Exhibiting in Las Vegas: what to know
What we check for every Las Vegas show, with sources. We handle all of it as part of the all-in price.
How drayage is billed
Drayage (material handling) is billed per hundredweight (cwt = 100 lb), rounded up to the next 100 lb, usually with a 200 lb (2 cwt) minimum per shipment; it covers moving freight from dock or warehouse to the booth, storing empty crates, and returning it to the dock after the show. Cost = rate x (weight / 100). Special handling (uncrated, loose, ground unload) and overtime cost more; late arrivals after the warehouse deadline get a surcharge. Some contractors (Freeman, GES Material Handling+) now bill per pound instead of per cwt.
Labor rules
- CES 2026 (LVCC): exhibitors may set up their own displays only with full-time, permanent company employees; union officials can ask for proof of employment source
- Exhibitors may hand-carry materials but may not use flatbed carts, dollies or hand trucks source
- NAB Show 2025 rules: exhibitor work must be done by full-time employees who can show ID such as a medical card or payroll stub source
- GES guidance: a 'reasonable amount' you can hand-carry means a couple of trips with a pop-up or a few cartons, no hand cart source
Drayage (moving your freight to the booth)
- Freeman LVCC show rate page: $0.69/lb (about $69/cwt) for advance freight arriving by the warehouse deadline, $0.86/lb for late arrivals, round-trip, billed on inbound weight (appears to be CES) source
- Older undated Freeman LVCC sheet (NACS): crated $109.25/cwt at the warehouse and $92.50/cwt direct to show (1-5,000 lb), 200 lb minimum source
- NACS 2022 at LVCC (Freeman): crated/skidded warehouse surcharge $27.50/cwt (1-5,000 lb) on top of base rates, 200 lb minimum source
- SEMA 2026 guide: Freeman's per-pound pricing has run roughly $1/lb at recent SEMA shows source
- IMEX America 2026 at Mandalay Bay (GES): post-show storage $110.25/cwt, 1,000 lb minimum (storage, not handling) source
Shipping deadlines
- Freeman LVCC rates are round-trip and cheaper if freight reaches the advance warehouse by the deadline; later arrivals pay a higher rate source
