Closed booths, private meetings: Grassroots Connect 2027 booths in Oklahoma City

Connect is an invitation-only, appointment-driven show where Grassroots schedules every meeting, so we build closed booths with private showing rooms inside an 8-foot limit. Pipe and black drape come standard, and we replace it with your own printed drape and interiors.

What makes Grassroots Connect different, and how we build for it

Connect by Grassroots is the buying show of the Grassroots Outdoor Alliance, a network of about 100 independent specialty outdoor retailers, and it does not work like an open trade show.It is invitation-only: retailers pick brands in the ConnectApp, the Grassroots office builds every schedule, and appointments run 30 minutes to two hours in private meeting rooms inside each booth. The closed booth model bans product stations seen from the aisle, music, external video and flags in the aisle. Each edition opens with Retailer Education Day and Discovery, a five-hour browsing event for newer brands, and Grassroots reimburses retailers' travel when they stay in the block.

Grassroots member store owners and buyers

A private line showing with the full sample set, sell-through data from peer stores, and a business meeting with brand leadership about margins, marketing and account terms.

Invited independent specialty outdoor retailers

Brands that fit a single-door or small-chain outdoor shop, regional group appointments with similar stores, and terms that work without big-box volume.

Hardgoods, apparel and footwear category buyers

Separate appointments by category (hardgoods, accessories, men's, women's and youth apparel, footwear, socks, snow or swim), each with the right rep and samples in the room.

Your team in Oklahoma City

One project manager, two shops, the whole Grassroots Connect build

For Grassroots Connect, we build in our own shop in Fishkill, NY, and at our Las Vegas hub, ship to Oklahoma City, and put our own project manager on the floor with vetted local labor for the install. A predictable 30–45-day turnaround, secure storage and a pre-show QA before Grassroots Connect.

When your team gets to Oklahoma City, the booth is lit and stocked. You just show up.

Grassroots Connect rules that shape your booth

Closed booths with private rooms

Every booth must keep meetings private, with no product showing stations visible from the aisle, a sample set and comfortable seating in each room (2026 guidelines). We build printed-drape meeting rooms of at least 10×10.

Organizer rule

Eight feet and inside the footprint

Booths and signage stop at 8 feet, and no flags, signs or seating may extend into the aisle; pipe and black drape are provided and other construction needs approval. We design within those lines from the first sketch.

Organizer rule

No music, video or outside food

Connect bans external video or projection, music and amplified noise, and the convention center is the only food and drink provider (2026 guidelines). We skip screens and order any catering through the venue.

Organizer rule

Layouts due 21 days out

Layouts not received 21 days before the show default to Grassroots' standard layout, and on-site changes are billed by Mackenzie Exhibit (2026 rules). We file layout, custom drape and electrical locations early.

Organizer rule

No teardown before 1 p.m.

Teardown may not begin before 1 p.m. on the final day; early dismantling or tape-gun noise brings a $2,500 fine or loss of future invitations (Fall 2026). We book teardown labor for the 1 p.m. start.

04 Designing for specialty outdoor brands in camping, climbing, paddling, footwear and apparel at Grassroots Connect

Four things we get right for Grassroots Connect exhibitors

Climber with a coiled rope over his shoulder and carabiners on his harness1

Rooms, not a showroom

Connect's closed booth model needs every meeting room private from the aisle, with a sample set, tables and comfortable seating. We plan the floor plan around your appointment count, using custom printed drape walls instead of black pipe and drape so the rooms still feel like your brand.

Top-down view of a hiking boot on a dirt trail edged with green plants2

Twenty-five percent to market

Grassroots allows up to 25% of a booth for open marketing, best at the entrance or facing the aisle. We put your hero product and imagery there, inside the 8-foot height limit, with no flags or signs crossing into the aisle and no seating in traffic areas.

Hiker in boots standing on a rock among wildflowers in Colorado mountains3

Quiet by design

Connect bans music, amplified sound and external video or projection, and appointments run back to back from 8 a.m. We use lit graphics and tactile samples instead of screens, add carpet or temporary flooring, which is not provided, and plan storage so boxes stay out of sight.

Couple with backpacks holding hands at the edge of a mirror-still mountain lake4

Layouts in 21 days ahead

Booth layouts not received 21 days before the show default to Grassroots' standard layout, and on-site changes carry Mackenzie Exhibit service charges in the Fall 2026 rules. We send the layout, custom drape positions and electrical drops well before that cutoff.

Logistics for Grassroots Connect 2027, handled

The Spring 2027 Oklahoma City building is not confirmed yet. For the Fall/Winter 2026 show at the Kansas City Convention Center, Mackenzie Exhibit is the exhibit services contractor with the Boomer ordering portal, an advance warehouse and direct-to-show labels, Smart City handles electrical and internet, the convention center's caterer is the only food and drink provider, and every exhibitor carries event insurance with a certificate on file. Set-up runs one day before Connect opens, and teardown cannot start before 1 p.m. on the last day. Once Grassroots publishes the 2027 manual, we follow it with our project manager and vetted local labor.

What Purple handles

  • Closed-booth layouts with private 10×10 showing rooms
  • Custom printed drape to replace standard black pipe and drape
  • Booth layout and electrical forms filed before the 21-day cutoff
  • Temporary flooring, since carpet is not provided
  • Open marketing zone graphics within the 25% and 8-foot rules
  • Storage between Oklahoma City in June and Omaha in November

  4. At least 21 days before ConnectBooth layout, custom drape positions and electrical drops submitted, before the default-layout cutoff.
  5. June 11, 2027Retailer Education Day and Discovery; in Fall 2026 vendor load-in ran that same day, so we plan to build the rooms then once Grassroots publishes the 2027 schedule.
  6. June 12–15, 2027Connect appointment days; teardown starts only after 1 p.m. on the final day, then storage until Omaha in November.

Grassroots Connect exhibitor questions

Questions exhibitors ask us before Grassroots Connect

When is Grassroots Connect 2027?

Spring 2027 Connect is in Oklahoma City: Retailer Education Day and Discovery on Friday, June 11, then Connect by Grassroots Saturday, June 12 to Tuesday, June 15, 2027. Fall/Winter 2027 is in Omaha, Nebraska, with Discovery on November 7 and Connect November 8 to 11, 2027.

Where is Grassroots Connect Spring 2027 held?

In Oklahoma City, Oklahoma; the specific building is not confirmed yet. Grassroots lists Oklahoma City for the spring shows in 2027, 2028 and 2029 and Omaha for fall 2027 to 2029. The Fall/Winter 2026 edition is at the Kansas City Convention Center, November 9 to 12, 2026.

Who can attend Grassroots Connect?

Connect is invitation-only and not open to the public. Retailers are Grassroots member stores plus invited independent specialty outdoor retailers with at least one brick-and-mortar store. Brands are Grassroots Vendor Partners and guest exhibitors who do business with a meaningful number of attending retailers; reps attend by brand invitation.

How are appointments scheduled at Grassroots Connect?

Retailers choose brands in the ConnectApp, and the Grassroots office builds every schedule, prioritizing private appointments and grouping others by region. Draft schedules appear about eight weeks out with 10 days for changes, and final schedules publish four to six weeks before the show. Appointments last 30 minutes to two hours.

What booth sizes does Grassroots Connect offer?

Standard closed booths run from 400 to 3,000 square feet in set layouts, with 600 to 2,400 square foot sizes in front or side orientations. Traverse booths are 10×10 or 10×20 open spaces for accessories, electronics and food, and Business Services booths are 10×10 for services only.

What is a closed booth at Grassroots Connect?

A closed booth is built around private retailer appointments: no product showing stations visible from the aisles and few distractions from the floor. The entrance can feel open, but each meeting room must stay private, with a sample set and comfortable seating, and only 25% of the space may be open marketing.

How tall can a Grassroots Connect booth be?

Booths and signage top out at 8 feet, and every fixture, flag and sign must stay within the booth footprint. Grassroots provides pipe and black drape for perimeter and interior walls; brands may substitute their own custom drape or graphics, and other construction needs show management approval.

How much does it cost to exhibit at Grassroots Connect?

Grassroots quotes booth space to invited brands rather than publishing rates, and says its closed booth model keeps brand booth costs affordable. Our part is separate: printed drape, room signage, flooring and furniture for a 400 square foot booth, all itemized on a fixed proposal before you commit.

What is Discovery at Grassroots Connect?

Discovery is a five-hour, unstructured browsing event held the day before Connect, which doubles as the retailers' welcome happy hour. In Fall 2026 it uses 10×10 booths with 8-foot black drape, basic signage and an 8-foot limit on fixtures and flags, and small digital screens without audio.

Can we play video or music in our Connect booth?

Connect booth guidelines prohibit external video or projection presentations, music and amplified noise, so the floor stays quiet for back-to-back meetings. Discovery allows small digital devices without audio. We design with lit graphics, printed drape and hands-on samples instead.

When can we tear down at Grassroots Connect?

Not before 1 p.m. on the last day. For Fall/Winter 2026 in Kansas City, set-up is Sunday, November 8 from 8 a.m. to 6 p.m., and dismantling may begin only at 1 p.m. on Thursday, November 12; early dismantling or tape-gun noise brings a $2,500 fine or loss of future invitations.

What are Grassroots Connect show hours?

At the Fall 2026 Kansas City show, days one to three run 8 a.m. to 6 p.m. with lunch from noon to 1 p.m., plus a happy hour on day one and a show floor open house on day two. Day four runs 8 a.m. to 1 p.m. with box lunches, then teardown. Spring 2027 hours are not confirmed yet.

Is Grassroots Connect worth it for an outdoor brand?

If independent specialty outdoor shops are your core channel, it puts you in scheduled, private meetings with over 100 of them in four days, with Grassroots reimbursing retailers' travel when they stay in the hotel block and keep a full schedule. The return depends on enough meeting rooms and the right reps in each.

Ask these before you sign

Five questions to ask any exhibit builder for Grassroots Connect:

  1. Is every fee on the proposal, including what the Grassroots Connect show contractor bills?
  2. Who builds the Grassroots Connect booth: your own shop or a subcontractor?
  3. Will your own project manager be at Grassroots Connect for install and dismantle?
  4. For Grassroots Connect, what is in the rental and what is billed by the show?
  5. Where is the booth stored after the show, and at what cost?

Common situations

Already own a booth? Your existing booth gets refreshed graphics and repairs, then we ship it to Oklahoma City, install it and store it between shows. You keep the structure you paid for and bring it to Grassroots Connect.

Exhibiting from outside the US? For Grassroots Connect, we act as your team on the ground: freight to the advance warehouse, show-service orders, installation and storage, and one project manager who answers your emails in your time zone.

Short on time? A rental with your graphics can be ready for Grassroots Connect in two to three weeks. On the first call, we tell you what is realistic for Grassroots Connect.
