AAMI eXchange 2027Exhibitor guide: booth costs, dates and deadlines

Space is cheap here by medical-meeting standards: a 10×20 costs $5,200 at AAMI's 2027 member rate of $26 per square foot, or $6,200 at the $31 non-member rate. Add the build: a 10×20 rental runs $7,500 to $15,000 and a custom 20×20 island $50,000 to $120,000. Demo power, an In-Booth Theater and freight for heavy units move the total most.

Full payment for booth space is due November 20, 2026, which is also the last day to cancel or reduce space with no penalty. From then through January 29, 2027 a cancellation forfeits the 50% deposit, and after January 29 the whole booth fee is owed. On our side, design sign-off in late March 2027 keeps the build on schedule.

Our AAMI eXchange rental package covers the frame and printed fabric, LED lights, a service bench or demo counter that locks, mounts for your screens, and shipping, setup and teardown, all priced on a single fixed proposal. AAMI supplies only drape and a 7×44-inch booth sign, with no carpet, power, internet or furniture, so we list those orders on the same proposal.

AAMI allows exhibitor-appointed contractors in place of the official service contractor, provided AAMI receives a certificate of insurance showing at least $1,000,000 in general liability and statutory workers' compensation. The official contractor will not send its service kit to outside contractors, so we take the move-in and material-handling details from your kit and run the install with our own project manager.

AAMI caps standard inline booths at 8 feet, and nothing in the front half of an inline may rise above 4 feet. Island booths, open to aisles on all four sides, may reach 16 feet. AAMI can stop assembly or order changes at your cost, so we draw every tower, screen and parts wall to these limits before you sign off.

Under AAMI's exhibit rules you can, with disclosure: the booth, the printed materials and your staff must state that the device has not received final FDA approval or clearance and that it cannot yet be sold in the United States. We print that status on the device's graphic panel and leave room for any wording your regulatory team supplies.

No. AAMI's rules ban over-the-counter sales and also the taking of orders, cash, checks or card numbers for later delivery. The booth may offer educational, professional or instructional information only. We design for the follow-up instead: a lead-scanning point at the bench, quote request cards and a seated table where an HTM director can set the next meeting.

AAMI sells In-Booth Theaters to exhibitors with 20×30 or larger booths, at $4,000 for a 20×20 theater area and $5,000 for a 20×30, with sessions listed on the conference website and app plus one promotional email. You supply the carpet, AV and furniture, which we build into the booth with seating and a screen.

The benches, parts walls and screen frames come apart and reassemble in new layouts, so one build can follow you to HIMSS, AORN or RSNA with graphics rewritten for IT, perioperative or imaging buyers. Between shows we refit the bench for each product mix and route the crates to the next show's warehouse.

AAMI eXchange 2027 runs Friday, June 4 to Monday, June 7, 2027. The Expo Hall opens with the Welcome Reception on Friday from 5:30 to 7 PM, then Saturday from noon to 5 PM and Sunday from noon to 4 PM. Monday holds education sessions and a keynote while exhibitors move out.

In Fort Lauderdale, Florida, at the Greater Fort Lauderdale/Broward County Convention Center, 1950 Eisenhower Boulevard, which AAMI's 2027 exhibit contract names as the host venue. The center sits two miles from Fort Lauderdale-Hollywood International Airport, its garage holds 1,500 cars, and the 801-room Omni hotel connects to the building.

AAMI billed the 2026 Denver edition at more than 150 manufacturers and service providers and 66 education sessions, with attendees from all 50 states and more than 20 countries. Its 2025 attendee profile counted visitors from 50 states and 17 countries, 60% of them returning and 40% first-timers, with hospitals the largest group at 32%.

AAMI, the Association for the Advancement of Medical Instrumentation, based in Arlington, Virginia, produces and manages the meeting and sets every policy. Its eXchange Show Management team sells space, assigns booths and approves co-exhibitors, sponsorships and any social function, and exhibitors need AAMI approval before renting meeting space at the center or the official hotels.

Selection follows priority points: 5 for a current AAMI corporate membership, 5 for each year exhibited in the last five, 1 per 100 square feet and 1 per $1,000 of sponsorship.
