Protect the welcome

Plan for simultaneous demos, meetings, and breaks. There is no universal staffing formula: use your booth layout, expected visitor traffic, and planned activities. Keep someone available to acknowledge new arrivals. Executives can support priority relationships and important decisions.

People and responsibilities

Maya Chen, sales manager: team lead, coverage decisions, and priority meetings. Luis Ortega, applications engineer: demonstrations, technical qualification, and verified technical replies. Priya Shah, marketing operations coordinator: primary welcome, approved materials, lead-data checks, and the daily scorecard. Eli Brooks, territory account manager: welcome relief, standard demos after rehearsal, sales qualification, and follow-up ownership. Before the show, Maya leads rehearsal; after it, Eli owns next steps and Priya checks completion.

Coverage and handoffs

Keep at least one named person at the open front throughout show hours. Priya welcomes by default; Eli takes over when she records a lead or leaves for a break. Maya confirms cover before any departure. Introduce a handoff by name and summarize the visitor's need: 'Luis, Dana is comparing options for a process-water line with frequent cartridge changes.' Ask the visitor before bringing in a colleague. When Luis is busy, Eli offers the practiced overview and books a technical slot; technical guesses are never a substitute for a handoff.
