Ranked by the most recent figure each organizer publishes; some are expected counts and some give no year, so read each number with its label. Data Center World is ranked by its exhibitor count because it publishes no attendance figure. NVIDIA GTC is not ranked because NVIDIA gives no attendance figure on the GTC pages linked in this guide. The benchmark sells the chip. Show it in someone’s hands.

Architects, developers and engineers judge AI hardware the way their users will: switched on, running a real workload, on a person’s face or in a person’s hands. Plan the booth around that moment.

04 BY CITY

AI and data center conferences by city Plan by city. One crate of hardware, two shows.

Santa Clara, San Francisco and San Jose hold five of these events between them, Long Beach hosts both the XR and the embedded show, and Chicago closes 2026 with SC26 and Q2B. Racks, cooling units and demo counters cost real money to ship, so pairing two shows in one region saves freight.

06 BUILT AROUND THE RUNNING DEMO

AI, data center and embedded booth ideas Switch it on. Let the numbers scroll.

Infrastructure buyers want to see the hardware, read the benchmark and then talk volume at a table. Here are real booths we built for an instrument maker, a software company, a power equipment maker, a smart-cart company, a connected-systems maker and a proptech brand, and what fits in every booth size.

data-pixel booth by Purple Exhibits: lit demo counter with fiber-optic inspection instruments and a laptop, team at the backlit wall01 / THE INSTRUMENT BENCH

data-pixel · Purple Exhibits

Put the instrument on the counter, switched on.

Fiber-optic inspection instruments sit on two lit counters with screens reading out the measurements, a dark backlit wall shows the robot cell the tools work in, and high tables in the middle keep the engineers talking at the bench.

LeadSquared booth by Purple Exhibits: round hanging sign over blue demo walls with screens and white lounge seating02 / THE DEMO STATIONS

LeadSquared · Purple Exhibits

Three screens. One sign overhead.

A round hanging sign marks the booth from across the hall, three blue walls each carry a screen and one message for the software demo, and white lounge seating and high tables between them keep every conversation on the floor.

Kaizen Switchgear booth by Purple Exhibits with switchgear components on white plinths and printed product panels03 / THE POWER LINE

Kaizen Switchgear · Purple Exhibits

Line up the power hardware at hand height.

White plinths run along both sides with the switchgear components on top, printed panels name each product family above them, a screen sits on the back wall, and a counter with a brochure rack and a meeting table finish the space.

Barantech booth by Purple Exhibits with a white backlit demo wall of connected modules above a helm counter with blue LED light04 / THE SYSTEM WALL

Barantech · Purple Exhibits

Wire the whole system to one wall.

A white backlit wall carries every module of the connected system, mounted and switched on, above a counter with live control panels. Blue LED light runs under the counter, and high chairs and a kiosk with a screen sit at the aisle.

Easy Shopper booth by Purple Exhibits with lime green backlit walls, smart carts with tablets and a screen shelf05 / THE LIVE DATA

Easy Shopper · Purple Exhibits

Park the device. Light the numbers behind it.

Two lime green backlit fabric walls carry the brand, the install count and a map, the smart carts stand on the carpet with their tablets switched on, and a shelf unit at the side holds screens with the live data.

Apartment List booth by Purple Exhibits with LED-edged house structures, screens, a pink carpet and a purple hanging sign06 / THE ROOMS

Apartment List · Purple Exhibits

Build rooms people want to walk into.

House-shaped structures edged in LED light hold a screen and a sofa inside, a pink carpet and armchairs make a lounge in front, and a purple hanging sign carries the brand over the whole space.

Racked to fit, by booth size

What fits in each AI, data center or embedded booth size, laid out four ways.

The dev bench10×20

200 sq ft. Room for a running demo and a real seat for the engineer.

In the space
A back wall with the brand and one screen, a demo counter with power and a wired data drop, a lit plinth for a module or a server sled, a two-seat table, lockable storage and two to three staff.
Best for
Sensor, module and edge AI makers, memory and storage suppliers, startups past the startup zone and XR companies with one headset demo.
Good to know
Where the show sells sponsor packages or hotel exhibit space only, as at GTC, FMS, DCD Connect and the 7x24 Exchange, we build graphics, counters, displays and lighting for that space instead.

The product rail10×30

300 sq ft, usually inline. A full run of the range.

In the space
Lit shelving or plinths along the back wall grouped by product family, a demo counter at each end, a screen with the dashboard, storage and three to five staff.
Best for
Module and board makers showing a catalog, cabling and monitoring suppliers and embedded tool vendors.
Good to know
Group the wall the way engineers shop: by application, by performance tier or by form factor, with the part number and the key spec on every product.

The rack island20×20

400 sq ft, often an island open on all sides.

In the space
A live rack or cooling unit on one face, demo stations on two, an LED wall or large screen on the fourth, a closed meeting room for architects and procurement, a hanging sign where permitted and four to eight staff.
Best for
Server, power and cooling makers at OCP and Data Center World, XR makers at AWE USA and processor companies at embedded world North America.
Good to know
Decide early where the electrical and data drops land and how much the hardware weighs. A loaded rack needs a floor load check and a forklift on move-in day.

The data hall20×30+

600 sq ft and up. A showroom on the show floor.

In the space
A row of racks or the full product range on every face, a stage or LED wall for talks, two or more meeting rooms, a lounge for key accounts, a storage room for demo units and a hanging sign.
Best for
Platform companies with several product lines, groups showing a full stack from chip to rack, and companies running presentations on the floor.
Good to know
Plan the rigging, the LED wall weight, the stage sightlines, the power load and the meeting schedule before the drawings are final. Hanging signs and rigged screens need the hall’s approval.

A good infrastructure booth works like a good data hall: the hardware lit and labeled, the dashboard live, power and cooling planned before anything ships, and a table out of the aisle for the conversation about volume. We’ll plan the units, the drops and the layout together. Get a fixed proposal

07 FOUR STACKS, FOUR KINDS OF BUYER

Choose the right AI or data center audience Know who signs the PO. Then pick the floor.

Start with the person who approves the purchase. AI system architects and researchers walk GTC and SC, hyperscale hardware and procurement teams walk OCP, facility and operations managers walk Data Center World, DCD and 7x24 Exchange, and product engineers walk Sensors Converge, embedded world, AutoSens and AWE. Pick the people you need at your counter, and we’ll help you narrow the field.

08 EVERY PLATFORM STARTED AS A PROTOTYPE

AI, sensor and XR shows for startups Your first U.S. floor. Your first reference customer.

Young hardware and AI companies often start in a startup zone or a pitch competition, where a working prototype meets the same engineers and investors as a large booth. Here’s how to get in, with the source for every rule.

Sensors & embedded

Sensors Converge

How to get in

  • The Startup Zone is for companies new to the Sensors Converge Expo in 2027.
  • To qualify: 5 years old or less, under $1 million in annual sales, under 25 employees, and a product launched (or launching) within the last 12 months.

Programs for new companies

  • Startup Zone with two exhibitor staff badges, one conference pass and listing as a Startup Zone participant.
  • Startup pitch session on the show floor.
  • EDGE AI FOUNDATION Pavilion for edge AI companies.

Rules and deadlines are the latest the organizers published. Startup zones fill early, so apply as soon as space opens.

MAKE IT A WORKLOAD, NOT JUST A WALL

A rack lit.
A model that answers.
A reason to book the meeting.

The hardware gets them to stop. A demo running on a wired line, a live dashboard with the numbers that matter, the unit at hand height and a table out of the aisle give an architect, an operator or an OEM engineer a reason to start the evaluation.

09 LET’S GET YOU BENCHMARK-READY

How to exhibit at an AI or data center conference Power it up. Then pull up a chair.

AI and data center floors run on heavy hardware, live dashboards and short windows with the right architect. Let’s break it into manageable pieces: the live demo, the rack on the floor, power and heat, the dashboard, the developer bench, the hotel floor, the freight and the follow-up.

01THE LIVE DEMORun it on a wire, not on show WiFi.
  • Order a wired line: Show WiFi carries thousands of phones and laptops, so any demo that reaches a cloud model or a remote cluster gets a hard line from the hall’s internet provider.
  • Bring a local fallback: A model or a recorded run on a local machine, so the demo keeps going if the line drops.
  • Keep it short: One prompt, one result, one number, in under two minutes. Loop it when the booth is busy and run it live when an architect asks.
  • Check the radio rules: Many halls restrict exhibitor WiFi networks and wireless devices. Ask the show before you ship anything that transmits.
02THE RACK ON THE FLOORWeigh it before you ship it.

A loaded server rack, a cooling distribution unit or a battery cabinet is heavy, tall and expensive to move.

  • Check the floor and the doors: Hotel ballrooms and some halls have floor load limits, and freight elevators and doors limit height. DCD Connect New York runs in a Times Square hotel, where hotel freight and elevator rules shape the build.
  • Plan the handling: Material handling is charged by weight, and heavy units need a forklift on move-in day.
  • Ship it ready: Crate the unit with its rails and covers, and keep the drives and the demo images with the team.
03POWER & HEATCount the watts, then count the heat.
  • Size the electrical: GPU servers draw far more than a screen. List every unit, its plug and its load on the plan, and order the circuits early at advance rates.
  • Plan for the heat: A running server in an open booth warms the space and the people around it. Give it airflow and keep the exhaust away from the meeting table.
  • Hide the cables: We build cable paths into the counters and walls, so the demo looks clean and nobody trips.
04THE DASHBOARDPut one number on the big screen.
  • Lead with the metric: Tokens per second, watts per rack, PUE, latency or frames per second: the number your buyer is measured on, live and large.
  • Size the screen to the aisle: A finer pixel pitch for a counter screen read up close, a coarser one for a wall read from across the hall.
  • Control the light: Shade a screen demo from the hall lights so the numbers stay readable.
05THE DEVELOPER BENCHGive engineers a seat and a dev kit.

At Sensors Converge, embedded world North America and the Embedded Vision Summit, the buyer is an engineer who wants to try the part.

  • A bench, not a counter: Stools, a running dev kit, a screen with the code or the sensor data, and a QR code to the documentation.
  • Kits to take home: Evaluation boards or a sign-up for one, tagged to the badge scan.
  • An applications engineer on shift: Every hour the expo is open.
06THE XR DEMOClear the floor. Clean the headsets.
  • Give people room: A marked demo area out of the aisle, so a person in a headset can turn and reach safely.
  • Plan the turnover: Spare headsets on charge, a cleaning station and a staffer who fits each one.
  • Show what they see: Mirror the headset view to a screen facing the aisle, so the queue sees the demo too.
  • Apply early for the showcase: The AWE Playground is a 20,000 sq ft demo area with its own application, per AWE.
07THE FREIGHT & LABORCount back from the warehouse date.
  • Count back from the warehouse deadline: Every general contractor publishes a date when freight must reach the advance warehouse. Our builds take 30 to 45 days, so we work back from that date.
  • Build it here: We build in our Fishkill, NY shop and our Las Vegas shop, so the booth does not cross an ocean.
  • Know the labor rules: Big U.S. halls set who may install, rig and wire on the floor. Your project manager runs the install with the labor the show requires, and we plan the build to keep labor hours short.
  • Watch the moves: OCP moves to San Francisco, Data Center World to Nashville and embedded world North America to Long Beach for 2027, so check each new hall’s rules.
08THE FOLLOW-UPSend the benchmark before they get home.

Scan every badge with notes: the workload, the scale, the timeline and who signs. Send data sheets, benchmark reports, evaluation units and NDA drafts within days of the show.

Tag every lead as an architect, an operator, a procurement contact, an OEM engineer, a developer or a partner, so follow-up reaches the right person. Track results over a full evaluation cycle: a design win started at the booth can take a year to reach production, so measure evaluations opened, not only leads.

THE ARCHITECT’S FILE

Your spec, ready for every evaluation.

Architects, operators and engineers decide fast between sessions. Have this ready as a printed sheet and a short digital kit, so starting the evaluation is easy.

DESIGN WIN

10 THE MATH BEHIND THE RACK

AI and data center conference budget & ROI Clear goals. Design wins you can count.

Let’s put numbers behind the plan. Add your full show budget and your own deal economics to see what breaking even could look like over a realistic sales cycle.

Budget beyond the square footage.

Space & presence
Booth space or sponsor package, design, graphics, screens and LED walls, demo counters, plinths, meeting rooms, flooring, furniture and lighting.
Getting there
Freight for the booth and the hardware, material handling by weight, forklifts, installation, rigging, dismantle and storage.
Running the booth
Electrical, wired internet, cleaning, lead capture, data sheets, dev kits, giveaways and security for high-value units.
Your people & follow-through
Sales and engineering team time, travel, show-week hotels, customer dinners and post-show evaluations.

Get itemized quotes and an explicit contingency. Heavy hardware, electrical, wired internet, material handling and labor weigh more on an infrastructure budget than floor space, and show-week hotels in San Jose, San Francisco and New York add up fast. These categories are a planning checklist, not a price estimate.

THE EXHIBIT MATH

Let’s do the math.

An example to get you started. Change the numbers to fit your company.

Use contribution after the cost of goods and support, before show cost, not the order value. Most infrastructure deals start with an evaluation and grow over a buying cycle, so choose one evaluation period (for example, 12 or 18 months) for every input.
