Includes design, structure, graphics, installation and dismantle. A custom-built booth runs roughly $100 to $250 per square foot depending on finish level. A rental of the same footprint usually lands at 35 to 50 percent of the purchase price for one show.
Billed by the show
- Exhibit space (paid to techoraco)
- Material handling / drayage, if the ITW space rate leaves it out
- Electrical, internet and rigging orders for ITW
- Booth cleaning and whatever union labor the ITW venue requires

- Drayage: About $170 per cwt, 200 lb minimum, Purple planning estimate for 2026 and 2027
Key dates
- Design sign-off with Purple: Late February 2027
- January 2027: Space booked with ITW sales; stand or meeting room type and location confirmed and sent to us.
- Late February 2027: Design sign-off, about ten weeks before move-in: stand layout, meeting pod, route map artwork and lighting.
- March to early April 2027: Production over 30 to 45 days in Fishkill, NY; meeting-room graphics and furniture tested together.
- Mid-April 2027: Contractor orders placed and freight shipped to the official warehouse for National Harbor.
- Days before May 10, 2027: Move-in at Gaylord National; our project manager installs with Mid-Atlantic labor and tests screens and lighting.
- May 10–13, 2027: ITW meetings, then dismantle and storage for your next carrier or data-center event.

Checklist
- Choose your format: stand, hybrid stand, meeting room, lounge or suite
- Ask itwsales@capacitymedia.com for the sponsorship brochure and space plan
- Count meetings per day to size the table and seating
- Send route, cable landing or campus data for the backlit map
- List screens and devices for power and AV orders
- Plan for carpet: raised floor or protection in the build
- Book rooms near Gaylord National early; the resort has 2,000 rooms
- Request visa support letters early for international team members
