles must run on planks from trailer to booth, inside and outside. Without them, the exhibitor pays for any damage to the building
No carpetThe hall is bare concrete. A 9′ × 10′ carpet was $121 in advance from the 2026 decorator; cut-and-lay carpet was $2.50 per sq ft
Fork truck at no chargeAt the Hard Hat Expo, fork truck service and power washing are included. Other shows quote forklifts separately, so read your kit
Display machines made safeBattery leads disconnected, fuel tanks emptied and locked or taped shut, ignition keys removed, and only flame-proofed materials in the booth

Insider tips

NYS Fairgrounds Expo Center exhibitor tips: what experienced teams do

Pack planks with the excavator

Tracked machines must ride on planks from the trailer to the booth, outside and inside. Carry enough to leapfrog the whole route, or your company pays for any damage to the floor.

Match the machine to the door

Most doors on the Hard Hat map are 10′ to 12′ wide and 14′ high; one is 30′ × 17′. Send show management your loaded height and width early so your booth lands near the right door.

Budget for flooring

The hall is bare concrete. If you want carpet, order it before the decorator's advance deadline ($121 for a 9′ × 10′ in 2026, more after) or bring your own flooring and tape.

60 ft of air, 8 ft of booth

The trusses sit 60 ft up, but the Hard Hat Expo caps built displays at 8 ft (12 ft for perimeter backdrops) without written permission. Get height approval in writing before you build a tower.

Book the carrier for 5 pm sharp

At the 2026 Hard Hat Expo, carriers not checked in by 5 pm on closing day had freight sent back to the decorator's warehouse with a fee, and the hall had to be clear by 6 pm.

Late February is a double booking

In 2027 the CNY Boat Show (Feb 18–21) is followed straight away by the New York Farm Show (Feb 25–27). Book Syracuse hotels and move-in carriers early if you work either show.

Loading & move-in

Get directions to New York State Fairgrounds Exposition Center →

  • Drive-in doors, not a dock apronThe Expo Center has 8 overhead doors. The Hard Hat Expo map marks a pair of loading-dock doors at 10′ W × 14′ H and overhead doors from 10′ to 30′ wide. Confirm which door your show uses for your booth.
  • Move-in is set by the showFor the 2026 Hard Hat Expo, 10×10 booths moved in the day before opening, 9 am to 5 pm, and floor-space exhibitors got individual times from show management.
  • Ship through the decoratorThe Hard Hat Expo kit says all shipments must go through the decorator. Anything sent straight to the fairgrounds is not the show's responsibility.
  • Easy truck accessThe fairgrounds sit right beside I-690, just west of Syracuse. From the west, take the Thruway (I-90) to Exit 39, then I-690 East. Use 581 State Fair Blvd for GPS and ask your show which gate trucks use.
  • Room to stageFour large lots hold nearly 14,000 vehicles, with open areas for about 9,000 more. Parking is free for nearly all non-fair events unless the event says otherwise.
  1. Day −30If you use your own installer, the decorator needs the contractor's liability insurance certificate at least 30 days before the show, or the installer cannot work.
  2. Day −14Order power, carpet and labor from the decorator before its advance deadline (12 days before the 2026 Hard Hat Expo) to get advance prices.
  3. Day −12Advance-warehouse freight due. In 2026 it had to arrive by March 6 for a March 18 opening; one more week was allowed with a late fee.
  4. Day −1Booth move-in. Plank tracked machines, set your booth and run your lead cords. Purple ships to Syracuse and coordinates crews and freight for the fairgrounds.
  5. Day 0Show opens. Hard Hat Expo 2027 runs Wednesday 9–4 and Thursday 8–3.
  6. Show closeAt the 2026 Hard Hat Expo, move-out ran 3–6 pm on the last day, and carriers had to check in by 5 pm or freight went back to the decorator's warehouse with a fee.

Labor & building rules

NYS Fairgrounds Expo Center labor rules: what your team can do itself

The fairgrounds are run by the state's Department of Agriculture and Markets and rent the hall to show producers. The venue publishes no exhibitor labor rule, so each show's decorator and rules decide. The details below come from the 2027 Hard Hat Expo contract and the 2026 Great Lakes Expo Services kit; check your own show kit, because New York is not a right-to-work state and contracts can require union crews for some work.

✓Your own staff

  • Set up and dismantle your own booth on the show's schedule. The decorator's labor is optional
  • Drive in and position your own display equipment, on planks if it has tracks
  • Hire your own installer with an exhibitor-appointed contractor form, filed by the decorator's deadline
  • Use the show's fork truck at the Hard Hat Expo at no charge
  • Bring your own lead cords; the kit says they are needed

●Show contractor services

  • Freight: all shipments through the decorator (Great Lakes Expo Services at Hard Hat)
  • Labor: $80 per hour straight time, $120 overtime, $160 double time, 1-hour minimum (2026 kit)
  • Supervised install: hourly rate plus 30%, minimum $30
  • Power: 110V outlet $50, 208V single-phase $150 (Hard Hat 2027)
  • Carpet, furniture and signs from the decorator

!Watch for

  • Built displays over 8 ft need written permission; perimeter backdrops can go to 12 ft
  • Tracked vehicles unplanked: you pay for the damage
  • Display machines: battery leads off, tanks emptied and locked, keys out
  • Insurance: $1M per occurrence / $2M aggregate general liability, workers' comp and $1M auto, naming the show producer
  • Your contractor's insurance certificate due 30 days out
  • No refunds on space cancelled within 90 days of the show

The grounds

From America's first state fair to a 250-ft truss expo hall

The fair has run in Syracuse since 1841 and on these grounds in the town of Geddes, on the shore of Onondaga Lake, since 1890. The Expo Center came out of a state rebuild that took out the old racetrack and grandstand.

FAQ

NYS Fairgrounds Expo Center FAQ for exhibitors

Where is the New York State Fairgrounds Expo Center?

At 581 State Fair Blvd, Syracuse, NY 13209, on the New York State Fairgrounds in the town of Geddes, just west of Syracuse. The grounds sit directly beside I-690; from the Thruway, use Exit 39 from the west or Exit 34A from the east.

How big is the Expo Center exhibit hall?

The venue's spec sheet lists 110,000 sq ft of open floor, 440′ × 250′, with capacity for more than 500 10×10 booths. The building totals about 136,000 sq ft and has 4,000 retractable seats, 16 restrooms and 8 overhead doors.

What is the ceiling height?

The spec sheet lists a 60 ft truss height. Booth height limits are set by each show and are much lower; the Hard Hat Expo allows 8 ft for built displays (12 ft for perimeter backdrops) unless show management approves more in writing.

Is the NYS Fairgrounds Expo Center union?

The fairgrounds publish no union labor rule for exhibitors. Each show's decorator provides labor and freight services, and at shows like the Hard Hat Expo exhibitors commonly set up themselves. New York is not a right-to-work state, and show contracts note that union crews must be used where a facility or contractor requires them, so check your show kit.

Can I bring heavy equipment into the hall?

Yes. The building was designed for heavy-equipment, farm and horse shows. At the Hard Hat Expo, tracked vehicles must be planked from the trailer to the booth, and display machines need battery leads disconnected, fuel tanks emptied and locked or taped, and keys removed.

How much is drayage at the NYS Fairgrounds?

Plan about $95 per hundredweight. The 2026 Hard Hat Expo decorator charged $90/cwt for advance-warehouse or direct shipments with a 200 lb minimum, plus $30/cwt for late advance freight. Your show's decorator sets the actual rate in its kit.

Is the exhibit floor carpeted?

No. Hard Hat Expo papers state that the hall is not carpeted. Order carpet from the show decorator before the advance deadline or bring your own flooring.

How do I get power in my booth?

Order it through your show. The building supplies 110/208V power. For the 2027 Hard Hat Expo, a 110V outlet is $50 and a 208V single-phase outlet is $150, and the kit tells exhibitors to bring their own lead cords.

Is parking free at the fairgrounds?

For nearly all events outside the Great New York State Fair, yes, unless the event says otherwise. Four large lots hold nearly 14,000 vehicles, with open areas for about 9,000 more.

Can I exhibit at the Expo Center during the State Fair?

The Great New York State Fair runs August 26 to September 7, 2026 and August 25 to September 6, 2027, and the Expo Center hosts fair programming then. Trade shows book the rest of the year; most of the big ones are between November and March.
