Two floor days to win a distributor: WSWA Access LIVE 2027 booths in Grapevine
Distributor executives give Access HQ two days, so we build a booth or suite that shows your portfolio by state, pours cleanly and seats a conversation about terms. Your bottles reach it through a Texas-licensed wholesaler and Freeman's Product Distribution Center, and we install with labor aged 21 and over, as WSWA requires.

What makes WSWA Access LIVE different, and how we build for it
Access LIVE, formerly the WSWA Annual Convention & Exposition, is the wholesale tier's own event, hosted by WSWA since 1943 and back in the Dallas area for the first time in more than four decades.WSWA says the distributors in attendance sell 80% of U.S. wine and spirits. Access HQ opens for just two days around The Hub, the LIVE Stage and the SipSource Data Center, while Main Street Suites host closed-door meetings. Brand Battle opens the first floor day on February 2, TASTE pours that evening, and the Hot, New, Now! Award committee walks the aisles anonymously. A booth here exists to earn the next distributor meeting.
A portfolio they can place: price tiers, the states where you already sell, depletion goals and marketing support, shown in a minute and then discussed seated with the executive who decides what their sales force carries.
A properly poured taste, shelf and menu fit, case pricing and the name of the wholesaler who carries you in their state, because under the three-tier system they buy through that wholesaler, not from you.
Supply facts they can plan around: production volumes, allocation, label approval status and landed cost, from a rep who can talk logistics as comfortably as flavor.
Your team in Grapevine
Two shops, one project manager, every hall
We build in our own production shop in Fishkill, NY, and our Las Vegas hub, ship to the Gaylord Texan Resort & Convention Center, and install with our own project manager on the floor and vetted local labor. Predictable 30–45-day turnarounds, secure storage and pre-show QA.
Your team walks into a lit, stocked booth. You just show up.
Inside WSWA Access LIVE 2027
Rules that shape your booth
Alcohol product, or instructions to pull it, must reach your wholesaler licensed in Texas by January 8, 2027; January 9 to 15 arrivals pay a late fee and nothing ships after January 15. We build locking storage and keep alcohol out of your booth freight.
All attendees and setup personnel must be at least 21, and anyone helping with set-up or tear-down needs a badge or a wristband from the Access LIVE Registration counter that day. We assign install and dismantle labor aged 21 and over and collect their wristbands each morning.
Flyers, brochures and promotional materials need written WSWA approval, and only official exhibitors and suite holders may solicit business. We build sell sheets into a screen or QR panel on the backwall and send anything printed to WSWA for sign-off first.
A Main Street Suite comes with the hotel's standard tables and chairs when you meet a $500 daily food and beverage minimum; miss it and a furniture fee is added. We plan your hosted bar and catering against that minimum before adding any furniture of our own.
Roller bags, carts, wagons and large luggage are not allowed in Access HQ once the hall opens, and security may inspect. We build restock storage into the counter so your team carries nothing through the aisles while the hall is open.
Programs worth planning for
In its 11th year, Brand Battle is a Shark Tank-style contest for wine, spirits, low/no-alcohol and hard seltzer brands launched since 2024 or sold in under five states; entries close November 20, 2026, and finalists can buy a $2,500 package with a 10×5 Innovation Pavilion booth.
Blind judging by The Tasting Alliance for wine, spirits, RTD and non-alcoholic entries from registered exhibitors and suite holders; $150 per product by January 8, 2027, $195 through January 15, with winner placards for booths and suites.
The February 2 evening reception, 5:30 to 7:30 p.m., where registered exhibitors, Main Street Suite holders and sponsors pour at a six-foot table with linen, ice and a company sign for $650; tables are limited to the first 100 purchased.
An anonymous committee of WSWA members and media walks the floor, suites and TASTE for a craft wine, spirits or non-alcoholic brand launched on or after January 1, 2024; the winner gets a year of Silver-level WSWA Associate Membership.
Access LIVE is the convention America's wine and spirits wholesalers run for their own trade: choose it over Vinexpo Americas in Miami Beach when your next step is a seated meeting with a U.S. distributor rather than broad international exposure. Popular booth sizes at WSWA Access LIVE
Access HQ sells space by the 10×10, each with an 8-foot draped back wall and 36-inch side rails; Brand Battle finalists can take a 10×5 Innovation Pavilion booth, and Main Street Suites run 500 to 1,500 sq ft. 04 Designing for wine, spirits and beverage alcohol suppliers at WSWA Access LIVE
Four things we get right for WSWA Access LIVE exhibitors
1Replace the 8-foot drape with a portfolio
Every Access HQ space comes with an 8-foot draped back wall and 36-inch side rails. We swap the drape for a printed, lit backwall that groups your SKUs by category and price tier and lists the states where you already sell, the first things a wholesaler asks about before tasting anything.
2Store what the wholesaler delivers
Your wine or spirits arrive through your Texas-licensed wholesaler and Freeman's Product Distribution Center, never in your crates, and carts are banned once the hall opens. We build a locking cabinet under the pour counter for the delivered cases, with ice, rinse and dump space out of sight, so restocking never crosses the aisle.
3Fit suites into 9-foot rooms
Marriott's room specs list the Appaloosa, Mustang and Palomino rooms in the Lone Star tower at 9 feet high and the Austin, Dallas, Fort Worth and San Antonio rooms at 11 feet. We design Main Street Suite back bars, shelving and light boxes that travel through hotel corridors in pieces and stand clear of those heights.
Seat the terms talk, brief the judges
Distributor talks end at a table, not a counter, and the Hot, New, Now! committee of WSWA members and media walks the floor anonymously, weighing presentation, engagement and tasting. We fit a seated corner with a screen for your market plan and depletion goals, and keep the launch year and brand story readable from the aisle.

Logistics for WSWA Access LIVE 2027, handled
The Gaylord Texan sits about a 15-minute drive from DFW Airport. Under Texas right-to-work law your full-time staff can build with their own tools, but WSWA requires every attendee and all setup personnel to be at least 21. Freeman handles show services: point-of-sale and non-alcoholic deliveries reach its warehouse by January 22, 2027, and drayage runs about $100 per hundredweight (2026 planning figure). Alcohol never ships with the booth; your Texas-licensed wholesaler handles it and Freeman's Product Distribution Center brings it to your space. Encore holds electrical and AV, the resort holds catering, and both price best when ordered by January 15. We file every order and certificate, and our project manager leads install on February 1.
Hall rules, drayage estimates and freight deadlines for this building are in our Gaylord Texan Resort exhibitor guide.
Hall guide
Access LIVE splits exhibitors between the Access HQ exhibit hall and Main Street Suites spread across the convention center and the Lone Star tower. Room heights change sharply between them, so the build changes too.
About 300 booths around The Hub, The Exchange, the LIVE Stage, the SipSource Data Center and the lunch zone; Marriott lists this space, its Longhorn Exhibition Hall, at 24 feet high.
Our advice: We weigh WSWA's $300 premium-location charge against a spot on the route to lunch and the LIVE Stage, where wholesalers gather at midday.
Rooms named Austin, Dallas, Fort Worth, Grapevine, San Antonio and Texas share Level 1 with Access HQ; Marriott lists the Austin, Dallas, Fort Worth and San Antonio rooms at 11 feet high.
Our advice: On the same level as Access HQ, these suites catch drop-in guests, so we open the doorway with a lit bar front and keep freestanding walls well under the ceiling.
Pecos and Del Rio on Level 1, Appaloosa, Mustang and Palomino on Level 3, Bluebonnet and Primrose on Level 4, with room heights listed at 9 to 10 feet.
Our advice: Upper-level rooms suit invitation-only meetings; we pack the fit-out in pieces that move through hotel corridors and keep display towers below 9 feet.
WSWA holds Main Stage sessions in this 49,025 sq ft ballroom, including the Brand Battle Championship breakfast on February 2 and the Hot, New, Now! announcement on February 3.
Our advice: Brand Battle finishes before Access HQ opens at 9:30 a.m., so we complete your booth on February 1 and your team can watch, then pour.

WSWA Access LIVE exhibitor questions
Questions exhibitors ask us before WSWA Access LIVE
How much does a booth at WSWA Access LIVE 2027 cost?
For most brands the right tier here is a branded 10×20: rentals start at $7,500, and a custom 10×20 with a lit bottle wall runs $15,000 to $45,000. Lockable stock cabinets, a working pour counter and suite furniture beyond the hotel's standard tables move the number. WSWA bills the space itself, $4,000 to $4,900 per 10×10 depending on membership and the December 11, 2026 rate step, and Freeman and Encore bill their services directly.
When is the deadline to book a booth for Access LIVE 2027?
December 11, 2026 is the date that matters: after it a 10×10 rises to $4,400 for WSWA members and $4,900 for non-members, and cancelled booths, suites and registrations earn no refund. We need design sign-off by late November to fit our 30- to 45-day build, and your product, or instructions to pull it, must reach your Texas-licensed wholesaler by January 8, 2027.
Can we rent a booth for Access LIVE, and what comes with it?
Yes. WSWA's package is an 8-foot draped back wall with 36-inch side rails; our rental replaces it with a printed backwall, lit shelves for your bottles, a pour counter with a locking cabinet, flooring, freight to Freeman, installation and dismantle, all on one fixed proposal. After the February 3 close the frame comes back to us.
Can we set up our own booth at the Gaylord Texan?
Texas is right-to-work: full-time company staff can put up their own exhibit, whatever its size, with their own tools. WSWA adds its own rule: all attendees and setup personnel must be at least 21, and anyone helping with set-up or tear-down needs a badge or a wristband from the Access LIVE Registration counter that day. Electrical stays with Encore.
How do we get our wine or spirits to the booth in Texas?
Every bottle comes through a wholesaler licensed in Texas. Brands already distributed in Texas must use that wholesaler; domestic brands without Texas distribution can use Southern Glazer's Wine and Spirits or Reyes Beverage Group. Product, or instructions to pull it, must reach the wholesaler by January 8, 2027, the day the Alcohol Beverage Product List is due, and Freeman's Product Distribution Center brings the cases to your space.
What does drayage cost at the Gaylord Texan, and who pays it?
Freeman receives your booth freight, and drayage is billed by weight: plan about $100 per hundredweight, the 2026 planning figure in our Gaylord Texan venue guide. Point-of-sale and non-alcoholic deliveries must reach the Freeman warehouse by January 22, 2027 or pay a late fee, and alcohol never travels in your booth freight. We keep a 10×10 kit light and put the drayage estimate on your proposal.
Should we book an Access HQ booth or a Main Street Suite?
Pick Access HQ for discovery: about 300 booths share the Longhorn Ballroom with The Hub, the LIVE Stage and the lunch zone. Pick a Main Street Suite, 500 to 1,500 sq ft for $6,000 to $18,000, to host invited wholesalers behind a closed door. Suite tables and chairs come with a $500 daily food and beverage minimum, and Lone Star tower rooms are listed at 9 to 10 feet high.
Can we reuse our Access LIVE booth at other shows?
We design the backwall and pour counter to travel: the same kit fits Vinexpo Americas in Miami Beach, Bar & Restaurant Expo in Las Vegas and Access LIVE 2028 at the Gaylord Palms in Orlando, February 28 to March 3. Between shows we store it, reprint graphics when your state list changes and ship it to the next advance warehouse.
We import our wines. Can you help us exhibit at Access LIVE from outside the US?
We run the U.S. side: booth freight to the Freeman warehouse, Freeman and Encore orders, install with labor aged 21 and over, and storage after the show. For the product itself, WSWA routes brands with no U.S. wholesaler through Southern Glazer's Wine and Spirits for importation and the COLA waiver process, so open that conversation well before the January 8, 2027 product deadline.
When is WSWA Access LIVE 2027?
Access LIVE 2027 runs Monday, February 1 to Thursday, February 4, 2027. Exhibitors set up Access HQ on February 1 from 8 a.m. to 6 p.m., and the Opening General Session starts at 4:30 p.m. that day. The exhibit hall then opens February 2, 9:30 a.m. to 5 p.m., and February 3, 10 a.m. to 4 p.m.
Where is WSWA Access LIVE 2027 held?
At the Gaylord Texan Resort & Convention Center, 1501 Gaylord Trail in Grapevine, Texas, which is also the host hotel. Access HQ fills the Longhorn Ballroom on Level 1 and Main Stage sessions use the Texas Ballroom. WSWA names Dallas Fort Worth International (DFW), about 6 miles away, as the closest airport and Dallas Love Field as the second.
How many people attend WSWA Access LIVE?
WSWA counted over 2,600 attendees from all three tiers, with more than 90 wholesaler companies represented, when Access LIVE 2024 met in Las Vegas. Its 2018 convention at Caesars Palace drew over 2,700 people and more than 400 exhibitors. For the 2027 edition in Grapevine, WSWA is selling 300+ booths and 70 meeting suites.
Is WSWA Access LIVE open to the public?
No. Access LIVE is a registered event for the beverage alcohol trade: suppliers, wholesalers and distributors, retailers, importers and exporters, bartenders, beverage directors, service providers and media. Everyone must be at least 21 and wear an official 2027 badge from the Access LIVE Registration counter, and there are no one-day passes. WSWA membership is optional for attendees and exhibitors.
Who organizes WSWA Access LIVE?
The Wine & Spirits Wholesalers of America, the Washington, D.C. association of the wholesale tier, which has hosted this event since 1943 and ran it as the WSWA Annual Convention & Exposition before renaming it Access LIVE. WSWA sells Access HQ booths itself through its interactive 2027 floorplan, at lower rates for members, while Freeman and Encore run show services.
