Orlando convention centers and trade show venues

Exhibiting in Orlando means one very large convention center and a ring of convention hotels. The Orange County Convention Center has 2,053,820 sq ft of exhibit space in two buildings facing each other across International Drive, each with its own docks and its own bridged hotels. Out toward Walt Disney World and Kissimmee, the Swan and Dolphin and Gaylord Palms run exhibit halls of their own. Florida is right-to-work, so your own full-time staff can usually build the booth.

Shows at Orlando venues, 2026–2027

The calendar below gathers the dated shows from our Orlando venue guides. The OCCC carries the big product shows, where buyers come to see rides, golf clubs, plastics machinery, aircraft parts and AV gear. The Hyatt Regency Orlando, the Hilton Orlando, the Rosen Centre, Signia Bonnet Creek and the Swan and Dolphin run conference expos in their own ballrooms and halls. Dates come from each organizer; confirm the building, the hall and the exhibit days in your kit before you book freight.

Busy seasons

When Orlando is busiest for trade shows

Counting the dated shows above by the month they open, January 2027 is the busiest month in our listings, with 5 shows starting, ahead of February 2027 with 5. Plan freight and hotel rooms early for those weeks.

Fall is the heaviest stretch at the OCCC. IAAPA Expo uses the North, South and West Buildings in November 2026, its largest footprint yet, and IAAPA has tied its November expo to Orlando for the next decade. I/ITSEC is listed for the turn of November and December; confirm its venue and exhibit days with the organizer. Both sit inside the June-to-November hurricane season. In the same weeks the Hyatt runs the DFI51 suppliers' expo, and the Dolphin hosts OLC Accelerate and Advances in IBD. The Rosen Centre hosts the F-15 TCP Worldwide Review in November, and the Hilton Orlando hosts AESA and the Spacepower Conference in December.

January and February bring the PGA Show to the West Concourse, with its Demo Day at Orange County National, the AIAA SciTech Forum to the Hyatt, already booked again for 2028, and the PointClickCare SUMMIT to the Dolphin. Signia Bonnet Creek hosts the ODAC Dermatology Conference and the FPMA expo in January 2027, and the Hilton Orlando hosts the FAO Annual Session in late February. Surf Expo returns to Orlando in January and again in September 2027; confirm its venue. Spring belongs to product shows: Global Pet Expo in March, MRO Americas in April and NPE2027, the plastics show that comes every three years, in the West and South Buildings in May.

Gartner's Supply Chain Symposium/Xpo uses the Swan and Dolphin the same week as NPE, and its HR Symposium/Xpo returns there in late October 2027. InfoComm puts its exhibits in the West Building in June, just after AACE International's conference and expo at the Hyatt. MegaCon Orlando and the Florida Restaurant and Lodging Show also use the West Building each year, and HIMSS and NBAA-BACE rotate through Orlando in some years. Our Gaylord Palms guide notes that the ICE! holiday event fills its exhibition hall every holiday season.

Exhibiting in Orlando: what to plan for

No one has to join a union to work a show, and kits usually let your full-time staff build the booth, but house power and rigging stay with the venue or its in-house partner. The sections below pull together what our 9 Orlando venue guides say about labor, freight, move-in, travel and hotels, venue by venue, with a link to the guide each fact comes from.

Labor & union rules

Orlando union labor and booth setup rules by venue

Florida is a right-to-work state, so Orlando has none of the union jurisdiction questions that shape Chicago or Las Vegas. At the OCCC, show kits let full-time employees of the exhibiting company install and dismantle the booth with their own hand tools, and hired labor comes from the general contractor or an approved EAC. The limits are on services: only OCCC electricians connect to house power, and rigging is exclusive. The convention hotels work the same way, with power, internet and rigging held by the hotel or its in-house AV partner, and the Rosen Centre requires a drayage, decorating or exhibit company for every booth. Your show kit is the final word.

Orange County Convention Center

Right-to-work

Who builds: Contract labor comes from the general contractor or an approved EAC. OCCC electricians make all house power connections; rigging, compressed air, plumbing, food and fire watch are OCCC-exclusive. Forklifts stay with the general contractor.

Your own staff: Full-time employees may install and dismantle with their own hand tools, install plug-in rentals and branch power inside the booth, within the show's rules.

Orlando drayage rates and show budget estimator

Our Orlando guides plan drayage at about $155 per hundredweight for crated freight at the OCCC, the Hyatt Regency, the Hilton Orlando, the Rosen Centre, the Swan and Dolphin and Signia Bonnet Creek, because hotel shows here use the same Orlando contractor warehouses as the convention center. Our older resort guides use a $160 planning default. These are Purple planning rates, not published tariffs; on them, Orlando runs about 16 percent under Las Vegas. The 200 lb minimum and the surcharges for loose, late and special-handling freight work the same way. Your show kit carries the real rate.

Drayage planning rates by Orlando venue
VenuePlanning rateWhat to know
Gaylord PalmsRight-to-work≈ $160/cwtPlanned at $160 per hundredweight. One convention dock also serves banquets, so direct-to-show trucks wait.
Orlando World Center MarriottNon-union≈ $160/cwtPlanned at $160 per hundredweight. Carpet throughout, no forklifts inside, pallet jacks from the dock, and direct trucks wait.
Rosen Shingle CreekNon-union≈ $160/cwtPlanned at $160 per hundredweight. The hotel dock is shared with banquets, so the guide says to ship to the advance warehouse.
Hilton OrlandoRight-to-work≈ $155/cwtPlanned at $155 per hundredweight. Crates sent through the hotel's FedEx Office paid $150 or more each on its 2019 sheet, so ship booth freight to the contractor.
Hyatt Regency OrlandoRight-to-work≈ $155/cwtSmall boxes sent to the hotel pay a handling fee per package, plus storage if they arrive more than seven days early (one 2022 guide).
Orange County Convention CenterRight-to-work≈ $155/cwtTwo buildings mean two docks. A show in both is two deliveries on two schedules, and freight cannot use the bridge.
Rosen Centre HotelRight-to-work≈ $155/cwtPlanned at $155 per hundredweight. The hotel accepts no drayage, packages or exhibits, so every crate goes through the decorator.

Freight

Shipping and advance warehouse basics for Orlando shows

Most Orlando freight goes through the general contractor's advance warehouse rather than straight to the building. GES kits for shows at the Hyatt Regency Orlando, the Swan and Dolphin and Signia Bonnet Creek used the same warehouse on Mandarin Drive, and asked carriers to check in by 2 pm for same-day unloading. What changes from venue to venue is the address on the label, the hotel's package rules and how freight leaves after the show.

  • One Orlando advance warehouseGES kits for a Hyatt Regency Orlando show, for OLC Accelerate 2026 at the Dolphin, for a 2026 show at Signia and for Battcon 2023 at the Rosen Centre all used the GES warehouse at 7945 Mandarin Drive, Orlando. Your own kit names your show's warehouse and its cutoff dates.

From our Hyatt Regency Orlando, Walt Disney World Swan and Dolphin, Signia by Hilton Orlando Bonnet Creek and Rosen Centre Hotel guides

  • Small boxes: FedEx Office or nowhereThe Rosen Centre accepts no drayage, packages or exhibits at all. The Hilton Orlando and Signia take small boxes through an in-hotel FedEx Office, for a fee by weight: time them to arrive four days before the event, because storage fees start after five days.

From our Rosen Centre Hotel, Hilton Orlando and Signia by Hilton Orlando Bonnet Creek guides

  • Label by OCCC buildingThe West and North/South Buildings have separate docks across International Drive. Write the building and hall on every bill of lading, and book two delivery windows if your show uses both buildings.

From our Orange County Convention Center guide

  • Hotel boxes: seven days, no CODOne 2022 event guide for the Hyatt Regency Orlando let small boxes arrive no more than seven days early and charged $5 per box or $100 per pallet per day before that. The business center refused COD shipments and perishables.

From our Hyatt Regency Orlando guide

  • Book the outbound carrier firstAt OLC Accelerate 2026 nothing went back to the warehouse: all freight shipped out from the show site, with carriers checked in by 4 pm. GES did not accept collect shipments.

From our Walt Disney World Swan and Dolphin guide

  • Leave a storm margin in fallHurricane season runs June to November, and IAAPA and I/ITSEC fall inside it. Our OCCC guide suggests shipping to the advance warehouse a week ahead of the deadline and knowing your carrier's plan for freight in transit.

From our Orange County Convention Center guide

  • Hand-carry rules vary by showMost OCCC kits let you carry in what you can lift but ban dollies and flat carts; a few allow a personally owned two-wheel cart. The OLC Accelerate kit at the Dolphin said both, so ask before you pack a cart.

Move-in & move-out

Loading docks, move-in traffic and dock tips in Orlando

Every Orlando venue receives freight its own way. The OCCC runs two dock systems on opposite sides of International Drive. The Swan and Dolphin puts its docks right behind Pacific Hall. The resort hotels share a dock with banquets, the Rosen Centre's loading areas sit on its ballroom level, and the Hyatt, the Hilton Orlando and Signia do not publish their dock details at all. Marshaling and target times always come from the general contractor.

OCCC

Two dock systems across the road

The West Building has 97 covered truck bays on one level, about half a mile of dock and 14 exhibit-floor truck entrances. The North/South Building has 77 bays at two underground docks, a 40-truck staging yard, nine drive-in entrances and an airplane door.

From our Orange County Convention Center guide

Hyatt Regency

Hilton Orlando

Dock details unpublished

The hotel does not publish its dock location, bay count or freight elevators, so get them from your kit. FedEx Office lends no pallet jacks, dollies or carts, and FAO 2027 sets up in one evening, 4:00 to 7:30 pm.

Signia

Trucks in before 2 pm

The public plans do not show the dock or freight elevators. A 2026 GES kit took direct freight from 9 am to 2 pm and warned of late-afternoon congestion. Ask for the route to the Waterside Ballroom, across a bridge from the original building.

Start with the Orange County Convention Center. It has 2,053,820 sq ft of exhibit space in two buildings on International Drive, 174 truck bays, and ceilings of 30–40 ft in the West Building and 40 ft in North/South. Check early whether your booth needs fire review: a canopy over 300 sq ft, or a deck anyone stands on, goes to Orange County Fire Rescue.

A room block right next to an OCCC show

The Hyatt Regency Orlando has three walkway bridges to the OCCC's West and North/South concourses and 1,641 rooms, so it is the headquarters hotel for many OCCC shows. It also runs its own expos in five pillar-free ballrooms on one Convention Level, led by the 54,638 sq ft Regency Ballroom. The hotel and the OCCC are separate buildings with separate docks and rules, so check which one your booth is in.

An expo on a real hall floor, with the hotel under the same roof

Gaylord Palms in Kissimmee puts a 210,300 sq ft exhibition hall (including prefunction) with concrete floors and direct dock access under one roof with 1,718 rooms. Its ballrooms are carpeted, so keep heavy and tall exhibits in the hall.

A conference whose expo fits in one big ballroom

The Orlando World Center Marriott has the 105,000 sq ft pillar-free Cypress Ballroom and 2,008 rooms. Rosen Shingle Creek has the 95,000 sq ft column-free Gatlin Ballroom with 31 ft ceilings and 1,501 rooms, about ten minutes from the OCCC, and also takes overflow events from OCCC shows. Both are carpeted: plan for carpet protection, hand-moved freight and rigging on the hotel's grid.

A resort meeting near Walt Disney World with large exhibit halls

The Walt Disney World Swan and Dolphin lists 110,500 sq ft across its Atlantic and Pacific halls, with a 30 ft ceiling in Atlantic and 25 ft 8 in in Pacific.

Who may build the booth?

Florida is a right-to-work state. Our Gaylord Palms, Rosen Shingle Creek and World Center Marriott guides list those hotels as non-union; at all three, rigging, power and internet go through the hotel's in-house AV company, and the dock is shared with banquets, so order services early and ship to the advance warehouse rather than direct.

Is Orlando union or right-to-work for trade shows?

Florida is a right-to-work state, so no one has to join a union to work a show. Our OCCC, Hyatt Regency, Hilton Orlando, Rosen Centre, Swan and Dolphin and Signia guides confirm it, and our Rosen Shingle Creek, World Center Marriott and Gaylord Palms guides list those hotels as non-union. What the venues keep are exclusive services: OCCC electricians for house power, and in-house partners for rigging, power and internet at the hotels.

Can I set up my own booth in Orlando?

Usually, yes. OCCC show kits let full-time employees of the exhibiting company install and dismantle the booth with their own hand tools, within each show's rules, and the OLC Accelerate 2026 kit at the Dolphin asked for proof of full-time employment. At the OCCC, connections to house power and aerial rigging are still done by the venue, and forklifts stay with the general contractor. Hired labor comes from the contractor or an approved EAC.

How much does drayage cost in Orlando?

Plan about $155 per hundredweight for crated freight at the OCCC, the Hyatt Regency, the Hilton Orlando, the Rosen Centre, the Swan and Dolphin and Signia Bonnet Creek, and about $160 in our Rosen Shingle Creek, World Center Marriott and Gaylord Palms guides. These are Purple planning rates, not published tariffs. On them, 1,500 lbs of crated freight comes to about $2,325 at the OCCC. Loose, late and special-handling freight costs more, and your contractor's show kit has the actual rate.

Should I ship to the advance warehouse or direct to the show?

The advance warehouse, in most cases. GES kits at the Hyatt Regency, the Dolphin and Signia used the GES warehouse at 7945 Mandarin Drive and gave direct deliveries fixed windows, with carriers checked in by 2 pm for same-day unloading. The Rosen Centre accepts no freight at all, so everything goes through the decorator. The resort hotels share their docks with banquets, so direct trucks may wait. At the OCCC, a direct shipment must go to the right building's dock.

When are the big Orlando trade shows in 2026 and 2027?

IAAPA Expo uses the North, South and West Buildings in November 2026, the PGA Show takes the West Concourse in January, Global Pet Expo comes in March, MRO Americas in April, NPE2027 in May and InfoComm in June. The Hyatt, the Hilton Orlando, the Rosen Centre, Signia and the Swan and Dolphin run conference expos through the same months, and Gartner brings Xpos to the Dolphin in May and October.

Which hotels are connected to the Orange County Convention Center?

The Hyatt Regency Orlando has three walkway bridges to the OCCC's West and North/South concourses. Rosen Centre has a covered skywalk to the West Concourse, and the Hilton Orlando connects to the South Concourse by a covered bridge. Rosen Plaza is linked to the West Building by the Gary Sain Memorial Skybridge. The closest hotel depends on the building your show uses, so check it before you book the room block.

The Hyatt Regency Orlando's five ballrooms run from 8,975 sq ft to the 54,638 sq ft Regency Ballroom, with ceilings from 14 ft to a listed 31 ft. Beside it, the Hilton Orlando's Orlando Ballroom lists 360 booths of 8 × 10 ft under 26 ft, and the Rosen Centre's Grand Ballroom 233 under 25 ft. The Swan and Dolphin's Pacific Hall is 49,920 sq ft with a 25 ft 8 in ceiling. What should I know about parking and move-in at Orlando shows?

The OCCC has 6,227 spaces, 1,450 at the West Building and 4,777 at North/South, but Grand Concourse work around North/South runs through 2029, so use the current map in your kit. At OLC Accelerate 2026 at the Dolphin, cars and vans could unload at the dock with two people and a 10-minute limit, and move-in lasted three hours. The Gartner IT Symposium sent drivers to a lot at Blizzard Beach with a shuttle.

Does my booth need fire review at the Orange County Convention Center?

It does if more than 300 sq ft of it is covered, or if it has a deck anyone stands on. Anything over the booth counts, including fabric, lattice or a canopy. Those booths need drawings reviewed by the OCCC and Orange County Fire Rescue and a fire watch on show days, unless an approved sprinkler system covers them. Every covered exhibit also needs a smoke detector and an extinguisher, at any size.
